8. What are your programs, approaches, and strategies? What are the challenges that you are trying to address and how will your strategies support you in addressing these challenges? (required)

Wikimedia Italia requests a one-time investment to strengthen its communication and fundraising infrastructure and to address a recent legal change that may affect Wikimedia projects in Italy. This request is fully aligned with our 2026–2030 Strategic Plan, which emphasizes organizational sustainability, increased engagement with supporters and partners, and the provision of clear guidance for volunteers contributing to Wikimedia projects.

This investment will allow us to address three key challenges: outdated digital infrastructure limiting user engagement, fragmented fundraising tools reducing operational efficiency, and new legal requirements creating uncertainty for volunteers and partners. To overcome these challenges, we propose three coordinated strategies and activities:

1. Website Redesign and Development to Improve Digital Presence and Communication Our current website no longer reflects the organization’s impact or facilitates meaningful interaction with the community. We will redesign and redevelop the site using WordPress, creating a modern, intuitive platform with improved navigation, a custom theme, and updated content architecture. This includes:

  • UX design and WordPress custom theme creation
  • Implementation of 5 key plugins
  • Content migration from the current site
  • Integration of donation and newsletter tools
  • Testing and launch

2. CRM, Reporting, and Analytics Setup to Improve Digital Infrastructure and Fundraising Capacity To strengthen our fundraising and membership capacity, we will optimize our existing CiviCRM system, ensuring full integration with the new website and other communication tools. This includes:

  • CiviCRM configuration for donor and membership management
  • Website–CRM integration
  • Setup of automated reporting dashboards
  • Implementation of Matomo analytics for user insights and campaign analysis

3. Legal Consultancy and Publication to Ensure Legal Compliance and Advocate for Stakeholders Following Italy’s extension of copyright protection for non-artistic photographs from 20 to 70 years, we will commission a legal analysis and produce a guidance document for volunteers, partners, and cultural institutions. This includes:

  • Legal analysis of the new copyright framework
  • Preparation of a publication providing practical guidelines for volunteers, staff and partners.


Expected Outcomes and Metrics

  • Launch of a fully functional website integrating communication, donation, and newsletter tools;
  • CRM dashboards fully operational, enabling consolidated reporting and data-driven management;
  • Streamlined workflows reducing manual data entry and improving data quality;
  • Publication and distribution of a legal guidance document, with measurable uptake among volunteers and partners;
  • Clearer organizational processes and improved capacity for communication, fundraising, and legal compliance;
  • Enhanced volunteer engagement, donor participation, and visibility of Wikimedia Italia’s initiatives.

Together, these activities represent a cohesive, one-time investment that will strengthen Wikimedia Italia’s infrastructure, empower our community, and enhance the sustainability and impact of our work. By addressing these challenges in a coordinated way, we will ensure long-term benefits for our volunteers, partners, and donors, fully advancing the priorities outlined in our 2026–2030 Strategic Plan.
