Wiki Club Tech India: Campus Celebration, is designed to celebrate Wikipedia's 25th Birthday by leveraging our established network of 8+ student-led WikiClubs across various engineering colleges in India.

Instead of a single, centralized event, our project will empower these 8+ clubs to host simultaneous, localized birthday celebrations on their respective campuses. This "hub-and-spoke" model allows us to maximize our outreach, foster local community spirit, and introduce hundreds of new students to the Wikimedia movement, all while celebrating this historic milestone.

Our main activities will be standardized across all 8+locations and will include:

  1. The "Birthday Bash" Event: The core of our project. Each club will host a 2-3 hour on-campus event. This will include:
  • A celebratory birthday cake and refreshments.
  • Displaying the official Wikipedia 25 banner, which we will print and distribute.
  • A group photo with the banner for our final report.
  • Open source and Wikipedia Journey - speaker and Wikipedian led talk
  • Distribution of official Wikipedia 25 swag to all attendees to build excitement and visibility.
  • "Why I Wiki" Story Session: A 30-minute segment where existing club members and student leaders ("Wiki Envoys") share personal stories about what Wikipedia and open-source mean to them. This directly uses the "key messages" from the celebration toolkit to inspire new students.
  • "Intro to the Movement" Outreach: We will use the birthday as an outreach tool. Each event will feature a 20-minute presentation for new students, introducing them to the Wikimedia ecosystem, our "Road to Wiki" technical program, and how they can join their local WikiClub.
  • Celebrating Indic Wiki language Wikimedians, promoting local culture and their work
  • Coordinated Social Media Campaign: clubs will participate in a unified social media campaign on the day of their events, using the official event hashtags and social media assets provided in the toolkit to amplify our collective impact.
  • 7. What are the planned activities? (required) Please provide a list of main activities. You can also add a link to the public page for your project where details about your project can be found. Alternatively, you can upload a timeline document. When the activities include partnerships, include details about your partners and planned partnerships.

Our project has three primary goals:

    1. Celebrate & Appreciate: To honor Wikipedia's 25th birthday and foster a genuine sense of community appreciation among our 8+ student clubs.
    2. Strengthen Community: To use this shared, positive experience to boost morale, identity, and engagement within our existing campus clubs.
    3. Outreach & Recruitment: To leverage the excitement of a global celebration as a powerful tool to attract new students / dev to our technical contribution pipeline.

We will measure our success using the following quantitative and qualitative metrics: Quantitative Metrics:

    • Reach: Successfully execute birthday celebrations at a minimum of 8 partner institutions.
    • Attendance: Achieve a cumulative attendance of 500+ students across all 8+ events.
    • Recruitment: Generate 100+ new member sign-ups for our local WikiClubs from students new to our community.
    • Reporting (Grant Compliance):
    • Upload a minimum of 50 high-quality photos and videos from all 7 events to the specified Wikimedia Commons category.
    • Ensure all 8+ events are registered on the Events Calendar and use the Event Registration tool.

    Qualitative Metrics:

    • Reporting (Grant Compliance): Successful publication of a comprehensive Diff blog post summarizing the activities and impact across all campuses.
    • Community Feedback: Positive feedback collected via a post-event survey from attendees and Wiki Envoys.
    8. Describe your team. Please provide their roles, Wikimedia Usernames and other details. (required) Include more details of the team, including their roles, usernames, Wikimedia group, and whether they are salaried, volunteers, consultants/contractors, etc.

Our project is led by a dedicated core team, combining strategic leadership with deep technical and community-mentorship expertise.

