Part 1: Understanding your work
[edit]Per the recent update on the Wikimedia Foundation Affiliates Strategy process, Wikimedia Affiliates that are General Support Fund grantees will fulfill their affiliate reporting requirements through their final or yearly grantee report.
If you are a Wikimedia Affiliate, you will use this form for your affiliate reporting and to address the affiliate health criteria. You do not need to submit a separate report to AffCom. Follow the guidance in the green boxes to report on how you met the corresponding affiliate health criteria.
If you are not a Wikimedia Affiliate, aligning your responses with the affiliate criteria is optional and not required.
1. Please share to what extent your programs, approaches, and strategies contributed to addressing the challenges you shared in your proposal. If they did not contribute as you believed they would, please share what obstacles you faced and what, if anything, you learned from them? (required)
For affiliates, use this space (Question 1.) to address Affiliate Health Criterion 1.1 (Goal delivery). Describe how you actively delivered on mission goals, e.g. content creation.
The implementation of the 2024 WPWP campaign significantly addressed the challenges highlighted in our proposal. Here are some of the successes and challenges that we faced during the campaign
Successes and Contributions
- Enhanced Participation and Outreach
32 Wikimedia affiliates across 28 countries participated in the 2024 WPWP campaign, closely mirroring the previous year’s engagement. This was achieved through targeted recruitment strategies, including follow-up outreach and best practices documentation shared with local organizers. The centralized coordination page was a critical resource for facilitating seamless registration, tracking contributions, and answering participant queries.
- Comprehensive Pre-Campaign Preparation
The planning phase, which began in July 2024, incorporated essential activities such as the design of workflow charts, checklists, and a local organizers’ guide. These resources streamlined operations and equipped organizers with clear guidance for effective implementation. The campaign timeline, developed two months in advance, was shared widely, ensuring that all participants were aligned with the campaign's objectives and schedule.
- Effective Monitoring and Tracking
The Hashtag tool was configured for all participating communities to track contributions. A guide on using the tool was created and published on the coordination page, allowing organizers and participants to monitor progress effectively. Debugging issues as they arose ensured the tool's functionality throughout the campaign.
- Global Content Contributions
By the end of the submission period (September 1, 2024), the campaign achieved the following results:
- Total files added: 72,123
- Image files: 62,883
- Audio files: 133
- Video files: 436
- Users adding files (across all Wikimedia projects): 434
- Wikipedia language projects with added files: 205
Therefore, the results above demonstrate the campaign's success in enriching Wikimedia projects with diverse media contributions, surpassing the previous year's expectations in some areas.
- Prizes
A jury team was set up to evaluate contributions and recognize the top participants. The announcement of winners and awarding of prizes further motivated contributors
- Effective Communication Strategies
Communication materials designed for social media amplified the campaign’s visibility. These materials, shared with local organizers and published online, enabled broader reach and ensured consistency in messaging.
- Obstacles Faced and Lessons Learned
- Technical Challenges
While the Hashtag tool was essential for tracking contributions, occasional bugs disrupted its functionality. Quick resolutions mitigated these issues, but the experience highlighted the need for more extensive pre-campaign testing and technical preparedness.
- Varying Levels of Engagement
Some local organizers required additional follow-up to confirm participation or resolve challenges. This underscored the importance of more robust engagement plans, including periodic check-ins and tailored support mechanisms.
- Complexity for New Users
A few participants struggled with Wiki markup syntax, leading to errors in contributions. This revealed the need for enhanced training programs, particularly for new contributors, to ensure they can fully participate without frustration.
2. Is there a plan to build on the key successes you had? If yes, please describe the plan and if no, please share the limitations to do so. For instance, did the activities lead to any new priorities, ideas for activities, or goals for the future? (required)
Yes, there is a plan to build on the key successes achieved during the 2024 WPWP campaign. The successes have inspired several priorities and ideas for future activities aimed at scaling the impact of the campaign and addressing areas that need improvement. Below is a brief outline on how we are going to build on our success
- Strengthening Technical Infrastructure
- Improved Tools: Based on the technical challenges faced with the Hashtag tool, we plan to work with developers to enhance the tool's reliability. This includes conducting rigorous pre-campaign testing and creating more advanced debugging protocols.
