Part 1: Understanding your work

[edit]

Per the recent update on the Wikimedia Foundation Affiliates Strategy process, Wikimedia Affiliates that are General Support Fund grantees will fulfill their affiliate reporting requirements through their final or yearly grantee report.

If you are a Wikimedia Affiliate, you will use this form for your affiliate reporting and to address the affiliate health criteria. You do not need to submit a separate report to AffCom. Follow the guidance in the green boxes to report on how you met the corresponding affiliate health criteria.

If you are not a Wikimedia Affiliate, aligning your responses with the affiliate criteria is optional and not required.

1. Please share to what extent your programs, approaches, and strategies contributed to addressing the challenges you shared in your proposal. If they did not contribute as you believed they would, please share what obstacles you faced and what, if anything, you learned from them? (required)

For affiliates, use this space (Question 1.) to address Affiliate Health Criterion 1.1 (Goal delivery). Describe how you actively delivered on mission goals, e.g. content creation.

Our proposal included 6 main strategies:

  1. Building administrative capacity
  1. Developing safe space support
  1. Organising programme monitoring and reporting
  1. Seeking external funding
  1. Language accessibility and translation
  1. Wiki Loves Pride

While we have not yet been successful in seeking external funding, we successfully hired for both roles — expanding our initial proposal for a Membership coordinator into a Director of programmes and community engagement with the opportunity provided by the candidates who applied. This has allowed us both to run a wider range of programmes and work on a strategic review.

The hiring of our 2 staff members have played a great part in helping us have more structure within the organisation and this in effect has given us the opportunity to:

  • Develop safe space support for our members, but it is important to make clear that for every intervention, we are faced with more challenges; this is to be expected and makes us realise that providing safety is an ongoing process and every experience creates a new and better experience and opportunity for improvement.
  • Organising programmes, monitoring and reporting- we have increased the number of programs and events we have as an organisation and this is based on the needs of our community. Our Programmes and community engagement director has developed a robust monitoring and reporting system that helps in capturing not just the events we host as an organisation, but also the ones being organised by our members at local levels, giving us a more nuanced understanding of what is happening within our community.
  • Wiki Loves Pride 2025 was a resounding success with more countries participating, giving us the opportunity to engage more with local communities across the world of Wikimedia.

2. Is there a plan to build on the key successes you had? If yes, please describe the plan and if no, please share the limitations to do so. For instance, did the activities lead to any new priorities, ideas for activities, or goals for the future? (required)

Following the success and development of the UG, we are focusing on building on

  1. Increasing the learning and capacity of our members and to do this, we will recruit a learning and development officer that will be tasked with the responsibility developing a robust and global focused training tools that will meet the needs of our new and old members wherever they are in the world
  1. Wiki Loves Pride this year will have a dedicated consultant that will help to meet the needs of the campaign as it keeps growing. The consultant will focus on making the campaign more accessible, creative and impactful while sticking to its goals and objectives.
  1. Last year we saw the setting up of two WMLGBT+ local groups and this year our community outreach plan is, with support from local Affiliates, to revitalise groups that used to exist as well as to encourage the establishment of new ones. Also we will continue to support existing groups, providing support and encouraging partnership and collaborations.
  1. Social media has played a key role in the dissemination of our activities and in generating more membership for the group. We want to build on this by recruiting a social media officer that will help build a structure around our messaging and engagement with younger audiences.

3. Please provide a link to reports that detail the activities that took place in the last year. This can include an annual report, Meta pages, and websites. If there are no links available, briefly describe the implemented activities and programs below or upload any files. (required)

For affiliates, use this space (Question 3.) to address Affiliate Health Criteria 2.1 (Affiliate health & resilience), 4.1 (Internal engagement), 4.2 (Community connection), and 4.3 (Partnerships and collaboration):

  • Describe your activities engaging new users, new members for your decision-making body(ies), and developing leaders and organizers (2.1).
  • Describe your activities creating or hosting spaces to encourage greater collaboration and engagement among your members (4.1).
  • Describe how you engage with the contributing community that you serve and/or support (4.2).
  • Describe your partnerships with other affiliates or with non-Wikimedia entities (4.3).

