Our target participants are Wikimedia users from South Korea, Japan, Taiwan, and Mongolia. The participants are not required to be very skilled Wikimedia users, but they need to know how to edit Wikipedia articles basically.

We conducted it from December 9 to 20, 2024.

13. What are the main objectives of the event?

We will invite people from South Korea, Japan, Taiwan, and Mongolia. Because these countries geographically neighbor with each other, they have influenced and interacted historically, and economically. However, they are now isolated from each other for political and geographical reasons. Moreover, most people in the countries speak only their own languages, and they have struggled with communicating with each other. As a result of the advance of AI technology, we can easily translate one language to other languages without human translators or interpreters. We will explore new opportunities to improve Asia-specific contents on Asian language Wikimedia projects.

This event is a pilot event for bigger international events such as an ESEAP conference. As one of the Wikimedia chapters, the ESEAP community expects us to host an event for them. That’s why we need the experience of hosting an international event.

14. Based on survey responses, what are the most important things your community should do at the conference to achieve these objectives?

According to the survey, the respondents ranked presentations and panel discussion as the most important activities for our event. We think they are eager to share their own experiences and learn from projects of the other communities. We will provide an opportunity to learn how to use AI technology to enhance their contents.


They also answered that group tours and social events are needed. We are planning to host a photo walk in Yongsan Park and a museum tour in the War Memorial of Korea nearby the park. The Yongsan Park was formerly an US army base, and It had been protected for a very long time. We will encourage the participants to upload their image of the park and museum on Wikimedia Commons and improve related articles in English or their own languages.

15.1. In a few sentences, explain how your work is specifically addressing this content gap (or Knowledge inequity) to ensure a greater representation of knowledge. (optional recommended).

When we browse through English Wikipedia or Wikidata, we can easily realize they have less contents related to Korea than European or North American countries. This content cap is largely due to a language barrier. These days, we can overcome this barrier using more advanced AI technology. We will teach the participants how to use AI and encourage them to improve Asia-related articles with the technology beyond the barrier.

We will keep track of activities of the participants through surveys and interviews. We will also keep planing and organizing collaborative events with Japanese, Taiwanese and Mongolian communities. They can include online edit-a-thons, hybrid international meetups, and online meetings. We will continue to exchange our ideas with those communities after the event.

Logistical Aspects

21. Do you have any proposed venue for the event?

We are considering Silla Stay Gwanghawnum as the venue. As a three star hotel, It is located nearby Gwanhwanun Station and Jongak Station. The participants can easily and quickly arrive in the hotel from Seoul Station, Seoul's transportation hub. It is also relatively affordable, compared to four-star hotels in Seoul.

22. Is the event venue and hotel accessible for people with physical disabilities?

23. How many scholarships would you like to offer?

We will offer full scholarship to 57 people.

24. What expenses will the scholarship cover?

Travel scholarship for 37 people from foreign countries will cover:

  • Accommodation fees
  • Flight fares
  • Visas (only for Mongolians and participants from ESEAP prep council)

Travel scholarship for 20 people from South Korea will cover:

  • Accommodation fees
  • Land transportation fees
25. How will scholarship recipients be selected?

Our team and Wikimedia Korea Board members will select the recipients. We will invite 20 people from South Korea, 15 people from Japan, 15 people from Taiwan, 5 people from Mongolia, and 2 people from the ESEAP preparatory council. Wikimedia Taiwan and Wikimedians of Japan User Group can recommend 3 people from their communities each. We can slightly change the allocation, depending on the number of applicants. Presentation speakers and volunteers will be prioritized, and contribution and reputation of the applicants will be taken into account.

We are supporting neurodivergent people's activities on Korean Wikimedia. To enhance our diversity, we will invite neurodivergent people from South Korea. They will be invited by the team or selected through a special application process.

We would like to invite around 3 WMF staff members in charge of Asia strategies and ESEAP Hub. This includes but not limited to: Ivonne - Senior Movement communications specialist for ESEAP, Junko Nakayama - Japanese community ambassador and Jacqueline - Senior program officer for community resources team

27. Please outline the roles and responsibilities of the organizing team for the conference.

Wikimedia Korea staff and board members will consist of the core organizing team. The team will be divided into 4 departments.

  • Logistics department will reserve venues and flights, rent buses, organize registration processes, and provide technical support.
  • Program department will invite presentation speakers, and facilitate program planning and meetings.
  • Volunteer management department will manage part-time employees and support volunteers.
  • The Trust and Safety department will charge event safety through the conference.

The executive officer of Wikimedia Korea will be the WMF liaison. Wikimedia Korea board and staff members will select the scholarship recipients.

Learning, Sharing, and Evaluation

31. What do you hope to learn from your work organising this conference?

We hope to explore new chances to create Asia-specific contents, using new technology. We will host a photo walk and an edit-a-thon and we will thoroughly observe whether this approach is effective, based on the result.

Because we anticipate that many participants cannot speak English fluently, we are planning to employ Japanese-Korean, and Chinese-Korean interpreters. This approach was successful in our previous collaboration with the Japanese Wikimedia user group. We expect that the interpretation will contribute to the launch of new collaborative projects and the formation of human networks between Asian Wikimedia users.

As we mentioned before, this is a kind of pilot event for a bigger international event. We need to gain experiences and learn our strengths and weaknesses by hosting smaller international events.
