Grants:PEG/WMPL/Ethnography of the Carpathians
The Carpathian Mountains – second largest in Europe after the Alps – are located across Southeast Poland, Southwest Ukraine, Slovakia, Czech Republic and Romania. Although there is a big diversity of local folk culture in the area, it has also many similarities, common history and cultural roots. The goal of the project is to collect bibliography, other reference material, photo and audiovisual recordings regarding local, traditional folk culture of the region, release it on open licenses on Wikimedia Commons – and use it for better coverage of related articles in English Wikipedia and Wikipedias of all the relevant local languages. Specifically, we will focus on documenting regional costume, and folk arts and crafts.
The project is about to be organized together with the National Museum of Ethnography in Warsaw, with whom we locally organized a similar project in 2015, which proved to be successful [1]. The Museum staff will provide expertise in the field of ethnography, the bibliography, local contacts in destination countries, several employees and volunteers, and vast majority of professional video and photo equipment. Wikimedia Polska will provide its expertise in the field of Wikimedia projects, help with editing and upload, its international contacts with Wikipedians in destination countries, and some equipment. Teams consisting of Wikipedians, ethnographers and local contacts will be organized and sent to destination places in order to document folk culture in Wikipedias and Wikimedia Commons. All team members will then write, expand and illustrate a predefined set of related articles on related language versions of Wikipedia.
Goal[edit]
The project will result in a substantial improvement of the coverage of European folklore on English-language Wikipedia and local-language Wikipedia versions. The majority of the regional museums are at the moment unable to share their own images, archives or collections online or in Wikimedia projects. Ethnography is a field with relatively poor access to online material in general, and ethnographic museums frequently lack funds or training to share open images. Expertise of Museum staff allows us to identify the really valuable material, which would not be obtained by generic wikiexpeditions or photo competitions. Using the collected bibliography, the team will predefine main article subjects for each country, complementary and general subjects (of articles) – together, these will form a valuable resource on European ethnography.
- A large collection of 110+ well-referenced articles, illustrated with high quality images, films and audio, will be created on Wikipedia (English as a main language plus 5 local-country languages);
- Around 500 unique objects will be photographed, filmed and uploaded to Wikimedia Commons, including: images of local dress, artifacts, musical instruments (additionally, also pictures of local buildings missing on Wikimedia Commons and other landmarks). This will translate into an overall minimum total of of 1330 media on Wikimedia Commons (with English-language file descriptions and geotagging).
- Volunteers from local communties and staff of regional museums will receive basic training in licensing media for Wikimedia Commons, upload and basics of GLAM participation;
- Wider community of Wikimedians will be involved in the project through CEE Spring 2017 and an illustrating competition in 2017;
- New contacts between Wikipedians in the region will be made.
Plan[edit]
Teams[edit]
The overall team will collaborate remotely throughout the project and consists of 25-30 people (15 in Poland, around 15 in other countries). Each of the 5 trips will be made from Poland by a team of 5 people. A minimum of 2 others (local Museum staff and local Wikipedians) will join them on location, and will carry on working together remotely. The team making the trip to each country will consist of:
- 1-2 Wikipedians
- 2 Museum staff
- 1 volunteer (students / phD students of ethnography and related fields from Poland)
The entire core team, working together throughout the project, will consist of:
- 8+ Wikipedians (Poland); 5+ Wikipedians (other countries; one main Wikimedian coordinator per country)
- 8+ Museum staff (Poland); 8+ Museum staff (other countries)
- 5-10 volunteer students.
This includes only core team; all other contributions are highly welcome! The core team will conduct basic or extended workshops in each visited location for Museum staff, volunteers and others, all of whom will then also participate. The bulk of the work will be done via online collaboration to work on file description, upload, and editing articles.

Setting up the project page[edit]
In preparation for the project we created the project page which will serve as a main collaboration platform, with:
- Basic information about the project; list of participants, museums and contacts
- A list and table of general and specific articles to be written
- A section on media and illustrations;
- Project timeline and coordination information.
Gathering resource material[edit]
Before each Wikitrip, the National Museum of Ethnography will work with local museums to help provide copies of source material (books, publications, other acceptable sources) which will be used to write articles about the proposed subjects. The sources section of the project page was created to gather links to all online sources (open access academic publications, books, magazine articles) and to enable project participants to collectively find reliable sources. See the bibliography for source material that has already been identified.
Local contacts[edit]
Wikipedians from the team establish contacts with Wikipedians from all the countries visited, inform them about the project in advance, and get them involved in editing, as well as in local training workshops and documentation trips. Each trip will be linked to at least one museum of ethnography in the visited region, with whom the team will collaborate on the project (see list of museums below). We will also conduct a basic wikiworkshop for local residents, students and staff in one museum in each country.