Our 2 major programmes, Wiki Loves Pride and Queering Wikipedia 2025, were built with the help of organisers from our community. For instance, Wiki Loves Pride relied on organisers from the Spanish-speaking community to run its specific campaign on eswiki. It also had a specific call for node organisers, which attracted four new organisers to our community. Queering Wikipedia 2025 had an organising committee, which strengthened the skills of three new organisers.

Our programmes are designed to improve the skills of our community members, as well as strengthen the collaborative networks between them and their engagement.

We carry out activities that combine topics of interest to our community with training in Wiki skills: edit-a-thons, training sessions, and spaces dedicated to community building.

We hold quarterly community meetings, where we share the WMLGBT+ agenda and opportunities for collaboration, and we gather feedback on past activities. For large programmes, such as Queering Wikipedia, we held a retrospective meeting to learn about the community's experience and involve their voices in process improvements.

On Telegram, we have two general community groups: one primarily in English and one in Spanish, both of which are very active. We also have specific groups for each major programme, and one for gathering feedback from the community on the tools we use to promote and evaluate activities.

At this stage of Wikimedia LGBT+, partnerships are sustained through shared activities. Some partnerships are already well established, such as Wikimedia UK, Art+Feminism, Wikiesfera and Les sans pagEs. In terms of partnerships, the Wiki Loves Pride campaign allows us to collaborate with other organisations that implement it in their territories through the use of nodes. Within this framework, we collaborate with: Wikiesfera, Wikimedia Argentina, Wikimedia Chile, Wiki Editoras Lx, Wiki Advocates Philippines, Wikimedia Norge, Wikimedia Colombia, Wikimedia Thailand, Wikimedia Community User Group Albania, Wikimedia Community Ireland, Wiki for Human Rights Nigeria, WikiAcción Perú, and Wikimedia Serbia.

For more information, see our annual report at Wikimedia LGBT+/2025

4. Are you interested in sharing what you achieved or learned this year with the wider community through different peer learning programs (e.g. Let's Connect program, Diff)? (optional)

Yes, we can share with the wider community how the node’s organizers call and the guidelines we created for nodes improved our organizers’ collaboration; see [[WikiLovesPride Roadmap for organizers]]

5. Did you collect feedback from your community or target groups on how the activities implemented impacted them? If yes, please attach/provide information on the results (e.g. community surveys, stories, impact booklets/reports, interviews with partner institutions, etc). Did you collect other impact-specific data? (required)

For affiliates, the response to Question 5. also partially addresses Affiliate Health Criteria 4.1 (Internal Engagement), 4.2 (Community Connection), or 4.3 (Partnerships & collaboration), where applicable.

We collected feedback from our community through community meetings and retrospectives. We also collected feedback from community surveys. To protect the anonymity of the responses, we have compiled [[1] graphs that summarise feedback] we received from our community on three different occasions: Wiki Loves Pride, Queering Wikipedia, and general feedback from the community.

We would also like to share [[2] this story shared on Diff by one of the speakers at Queering Wikipedia, Tony Obinna].

6. During the fund period, did your efforts do any of the following? (required):

For affiliates, the response to Question 6. also partially addresses Affiliate Health Criterion 2.2 (Diversity balance).

