I'm 100% fine with this request and suggest its approval, but would also suggest to the organizing committee that any future grant requests be made further ahead of events than this was made. Grants take time to approve, process, and disburse - even more so international grants. This conference is only a little over a month away, and presumably some of these expenses have to be taken on before the actual conference. If the transfer of funds for this grant takes longer than the time until the conference, do you have the capacity to cover the costs out of pocket, or would it impact the performance of the event? If the grant were to be rejected, would you be able to carry on the event still, or would those who have made travel plans etc already end up having to cancel them since you wouldn't have time to find alternate sources of funding? We admit that the grant application has been delayed than its recommended lead time. This was due to the fact that we had to ensure many parameters get in place properly before we can arrive into some realistic and firm estimates and plans. Thank you for considering the request benevolently despite the delay. We shall make note of this and be more pro-active in future.
We have made necessary provisions for early expenses by sharing in temporary loan advances by ourselves. We hope to manage the preparatory tasks by using this buffer fund.
We have taken moderate precautions to ensure that the planned program gets least compromised in such unfortunate eventualities by modularizing the costs. We hope to remix the cost structure by prioritizing critical components and reducing burdens from less important ones. As you may observe from the last year's report, we are quite efficient in being austere enough when situations call for. :)
We are very optimistic that the anticipated sources of funds are highly supportive and lenient of our causes. The total budget is significantly trifurcated to account for such possibilities (like an unlikely failure of the award of this grant). Nevertheless, we would like to receive the full grant sum as planned, estimated and requested to avoid any crises or compromise to the program. Thank you!

@Viswa: Although I'm relatively certain this grant will be approved, it is worth keeping in mind that it is not a safe assumption that any grant request for a Wikimedia conference will be approved, even if it has been approved in previous years. The CEE conference grant request was turned down several weeks ago, even though a lot of planning had already gone in to the conference and a lot of outside funds had been raised for it and it had been approved last year. I hope the loans aren't terribly high interest, it would be unfortunate if volunteers had to spend their own money to cover a grant gap time :/. Quick question about the responsibile body[edit]

Hi, just a quick question to clarify - is this required by a person or by any group or recognized group? I see some info in the submission which indicates me both possibilities, so I would appreciate clarification. Thank you.

Certainly, this grant is requested by a group. The group consists of active Malayalam Wikipedia community members. However, the group itself is not a recognized body like a chapter or institution. As you may know, Malayalam has the most wild (read free) but most active and pro-creative user base among Indian language communities.
In this case, the group has initiated a plan to conduct the conference and subsequently formed a program committee. The individual applicant happens to be the General Convener from this committee. Thank you! - ViswaPrabha (വിശ്വപ്രഭ) (talk) 17:19, 15 November 2013 (UTC)[reply]
Definitely this is a group initiative. Since, the group is not a corporate entity, we can't submit this application in the name of our community. But this grants page wants the track record of the lead persons, we provide the same.