    • Hridyesh Gupta (Username: Hridyesh_Gupta) - Community Mentor & Open-Source: I am a core mentor and active open source developer. I take a hands on role in guiding the cohort, co lead technical workshops, mentor students on their first contributions, and help them navigate open source culture and tools like Phabricator.
    • Ankit Kumar Verma (Username: Authorankit07) - Project Lead & Strategist: As a program Coordinator, he is responsible for the overall vision, strategy, and execution. His role involves building institutional partnerships, designing the curriculum, and managing the high-level planning and resource allocation to ensure our program is sustainable and scalable.
    • Agamya Samuel (Username: Agamyasamuel) - Technical Expert & Community Mentor: Agamya is one of our key technical experts. He focuses on guiding students and Devs through more complex technical challenges, helping them understand MediaWiki's architecture, and debugging their code. He is a crucial guide for our "Advanced Track" participants and serves as a go-to expert for our community.
    9. Who are the target participants and from which community? How will you engage participants before and during the activities? How will you follow up with participants after the activities? (required)

This project is for two main audiences:

    1. Primary Audience: The existing members of our 8+ campus WikiClubs, technical students. This event will serve as a celebration to thank them for their contributions and strengthen their community bond along focusing on technology
    2. Secondary Audience: The wider student body at our partner engineering/ Tech colleges. We are targeting students (primarily in tech and engineering) who are not yet familiar with the Wikimedia movement. The event is designed as a fun, low-barrier introduction to our community and a primary recruitment driver for our technical programs.

Our core mission is to bridge the gap between academia and open-source contribution, with a strong focus on students from Tier 2 and Tier 3 engineering colleges. We do this by establishing and mentoring student-led "WikiClubs" on campuses. These clubs are run by trained "Wiki Envoys" who host workshops, hackathons, and speaker sessions, all part of our flagship "Road to Wiki" program. Our goal is to upskill these students to become active, long-term contributors to MediaWiki and the broader open-source world. As required by the grant, we confirm our project will adhere to the Youth Safety Policy. Our existing "Road to Wiki" program framework already includes a robust code of conduct and safety protocols for engaging with student communities, which will be strictly enforced for these events. (required) You need to inform the community and/or group, discuss the project with them, and involve them in planning this proposal. You also need to align the activities with other projects happening in the planned area of implementation to ensure collaboration within the community.

Our project proposal was developed through a multi-layered consultation process, ensuring alignment with both our student base (the beneficiaries) and the wider regional Wikimedia ecosystem. 1. Internal Consultation with Wiki Envoys Before drafting this proposal, we convened an "All-Hands Strategy Call" with the 7+ Student Wiki Envoys (leaders) who manage our campus chapters. The Discussion: We brainstormed how to celebrate Wikipedia's 25th birthday. The Envoys provided crucial feedback: rather than a single centralized event (which would limit attendance), they requested resources for localized celebrations on their respective campuses to maximize student reach. We also discussed with college partners so that it doesn't with exam timings and other necessary dates. The Outcome: This feedback directly shaped our "Coordinated Campus Celebration" model, where funds are distributed to support local cakes, banners, and outreach materials at each college. 2. Alignment with Regional Affiliates (Indic MWDUG) To ensure we are not duplicating efforts, we reached out to the leadership of the Indic MediaWiki Developers User Group (Indic MWDUG). We discussed our timeline to ensure our campus events do not clash with national events.

We will use the following tools to rigorously track and measure our success metrics:

For Attendance & Participation (Metric: 500+ attendees):

Wikimedia Meta page: We will create specific event pages for each campus to track official registrations, as required by the guidelines.

    For Content & Media (Metric: 50+ photos/videos):

Wikimedia Commons: We will use the Upload Wizard to upload all high-quality media. We will create a specific sub-category (e.g., Category:Wikipedia 25 celebrations by WikiClub Tech India) under the main Category:Wikipedia 25 to organize our media.

For Recruitment (Metric: 100+ new signups):

Google Forms: We will use a centralized "Join WikiClub Tech" form to capture data for new members joining the local clubs.

    For Community Feedback (Qualitative Metric):

Google Forms: We will circulate a short post-event survey to attendees and Student Envoys to gather qualitative feedback on the event organization and impact.

    For Social Media Reach:
