This event targets a diverse group of participants drawn from the Wikimedia movement and the wider environmental and sustainability community. These include:

  • Wikimedia community members, particularly editors and contributors interested in environmental, climate change, biodiversity, and sustainability-related topics across Wikipedia, Wikidata, Wikimedia Commons, and other Wikimedia projects.
  • Members of the EcoWiki Project User Group and other thematic or affiliate user groups working on environment-related knowledge.
  • Newcomers to the Wikimedia movement, including students, early-career researchers, and volunteers with an interest in environmental knowledge who may have little or no prior Wikimedia editing experience.
  • Experienced Wikimedians who can act as facilitators, mentors, or trainers during workshops and hands-on sessions.

  • Strengthen environmental content on Wikimedia platforms
  • To improve the quality, quantity, and diversity of content related to environment, climate change, biodiversity, and sustainability across Wikipedia, Wikidata, and Wikimedia Commons.
  • Build capacity within the Wikimedia community
  • To equip participants with the skills, tools, and knowledge needed to contribute effectively to Wikimedia projects through trainings, workshops, and hands-on editing sessions.
  • Engage and onboard new contributors
  • To introduce newcomers to the Wikimedia movement, lower barriers to participation, and create a supportive pathway for long-term engagement in environmental knowledge contribution.

Based on the community engagement survey, participants are interested in discussing cross-language and cross-cultural collaboration, planning for organizational and community growth, and the development of the EcoWIKI Hub. They are also expecting to have a networking and mentorship program and a roundtable discussion on global collaboration, and collaborative content creation. Participants identified the need to have collaborative spaces, networking and mentorship opportunities and skills-building workshops.

Our work directly addresses knowledge inequity by focusing on environmental topics, climate change, and sustainability issues that are underrepresented on Wikimedia platforms, particularly for regions and communities. Through edit-a-thons, targeted content creation, translation initiatives, and mentorship programs, we empower both newcomers and experienced contributors to produce accurate, accessible, and locally relevant content. By prioritizing diverse perspectives, languages, and media, we ensure that a wider range of knowledge is represented, helping close critical content gaps and making open environmental knowledge more inclusive.

Yes, we intend to invite and engage with non-Wikimedian individuals and organizations. Our outreach will target environmental NGOs, researchers, educators, local community groups, and sustainability-focused institutions. The intention is to:

  • Bring subject-matter expertise into Wikimedia projects, ensuring the content we create is accurate, up-to-date, and relevant.
  • Expand the reach and impact of the conference by connecting the Wikimedia community with external partners who share our mission of open environmental knowledge.
  • Foster long-term collaborations that enable joint initiatives, such as co-created resources, workshops, and training programs, to address content gaps and knowledge inequity.

We will use these guidelines in deciding on scholarships:

  • All Wikimedia User groups in Tanzania must have a representative.
  • Unaffiliated communities and volunteer individuals engaged in global movement communications will be supported.
  • Volunteers who are in the Wikimedia movement and have been engaged in Wikimedia Movement Strategy and Governance activities both in-person and online will be prioritized.
  • We will also ensure diverse participation in the event.

Also we aim to support participants from underrepresented regions and communities, newcomers to the Wikimedia movement, and those who demonstrate a strong potential to contribute to addressing knowledge inequities on Wikimedia projects

26. In which ways can Wikimedia Foundation staff support your event onsite?

We would greatly appreciate the support of Wikimedia Foundation staff in the following ways:-

1. Outreach and Communication.

Staff could help amplify the event’s visibility within the Wikimedia community and beyond, leveraging their networks and platforms for promotion. 2. Leadership Sessions. Staff with expertise in specific areas could lead or co-lead sessions, providing valuable insights and guidance to participants. 3. Mentorship. Staff could serve as mentors before, during and after the event, offering advice and support to the C.O.T and participants, particularly newcomers. 4. Post-Event Engagement. Staff could help facilitate continued engagement post-event, such as through follow-up communications or the establishment of mentorship programs

Yes. We will accommodate three WMF staff members to join the event. We will need assistance in connecting with resource speakers, facilitating conversations, and documenting outcomes of this event.

1. Event Director The Event Director will oversee the entire event planning process, ensuring that all aspects of the event are on track. They liaise with all team members, manage timelines, and ensure that the event aligns with its objectives. 2. Program Manager. The Program Manager will be responsible for developing the event program. 3. Logistics Manager. The Logistics Manager will handle all logistical aspects of the event. This includes venue booking, transportation, accommodation, and catering. 4. Communications Manager. The Communications Manager will handle all external communications, including promoting the summit on social media. 5. Volunteer Coordinator. The Volunteer Coordinator will manage all volunteers. He will recruit, train, and assign tasks to volunteers, ensuring that all areas of the event are adequately staffed. 6. Scholarship Coordinator. The Scholarship Coordinator will manage the scholarship program. He/she will oversee the application process, selection of recipients, and disbursement of funds. 7. Safety Officer. Yes, we are planning to co-organize the EcoWIKI Summit 2026 with the Wikimedians of Arusha User Group, Wikimedia Tanzania User group.

1. The Wikimedians of Arusha User Group will play a crucial role in local logistics, venue coordination, and community outreach within Arusha and nearby regions. They will also provide valuable insights into local customs and practices, ensuring the event is culturally sensitive and inclusive.

2. Wikimedia Tanzania User Group a group dedicated to improving the content of the Swahili Wikipedia, will be instrumental in engaging the Swahili-speaking community. They will lead sessions on contributing to the Swahili Wikipedia, provide translation support, and help promote the event among Swahili-speaking communities.

29. What kind of risks do you anticipate and how would you mitigate these?

1. Political Instability or Security Concerns: In case of any unforeseen political instability or security concerns in the region, we will closely monitor the situation and take necessary actions, which may include changing the venue or moving to a virtual format. 2. Leadership Changes: Changes in the organizing team could impact the event planning and execution. To mitigate this, we have a succession plan in place and ensure that knowledge and responsibilities are shared among team members. 3. Budget Overruns: Unforeseen expenses could lead to budget overruns. We’re mitigating this risk by maintaining a contingency fund and closely monitoring our expenditures. 4. Low Participation: There’s a risk that we may not attract enough participants. We’re mitigating this by starting our promotional activities early and targeting a wide range of potential participants.
