- Travel requirements: Travel includes attendance at one regional conference and 2-3 additional community visits throughout the year.
- This role includes regular weekend work to accommodate regional meetings and community programs, including weekend meetings, and some weekend works and meetings when needed (which can be replaced later on for weekdays off).
Employment Type
- Fixed-term contract (initial 12 months, with the possibility of extension; 2 months probation).
Report to
- ESEAP Hub Governance Group and fiscal sponsor Wikipedia Asian Month User Group (WAMUG).
Annual Salary range (USD): 26,000-52,800. This salary range is inclusive of:
- Mandatory social security, labour and/or health insurance, as required by the laws of the applicant's country of residence.
- Superannuation or pension contributions, as required by the laws of the applicant’s country of residence.
- Qualifications, abilities, skills and experience of the applicant.
The final salary offer will be determined based on: The legal employment requirements (such as insurance and pension contributions) in the applicant's location and the applicant's demonstrated experience and capabilities.
Note: We do not request, nor will we consider, the applicant's previous salary history. Salary will be determined fairly based on the qualifications and local employment context of the successful candidate.
Role Summary
The Project Manager will play a pivotal role in the development and implementation of the ESEAP Hub pilot (Year 1). This position will oversee key activities aligned with the Hub's Strategic Plan, Theory of Change, coordinate stakeholder engagement and ensure smooth project execution. The Project Manager will support existing and emerging communities across the ESEAP region in sharing and accessing knowledge freely.
Key Responsibilities
1. Project Coordination and Implementation
- Oversee the implementation of the ESEAP Hub's strategic activities and grant-funded initiatives.
- Develop and manage project timelines, deliverables, and reporting requirements.
- Ensure project activities align with the Hub’s mission, objectives and Theory of Change.
2. Stakeholder Engagement and Communication
- Act as the primary point of contact for ESEAP Preparatory Council and Wikimedia communities.
- Facilitate meetings, workshops, and community consultations.
- Maintain transparent communication channels to ensure effective collaboration across diverse communities.
3. Capacity Building and Community Support
- Support and empower ESEAP communities through capacity-building initiatives.
- Develop resources and frameworks that enhance community decision-making, problem-solving, and governance.
- Manage the coordination of regional events, training, and knowledge-sharing activities.
4. Monitoring, Evaluation and Reporting
- Track project progress, assess impact, and provide regular reports to the Preparatory Council and provide reports in grant reporting software (Fluxx).
- Identify risks and propose solutions to ensure project success.
- Contribute to learning and documentation to support future funding applications.
Person Specification

- Strong project management experience, preferably in the non-profit, open knowledge, or community development sectors.
- Demonstrated ability to coordinate multi-stakeholder initiatives across diverse cultural and linguistic contexts.
- Experience in facilitating community engagement and capacity-building programs.
- Excellent written and verbal communication skills in English and other official languages from East, South East Asia and the Pacific (ESEAP) countries/regions.
- Ability to work independently, manage multiple priorities and meet deadlines.
- Strong problem-solving skills and adaptability.
- Familiarity with the Wikimedia movement, free knowledge principles, and community governance structures.
- Applicant is expected to have his/her own mobile phone, laptop and strong Internet connection
Desirable Criteria
- Experience in grant management and reporting.
- Proficiency in more languages spoken in the ESEAP countries/regions (aside from English and one other official languages in ESEAP).
- Understanding of digital platforms, open knowledge tools or Wikimedia projects.
- Experience working remotely and across different time zones.