  • 6.1 Bring in participants from the following groups: indigenous groups , LGBTQ+ groups, people from lower socioeconomic status, young people, speakers of minority languages, underrepresented geographical regions (ESEAP, LATAM, SSA, MENA, SA)
  • 6.2 Develop content about the following underrepresented topics or groups of people: women, LGBTQ+ groups, underrepresented geographical regions (ESEAP, LATAM, SSA, MENA, SA)
  • 6.3 Support the retention of: Editors, Organizers, Partnerships

7. What, if any, effective tactics or approaches can you share that worked well when dealing with the programs under points 6.1-6.3 that you selected? (optional)

We work to encourage and retain organisers who are part of our community of editors or people/organizations who want to collaborate with our activities. That is why, when we carry out programmes, we invite the community to participate as organisers. Being open to different people organising activities with our support allows us to train organisers and build collaborative networks. At this point, our strength lies in the availability of resources and support for organisers, for a global community working on a sensitive issue that requires guidance and support.

8. If you developed partnerships, which of the following factors most helped you to build partnerships? Please pick a MAXIMUM of the three most relevant factors (optional):

Board members’ outreach, Staff hired through the fund, Institutional support from the Wikimedia Foundation

Part 3: Skill Development / Capacity Building

[edit]

12. Reflecting on your programmatic (external) and organizational (internal) work, did your grant support you to undergo any skill development that made a difference to your success? If yes, what skill was developed, and how did it lead to success? (e.g. received coaching on public speaking, attended training on nonviolent communication, hosted professional development conversations on leadership, learned and used a new tool for project management, etc.)? Can you share any materials? (required)

For affiliates, use this space (Question 12.) to address Affiliate Health Criteria 2.2 (Diversity balance) and 3.1 (Diverse, Skilled, and Accountable Leadership):

  • Describe actions taken to prioritize gender balance in affiliate leadership, as well as any areas of diversity relevant to your affiliate's context (2.2).
  • Describe the management, financial, or other leadership skills of your affiliate leaders. If you have a succession plan, please include it here (3.1).
  • Describe any training or skill development (as outlined in the question above) (3.1).
  • Incorporate into the annual report a disclosure of conflict of interests (if any) from the leadership (3.1).

During the year under review, we had the opportunity for internal and external learning, some through partnership and collaboration that has increased the capacity of the group. These include:

  1. WMEU fundraising training: Our ED attended a month-long, weekly fundraising training organised by WMEU. This training has opened us to more funding opportunities within Europe once we complete our incorporation process.
  1. ED meeting: Our ED was also present at the ED meeting in Brazil as part of building partnership and onboarding. His participation has opened up the organisation to greater collaboration with other groups within the ecosystem as well as the creation of local WMLGBT+ groups.

13. What is one capacity/skill area that you would like to focus on for the next year? And how do you plan to achieve this capacity? (required)

As we keep growing as an organisation, there are areas of capacity within our team we need to build for us to be able to deliver our work with confidence.

  1. Public speaking: supporting our team, especially our Programs and Community Engagement Director who will be doing a lot of public speaking, to learn more about the craft and art of speaking publicly.
  1. Leadership development coaching: Provide coaching support for the team, including mentorship
  1. Fundraising: As we continue to build our capacity to raise more funds and reduce dependency on WMF, we want to support everyone on the team to take training in fundraising.
  1. Foreign languages: It would be useful for our ED to learn and develop his non English language skills, to be able to engage more effectively with the community.

14. If you have additional information or reflections that don’t fit into the above sections, please write them here. Use the space below to upload any additional documents that would be useful to understand your report.

For affiliates, also use this section (Question 14) to fulfill the Affiliate Health Criteria requirements.

  • Describe and link to any public-facing documentation for affiliate governance, including affiliate leadership and membership with a breakdown of the demographics; how elections are conducted; how conflicts of interest are declared; and how decisions are made and communicated (2.2, 2.3, 3.1).
  • Describe and link to any public-facing documentation for activities incorporating, promoting awareness about, or enforcing the Universal Code of Conduct in your affiliate's activities (3.3).
  • Describe and link to any public-facing documentation for internal membership engagement, such as notes from your regular meetings and how you communicate to or involve your membership (4.1).

We need further information about editors retention metrics; it would be useful to know which procedures and tools WMF suggest for tracking editor retention?
