Notes 1    Opening 2    Announcements

3    Agenda 4    List of representatives - (user)name and email address of affiliates

  • The Privacy team at WMF is investigating what can be done around disclosing such information.
  • We discussed that contact persons are public by default.
  • usernames are public, (or name)
  • email addresses private to facilitators

5    Resolution  - https://meta.wikimedia.org/wiki/Affiliate-selected_Board_seats/Resolution_2019

  • Facilitators stepping down issue: It was agreed that the language in the Draft Resolution will remain as-is, and Affiliates will have the opportunity to nominate or vote for candidates as they see fit with this in mind.
  • Eligibility to vote (cut off date reporting): The consensus is that AffCom determines whether affiliates are in good standing with their Wikimedia affiliate agreement. Also there is consensus that affiliates in good standing should be able to vote.
  • Quorum: ⅔ opt out is a reasonable level, or a quorum of ⅓ is a bare minimum.
  • Due on April 6, per email to Maria:
  • Ideal profile of candidates - María emailed me she will give the Board's perspective but not on or before April 6.

(see https://meta.wikimedia.org/wiki/Affiliate-selected_Board_seats/2019/Call_for_Candidates#Candidates'_profiles)

  • Neal, Ad, and Lane also wanted for the fact of each organization's vote to be public. In this way, it is public information whether an organization has voted.

6    Appointment of Election Facilitators by affiliates (diversity and inclusion)

  • Alessandro and Neal joined the team. Several calls have been made for diversity.

7    Test survey results

  • A test with Qualtrics has been performed by the facilitators. The facilitators requested another test. There was discussion - do we offer tests for everyone? Everyone said that they preferred a test for facilitators then a second test for anyone to join.
  • Will there be a way for any affiliate to change their vote? Erica said that she would find an answer.

8    Miscellaneous

  • There was discussion that the code which calculates votes should be public. There was agreement to use the same voting calculation method used in the last election.

9    Action points

  • (draft) mail to all-affiliates, wikimedia-l
