Part 1: Understanding your work
[edit]Per the recent update on the Wikimedia Foundation Affiliates Strategy process, Wikimedia Affiliates that are General Support Fund grantees will fulfill their affiliate reporting requirements through their final or yearly grantee report.
If you are a Wikimedia Affiliate, you will use this form for your affiliate reporting and to address the affiliate health criteria. You do not need to submit a separate report to AffCom. Follow the guidance in the green boxes to report on how you met the corresponding affiliate health criteria.
If you are not a Wikimedia Affiliate, aligning your responses with the affiliate criteria is optional and not required.
1. Please share to what extent your programs, approaches, and strategies contributed to addressing the challenges you shared in your proposal. If they did not contribute as you believed they would, please share what obstacles you faced and what, if anything, you learned from them? (required)
For affiliates, use this space (Question 1.) to address Affiliate Health Criterion 1.1 (Goal delivery). Describe how you actively delivered on mission goals, e.g. content creation.
We've seen good results in the areas supported by the Wikimedia Foundation's General support grant. Thanks to a successful fundraising campaign (the Tax Deduction 1.5%), we increased our total raised by 13% compared to 2024. WMF support for GLAM and open science activities has led to the formation of new partnerships.
Employees are very satisfied with the opportunity to benefit from burnout prevention support (primarily anti-burnout trainings and gym and pool passes). Thanks to the Inclusion Fund, 40 Wikimedians, including those with special needs, were able to participate on the spot in our meetings. The Wikiteka program attracted another 15 participants, joining the group from previous editions.
2. Is there a plan to build on the key successes you had? If yes, please describe the plan and if no, please share the limitations to do so. For instance, did the activities lead to any new priorities, ideas for activities, or goals for the future? (required)
Yes, we are planning effectively and using our accumulated experience. Thanks to our collaboration with a new advertising agency, we are planning fundraising campaigns differently and expect further growth not only in our 1.5% Tax Deduction campaigns, but also in campaigns targeted at individuals and businesses. We are creating a business partnership program.
Thanks to our activities in the area of open science in 2025, together with our partner, the University of Silesia, we are organizing the Open Knowledge conference. Wikimedia and research (October 2026). The conference will open a new stage of cooperation between the Wikimedia community and the academic community in Poland and CEE region.
Our commitment to GLAM is resulting in new collaborations. We prioritize long-term collaborations through Wikimedian in Residence programme. In 2025, we introduced WiR to another institution, and are planning at least one new residency in 2026.
3. Please provide a link to reports that detail the activities that took place in the last year. This can include an annual report, Meta pages, and websites. If there are no links available, briefly describe the implemented activities and programs below or upload any files. (required)
For affiliates, use this space (Question 3.) to address Affiliate Health Criteria 2.1 (Affiliate health & resilience), 4.1 (Internal engagement), 4.2 (Community connection), and 4.3 (Partnerships and collaboration):
- Describe your activities engaging new users, new members for your decision-making body(ies), and developing leaders and organizers (2.1).
- Describe your activities creating or hosting spaces to encourage greater collaboration and engagement among your members (4.1).
- Describe how you engage with the contributing community that you serve and/or support (4.2).
- Describe your partnerships with other affiliates or with non-Wikimedia entities (4.3).
Here we share links to websites of our major activities in 2025:
1. Annual spring conference Wzlot: [1] (focus on knowledge sharing and attracting academic partners into wiki environment)
2. Knowledge mine 2025: [2] (Edit-a-thon 320 meters underground - WMPL's 20th birthday)
3. Glam programme WikiChelmonski with National Museums from Cracow and Poznan: [3]
4. Wikiteka edition 2025-2026: [4]
5. Wiki Loves Monuments 2025: [5]
6. Wiki Science Competition 2025: [6]
7. (Un)known Women of Wikipedia 2025: [7]
8. Wikigrants: [8]
9. Wiki Valentines: [9] (editing contest)
10. Christmas editing action: [10]
More here: [11]
4. Are you interested in sharing what you achieved or learned this year with the wider community through different peer learning programs (e.g. Let's Connect program, Diff)? (optional)
Yes, we're always eager to share. We attended few international conferences, where we had an opportunity to meet other follow wikimedians and share knowledge and experience (Wikidata and research; CEE Meeting, Glam Conference), we're active in VSN, we write to Diff: [12]
5. Did you collect feedback from your community or target groups on how the activities implemented impacted them? If yes, please attach/provide information on the results (e.g. community surveys, stories, impact booklets/reports, interviews with partner institutions, etc). Did you collect other impact-specific data? (required)
For affiliates, the response to Question 5. also partially addresses Affiliate Health Criteria 4.1 (Internal Engagement), 4.2 (Community Connection), or 4.3 (Partnerships & collaboration), where applicable.
