13. What are the main objectives of the event?

To gather all Wikimedians from all over the country since we have never done anything like this for the Wikimedia movement in Malaysia despite having active members and organised a lot of events all over the country. Wikimedians from Malaysia has been around since 2002 but they have barely gathered and interacted physically to discuss about Wikimedia projects and the movement itself. Malay Wikipedia community have even came up with a plan to organise such conference in the past but was never realised due to lack of support. We want to gather all Wikimedians to discuss on how we can improve Wikimedia projects and the movement in Malaysia.

The two main objectives of the event would be to find a way to handle editor retention. The second objective would be governance strengthening.

A lot of the submissions from the survey state that editor retention is the number one priority for the community to deal with in the conference. This is in line with the Global Trends where 'people participate eagerly in online spaces that provide rewarding connection'. In return, we would like to see a higher number of volunteers actively participating in organising events in the next five years.

The affiliate needs to be fully reliable in catering the needs of the community. There are a lot of works that are not properly handled by the current governance due to uneven distribution of workload among the committee members and also lack of volunteers to focus on a particular issue. This is also in preparation for chapterhood. One of the goals to achieve this objective would be to put up a working group for relevant focused themes of the affiliate like language and community. The ultimate goal for the next five years is for the affiliate to become a chapter instead of a user group.

14. Based on survey responses, what are the most important things your community should do at the conference to achieve these objectives?

Discussions and Guidelines: Need to hold a discussion to increase content on Wikimedia projects in the Malay language and other local languages. Set up a guideline on dealing with vandals, editing etiquette and the structure of the project website. Dividing and coordinating tasks: In the current setup, tasks and workloads are up for grab without anyone being assigned to be responsible of doing it. By identifying the impactful tasks, participants can delegate the tasks to committing volunteers Training and Skills: Provide trainings on handling with vandals and technical aspect of the website. Also train on how to organise Wikimedia events in their places. In-Person Actions: Organising hands-on activities and discussion with the community on urgent matters. Engagement and Community Development: Training the participants on their skills.

We are planning to invite existing partners of Wikimedia Community User Group Malaysia to the conference. Our intention is to give appreciation to our partners who have been supporting the movement for a long time. We will invite potential partners like universities and government agencies. Our intention is to let them see how attractive and important is the free knowledge movement.

19. What will you do to make sure participants continue to engage in your activities after the event?

We will be collecting their contacts so that we can inform them about future Wikimedia events in Malaysia. We will be asking participants to fill out a post-conference survey after one month. We will be inviting promising participants to events as facilitators. We will be asking participants on what programmes they would like to organise or assist in. For existing Wikimedians and scholars, we will organise a monthly community call so that they can engage in community-based decision making on plans and activities of the affiliate.

21. Do you have any proposed venue for the event?

IIUM Cultural Centre located in International Islamic University Malaysia in Gombak, Selangor, Malaysia We propose this venue because IIUM is home to the IIUM Wikimedia Club. Makes it easier for members of the wikiclub to assist in organising the conference. The venue can fit all 80 participants. There are main hall, foyer, banquet hall, glassroom and conference room.

Will be selected through the scholarship form. We have identified specific communities to join the conference along with its expected number of participants. It is listed in the budget spreadsheet.