- The basics of open collaboration and sharing cultural resources through Wikipedia and GLAM-wiki

- Basic illustrating articles on Wikipedia.

In 2 out of 5 countries (Ukraine and Czech Republic) the team will lead a larger workshop. Preparations and schedule will include:
- Appropriate venue and good Internet connectivity, computers, scheduled time
- Resources on location (reference material, books, journals, etc.)
- Informing the local community (event promotion) and estimating the number of participants.
- Presentation about Wikipedia, GLAM basics, current project
- Editing basics, licensing and Commons upload basics
- 2-hour hands-on editing training with local staff and new volunteers
- New volunteers choose article subjects to edit further.
- Follow-up
- Local volunteers choose articles from the list to translate into their language
- Contact with new editors will be kept through the dedicated mailing list.
- Their progress will be monitored by the Wikimedian in charge of particular trip (Polish team) and the local Wikimedian who will both communicate remotely.
- Article progress will be tracked in the article table on the project page.

Note on Commons upload[edit]
The duration of the project (time between wikitrips) and the number of people involved is important not only because of article writing plan, but also due to the time that is necessary to provide adequate descriptions for each photograph or media file. If the material we document is to be reused in Wikimedia projects, we believe it is very important to look at each image and provide relevant description, Commons categories, other description fields. Here the expertise of the Ethnographic Museum staff (and volunteers from other Museums) will be valuable; however, creating these file descriptions takes time.

Note on the content of images and media files[edit]
- The images taken by project team in each country will be images of culturally significant objects, artwork and communities which would be very hard to obtain in other ways.

Short film content
Below are a few examples of cultural heritage we aim to record as video clips:
– The making of a traditional Hutsul outfit; the production of ceremonial and wedding Hutsul outfits (Ukraine);
– The process of making embroidery characteristic for the Carpathian Arch, including embroidery made solely by male community members;
– The process of glass painting, preparing the materials and finishing;
– Short interviews with the craftspeople and people wearing folk dress – especially in regions where folk dress is still worn daily today;
– Short videos of local museums and local experts explaining their significance.
– Clips presenting the use of rare tools and rare musical instruments.
We will also document the teams (volunteers) in the field and afterwards, to document the project process and for project promotion.
Community engagement and file reuse[edit]
Follow-up activities to engage a wider Wikimedia community in editing and translating articles and reuse images & media files:
- Adding the 'Carpathian culture' category of articles to 2017 CEE Spring competition. In 2016, articles on cultural subjects enjoyed popularity; we can expect interest from editors offered an opportunity to explore their own folklore besides usual proposed subjects of local government or politics. CEE Spring's goal is to further "information about history, culture, traditions and people in every corner of the region". The idea of incorporating project articles into the contest received initial support from the competition organisers, and we are looking forward to offer a new cultural theme to expand to the CEE Spring contest participants.
- Running a 3-month illustrating competition (July-September 2017) on English Wikipedia + 5 relevant-language Wikipedia versions, dedicated only to illustrating articles with files from the project category. The most active editors illustrating articles will receive small prizes funded by the National Ethnographic Museum in Warsaw. A competition page will be run as a section of the main project page on English Wikipedia, with a list of participants, points system and competition rules. (Note: WMPL ran a similar illustrating contest in 2015 with the State Archive in Poznań, increasing the reuse of Commons files from 11 to 39% in 8 weeks)
- Optionally, each time 1 month after documentation, running a thematic week on English Wikipedia devoted to folklore of a visited country. A list of subjects and sign-up will be provided on the project page. We will use geographic notification to target local communities.
- All the above activities will be promoted on-wiki (Wikimedia Commons, CEE pages, local Wikipedia pages) and through appropriate social media.
- During the wikiexcursions, we will offer a basic workshop of licensing own images and Commons uploading to local volunteers and Museum staff, with whom teams will later collaborate online. Materials and documentation for further learning will be provided.
- A section of the project page will be devoted to proper upload rules and illustrating articles. File usage statistics will be monitored using the glamorous and glamorgan tools.