We collect feedback from participants of our events. We're excited to say that that general opinions were very good. There are two major issues worth talking about:
1. Introducing academic partners and their presentations to our annual spring conference Wzlot 2025 was received positively by wikimedians participating in the event. Almost all the participants awarded high scores to these points in the conference programme in post event survey. It was subtle but meaningful shift, and we're going to continue this trend in 2026, remembering to keep balance between very "insider" Wikipedian presentations (75% of the program) and academic approach to open science and wiki environment (25% of the programme).
2. The edit-a-thon in historic coal mine Guido, 320 meters underground, was a once-in-a-lifetime experience for many of the participants. They were happy to be there, and they will remember this forever. This kind of activity is a great boost for Wikipedians, it gives joy and strength to keep editing. And it's a great opportunity to integrate. The only sad conclusion is: it will be very difficult to repeat it.
6. During the fund period, did your efforts do any of the following? (required):
For affiliates, the response to Question 6. also partially addresses Affiliate Health Criterion 2.2 (Diversity balance).
- 6.1 Bring in participants from the following groups: women, people with disabilities, neurodiverse people, indigenous groups , people from lower socioeconomic status, young people, speakers of minority languages
- 6.2 Develop content about the following underrepresented topics or groups of people: women, indigenous groups, speakers of minority languages
- 6.3 Support the retention of: Editors, Organizers, Partnerships, Wikimedians in Residence positions
7. What, if any, effective tactics or approaches can you share that worked well when dealing with the programs under points 6.1-6.3 that you selected? (optional)
Plan individual activities with the participation of community members; conduct surveys after the activity, organize retrospective sessions - what happened, what was good, what was bad, use the material from the retrospective sessions when planning the next activities.
8. If you developed partnerships, which of the following factors most helped you to build partnerships? Please pick a MAXIMUM of the three most relevant factors (optional):
Permanent staff outreach, Board members’ outreach, Partners proactive interest
Part 2: Metrics for Year 2
[edit]| Wikimedia Metrics | Target (Year 2) | Results (Year 2) | Comments and tools used |
|---|---|---|---|
| Number of all participants | 100 | 97 | Wzlot 2025 was a success, with the number of participants reaching an all-time high. The number of on-spot participants was close to 100, the number of views on our YouTube channel was over 300. |
| Number of all editors | 10 | 12 | Most of the active new editors acquired through grant-funded activities come from universities we work with. Their activity remains strong for several months, but then wanes with summer vacations or the end of university classes. This does not satisfy us. We're changing approach. In 2026, we are introducing a new program, "Join Wikipedia," which will bring us closer to new editors and support them with frequent and regular contact over a longer period. |
| Number of new editors | N/A | 193 | |
| Number of retained editors | N/A | 73 | |
| Number of all organizers | 1 | 1 | In 2025, we participated in the European Open Science School for Data Stewards. This is an annual course for university data stewards, organized by our new partner, the University of Silesia. We were given a special part of the program - a whole evening at the castle in Cieszyn for presentations and discussions We presented the Wikidata, other Wikimedia projects and the idea of Open Knowledge conference in 2026. We have signed a cooperation agreement with the University of Silesia, and together we will organize the above-mentioned conference in 2026
We were invited to join an international consortium of universities and museums, led by Nord University in Norway, in the Horizon program, where we worked on the idea of using Wikimedia projects to initiate activities that maintain the traditions and customs of border communities. The City of Warsaw has organized a project to document the city's intangible heritage on Wikipedia and other projects (Wikidata, Commons). We have joined in planning the activities. The activities themselves will be carried out in 2026 |

Tool used and comments (optional):
Wikipedia's data on new and revised articles only covers campaigns in which we were directly involved (Knowledge mine, Unknown Women, CEE Spring, Wikipedia on the Kurpie region, WikiChełmoński). Indirectly, the number reaches over 2,000 new articles (promotion of wikigrants, more or less spontaneous small editing contests during our events, editing activities led by our partners from education and cultural institutions).
