Before you write your application, please review the guidance and the Program handbook. Below you can find a summary of the key information to help you navigate the application process and prepare a strong proposal.

1. Check your eligibility

Mentees Mentors
Open to CEE developing affiliates (those not receiving the WMF General Support Fund) and CEE communities that have participated in at least one CEE Meeting in the last three years. Established, mature CEE chapters or user groups with proven expertise in the requested topic.

Note: This program is for groups and communities, not individuals acting alone.

2. Prepare your proposal

A strong application focuses on specific, measurable learning goals. When filling out the form, provide:

  • Community profile: Briefly describe your community’s size, maturity, and current activity level.
  • Learning objectives: Instead of a general wish to "visit," describe the exact problem you need help solving (e.g., "We need to learn how to manage event budgets and set up a registration system for a national edit-a-thon").
  • Exchange format: Decide if the Mentee travels to the Mentor or the Mentor travels to the Mentee.
  • Partner status: Indicate if you already have a pre-agreed partner (priority 1 matching) or if you require the CEE Hub to facilitate a match for you (priority 2 matching).

3. Mandatory commitments

By submitting an application, you acknowledge and agree to:

  1. Prepare joint activity plan: If matched, you must work with your partner to create a detailed plan and schedule before any travel is booked.
  2. Follow travel rules: All travel, accommodation, and insurance must be booked directly by the CEE Hub staff to ensure compliance with policy.
  3. Provide relevant reporting: Both parties must submit an exchange activity report and visual evidence (photos or resources) within one month of the visit’s completion.