Fit with strategy[edit]
Increasing participation:
- The team will organise a Wiki training workshop in each of the visited locations (at one of the collaborating museums).
- Local museum staff, students and interested members of the public will receive basic training in writing articles and Commons upload; they will then be able to carry on with expanding their local language Wikipedia entries about local themes, as well as perhaps collaborate with local Wikimedia chapters.
- The project will be conducted over a long period, which will allow new contributors to get into Wikipedia and receive continuous support from team members. Workshops for local museum staff will also contribute to the diversity of editors (new expertise). The example of the National Ethnographic Museum is likely to encourage smaller, local museums to follow it and initiate collaboration with Wikimedia.
Increasing quality:
- The main idea behind the project is to increase quality of ethnography-related content on all relevant Wikipedias.
- The bibliography assembled before the trips will serve to help write exhaustive and well-researched articles about the subject matter. It will also help to better categorize articles relating to folklore of Central Europe on relevant editions of Wikipedia (currently the categories and templates group articles randomly).
- Improvements in quality within the covered topics include:
- Ensuring proper descriptions of files depicting folk dress and artworks (and correcting existing image descriptions where possible);
- Illustrating articles (including existing ones) with images of historical dress where appropriate, modern reinterpretation where appropriate, folk costume where appropriate;
- Articles on folk dress or items of clothing should include historical sections and sections about modern folk dress with illustrations, information on date taken, location and source; sections on the current condition of that item or style in a given region, whether it is still produced, etc.
- Existing and new articles will be reviewed by the Museum team and by collaborating Museum staff – so that volunteers can work on improving the quality of articles.
- The media recorded during the project will serve to adequately illustrate various articles across Wikimedia projects.
- Ethnography and culture of Central Europe are now relatively under-represented on English-language Wikipedia.
Measures of success[edit]
The main results of the project will be:
- A minimum of 1300 photographs (with proper descriptions) of folk dress and folk art on Wikimedia Commons;
- A minimum of 20 short video clips on Wikimedia Commons;
- 10 professionally edited 5-10min. films on Wikimedia Commons (2 per region);
- A minimum of 50 new (or substantially expanded) articles relating to the subject matter on English Wikipedia;
- A minimum of 40 new (or substantially expanded) articles on Polish Wikipedia
- A minimum of 20 new or expanded articles on other Wikimedia projects – which we aim to substantially extend by including the Carpathian culture category into the CEE Spring contest.
- A minimum rate of media reuse on Wikimedia projects of 30% by November 2017 as measured by the glamorous statistics tool.
- The project will have also an outreach effect due to establishing live contacts with local ethnography museums and local rural communities. 2 full-length workshops and 3 basic ones will be organized locally. We hope to raise awareness / participation in glam-wiki in all visited regional museums (and track resulting engagement)
- We will track the number of new editor accounts created and the number of existing editors involved in the project.
- An English-language project page will be created, linking all content and images and serving as a knowledge base on the topics covered.

The National Museum of Ethnography contribution[edit]
The National Museum of Ethnography will include its own resources into this project: a percentage of the salaries of 3 employees who will be core of the project team. This is calculated as
- 95 working days spent on Wikitrips +
- 30 days of research, gathering bibliography and verifying the quality of new articles
- 30 days of work on montage of recorded films, audio and file upload, and providing accurate and informative file descriptions for all uploaded files.
Total: 95 working days * 3 staff (as calculated in the budget table) = 465 working days at 60PLN per day = 27,900 PLN
The Museum will also provide:
- Professional camera and recording equipment (film camera, cameras, microphones, memory) and equipment insurance
- Museum spaces for the final presentation of the project - 2000 PLN
- Optionally, additional costs of editing video material and providing subtitles.
Total contribution: 27,900 PLN (salaries) + 2,000 PLN (Museum space) + 16,250 PLN (equipment) = 46,150 PLN
Previous project experience[edit]
Many members of the team have collaborated previously on a Polish-language Wikiproject Ritual Year with Wikipedia which was successful both from the Wikimedia and Museum viewpoint. Participants wrote over 40 articles such as these in Polish, English, uploaded close to 1000 media files to Commons; based on the articles and photographs uploaded to Wikimedia Commons; the Museum also published a short educational book about Polish folklore rituals, also available on Wikimedia Commons on an open license 'Etnowiki. A Ritual Year with Wikipedia' – see illustration. The project received a nomination to Sybilla Museum awards for 2015.
We have experience of liaising with local residents and institutions, coordinating the Wikitrips, collaborating online on editing and upload, and all key components of the project. The main innovation is widening the theme and scope to an international level, which will enable to cover more content and engage a more diverse group of Wikipedians.
Lessons learned from the 'Ritual Year with Wikipedia' for the future:
Our collaboration with the National Ethnographic Museum in Warsaw was an experimental, new kind of project. In the closing months of that 10-month project, we were preoccupied with preparing and editing an open publication, which on the one hand generated interest of other local GLAM institutions in collaborating with Wikimedia, on the other – resulted in not enough team time devoted to reusing our media on Wikimedia Commons and a resulting relatively low initial reuse. Since then, however, WMPL has run at least two GLAM projects placing more stress on file reuse from the outset – for example, the National Museum in Warsaw collaboration (statistics), or the small archival competition aiming to improve the reuse of State Archive in Poznań files on Polish Wikipedia (statistics). For this project, we plan for high engagement of the Wikimedia community and reuse of the files in Wikimedia projects from the very beginning.
What worked well:
– Small mixed teams of Wikimedians, experts and engaged volunteers, collaborating online throughout.
– Logistics and organisation
– Informing local communities in advance
– Promoting the project throughout its running
What will be done differently:
– More varied content of both articles and images taken;
– Making sure all Commons categories, file titles, file descriptions are in English and then local languages;
– A specific plan for reusing files (see Community engagement section);
– One Museum expert per country responsible for reviewing file descriptions and references for articles;
– Short, varied video clips in place of longer footage.