The data for Commons comes from only one Wiki Loves Monuments campaign (2025)
11. Did you set other quantitative and qualitative targets for your project (other metrics)? (required): No
11.1. Other Metrics.
In your application, you outlined some other open metrics that you would like to measure. Please fill out the achieved results for each of the open metrics you defined.
| Other Metrics | Description | Target | Results | Comments | Methodology |
|---|---|---|---|---|---|
| Financial diversification | Financial diversification. We currently have two major sources of financing the organization: 1,5% campaign and WMF General Support Fund. Together, they make up for more than 80% of our revenues (1,5% - 58%; WMF - 23%). We want to build other firm sources. In 2025 we want to change the structure of revenues (while increasing the budget), so the two mentioned we make less than 75%. | 25% of revenues come from other sources than General Support Grant and 1,5% campaign | N/A | N/A | N/A |

Part 3: Skill Development / Capacity Building
[edit]12. Reflecting on your programmatic (external) and organizational (internal) work, did your grant support you to undergo any skill development that made a difference to your success? If yes, what skill was developed, and how did it lead to success? (e.g. received coaching on public speaking, attended training on nonviolent communication, hosted professional development conversations on leadership, learned and used a new tool for project management, etc.)? Can you share any materials? (required)
For affiliates, use this space (Question 12.) to address Affiliate Health Criteria 2.2 (Diversity balance) and 3.1 (Diverse, Skilled, and Accountable Leadership):
- Describe actions taken to prioritize gender balance in affiliate leadership, as well as any areas of diversity relevant to your affiliate's context (2.2).
- Describe the management, financial, or other leadership skills of your affiliate leaders. If you have a succession plan, please include it here (3.1).
- Describe any training or skill development (as outlined in the question above) (3.1).
- Incorporate into the annual report a disclosure of conflict of interests (if any) from the leadership (3.1).
In 2025, we began intensive efforts to build Wikimedia Polska's image as an expert in the knowledge ecosystem and cultural resources. Our managers participated in more conferences, including as speakers. They also completed public speaking training.
All employees also received training on AI introductions (tools and how to use them). This will continue in 2026—we will evaluate our work processes and tools and select the most effective solutions.
Communications and fundraising employees received training in grant application writing. The technology specialist completed front-end developer training.
We receive more invitations to conferences as speakers, we have more participants in our events from the academic and cultural world
13. What is one capacity/skill area that you would like to focus on for the next year? And how do you plan to achieve this capacity? (required)
Improving work processes and tools. In early 2026, an audit of work processes and tools will be conducted by an external company, which will, after analysis, issue recommendations for further improvements. We want to reduce the number of tools we use, improve internal communication, and streamline work processes
14. If you have additional information or reflections that don’t fit into the above sections, please write them here. Use the space below to upload any additional documents that would be useful to understand your report.
For affiliates, also use this section (Question 14) to fulfill the Affiliate Health Criteria requirements.
- Describe and link to any public-facing documentation for affiliate governance, including affiliate leadership and membership with a breakdown of the demographics; how elections are conducted; how conflicts of interest are declared; and how decisions are made and communicated (2.2, 2.3, 3.1).
- Describe and link to any public-facing documentation for activities incorporating, promoting awareness about, or enforcing the Universal Code of Conduct in your affiliate's activities (3.3).