The team has collected an extensive bibliography. The academic and specialist ethnographic publications – please see list of publications – will be used as reference material for writing and expanding articles.
Risks[edit]
- Equipment failure
As with any equipment-reliant project, we may encounter a situation where a piece of our equipment breaks down. This risk should be minimised by the availability of 2 video cameras from the Museum, as well as hobbyist cameras owned by team members. Team members will also bring their own DSLR camera equipment alongside the DSLR owned by the Museum. The team will collaborate to ensure all charging equipment, memory and other kit is in good condition prior to the wikitrips. Wikimedia Polska will also rent an external memory drive for the project.
- Unforeseen circumstances
Ethnographic field trips sometimes encounter problems on location - collaborators on location, local experts or artists may be unavailable at specific times. It is possible that a trip will be carried out up t a week earlier or later, subject to confirmation of availability of local Museums, local artists, and all preparations on location. However, general organizational challenges will be countered by the Museum team establishing local contacts and planning the visits well in advance, leaving the local community the time to prepare the visit, workshop and reference material locally (the Etnographic Museum has extensive experience in organising field documentation visits).

Equipment[edit]
- Photographic tent/table
- We would like to use the photo tent to make professional, clear photographs of textiles and art, that are of high quality and can be reused in Wikipedia articles on diverse subjects. After the project concluding, the photo tent will be rented by Wikimedia Polska free of charge, to volunteers in Poland carrying out other photographic work for Wikimedia Commons (photographing coins, scientific equipment, art and other valuable images).

Editing films, video and audio files
- The National Museum of Ethnography team includes Mariusz Raniszewski - DoP and video editor - and Magdalena Guziejko - camera operator. These two team members will do the majority of work on editing films and video clips. There is however other work they need to conduct within their other duties, thus there may be a need to employ an external video editor for the 10 films, to help Museum film crew with professional and timely editing of audiovisual media.

The National Museum of Ethnography: a percentage of the salaries of 3 employees who will be core project team. This is calculated as a total of 95 working days spent on Wikitrips + 30 days of research, gathering sources and bibliography + 30 days ofediting recorded films and audio, preparing the correct descriptions for objects photographed, uploading to Wikimedia Commons.

The Museum will also provide:
- Professional camera and recording equipment (film camera, cameras, microphones, memory) and equipment insurance: 14000 PLN
- Edit suite use (details in budget table): 10000 PLN
- Museum spaces for the final presentation of the project: 2000 PLN
- Any extra costs of editing video material and providing subtitles.

- The good referenced articles and images which will be created in half a dozen of languages, especially in English, can and will be used for translation in the over 30 languages of the region during the next Wikimedia CEE Spring. - Continuation of a successful partnership with a reputable GLAM partner, extending the direct scope beyond one country and language. I am not aware of any such regional project run with an institution (and creating a network of local institutional partners), and it would be an important learning for the Movement and an opportunity to create further links in WMCEE region. Moreoever, it brings an opportunity to collect an unique content and the utilization of experts brings a high probability of high quality of it. Finally, it would expand our diversity in terms of the content, bringing more resources about less populous and diminishing cultures, including their oral etc. traditions.