- Expanded Tracking Mechanisms: We aim to explore complementary tools that can offer more detailed analytics, such as regional breakdowns of contributions and trends in file types.
- Expanding Participation
- Targeting New Affiliates: Efforts will be made to recruit affiliates from regions with limited participation, particularly underrepresented areas. This will involve tailored outreach strategies, including webinars, multilingual promotional materials, and one-on-one mentorship for new affiliates.
- Engaging Individual Contributors: Building on the 434 individual participants from 2024, we plan to launch a targeted campaign encouraging contributions from non-affiliate Wikimedia users.
- Enhanced Training Programs
- Pre-Campaign Workshops: We plan to organize virtual training sessions to familiarize participants with Wiki markup syntax, the Hashtag tool, and best practices for uploading media files.
- Localized Training Resources: These will be translated into more languages to ensure inclusivity and accessibility for contributors from diverse linguistic backgrounds.
- Improved Support for Local Organizers
- Mentorship Program: Experienced organizers will be paired with new or struggling affiliates to provide hands-on guidance.
- Year-Round Engagement: Establishing a year-round network for local organizers will help maintain momentum and facilitate knowledge sharing beyond the campaign period.
- Focus on Content Diversity
- Thematic Campaigns: Future campaigns will include thematic focuses, such as regional history, cultural heritage, or environmental issues, to diversify the types of content added to Wikimedia projects.
- Encouraging Multimedia Contributions: Building on the addition of audio and video files in 2024, we plan to actively promote the contribution of more diverse media formats.

Part 3: Skill Development / Capacity Building
[edit]12. Reflecting on your programmatic (external) and organizational (internal) work, did your grant support you to undergo any skill development that made a difference to your success? If yes, what skill was developed, and how did it lead to success? (e.g. received coaching on public speaking, attended training on nonviolent communication, hosted professional development conversations on leadership, learned and used a new tool for project management, etc.)? Can you share any materials? (required)
For affiliates, use this space (Question 12.) to address Affiliate Health Criteria 2.2 (Diversity balance) and 3.1 (Diverse, Skilled, and Accountable Leadership):
- Describe actions taken to prioritize gender balance in affiliate leadership, as well as any areas of diversity relevant to your affiliate's context (2.2).
- Describe the management, financial, or other leadership skills of your affiliate leaders. If you have a succession plan, please include it here (3.1).
- Describe any training or skill development (as outlined in the question above) (3.1).
- Incorporate into the annual report a disclosure of conflict of interests (if any) from the leadership (3.1).
The grant enabled skill development in several key areas both external and internal:
- Managing a campaign of this magnitude requires developing better project management skills. We learned to organize tasks, effectively allocate resources, and coordinate timelines with multiple organizing communities.
- Handling the project grant funds improved our financial management skills, particularly in budgeting, grantmaking- expense tracking, and reporting. These skills have been very valuable in ensuring transparency and accountability within the international coordination team.
- The experience resulted in improved strategic planning skills, which were applied not only to the 2024 bWPWP Campaign but also to the campaign in the future, making our team more adaptable and goal-oriented.
- Through the grant, we have developed skills in mobilizing diverse Wikimedia communities, across the global, particularly in underrepresented regions to participate in the campaign.
13. What is one capacity/skill area that you would like to focus on for the next year? And how do you plan to achieve this capacity? (required)
- Evaluation skill - This year, we could not evaluate the campaign effectively because most of our volunteers who were available did not have the skills needed to evaluate the campaign as effectively as before and we did not have budget for learning and evaluation in the approved fund. Next year, we will get someone who has experience in this area and who can pass on the knowledge to members of the coordination team. We will include a budget for this.
14. If you have additional information or reflections that don’t fit into the above sections, please write them here. Use the space below to upload any additional documents that would be useful to understand your report.
For affiliates, also use this section (Question 14) to fulfill the Affiliate Health Criteria requirements.
- Describe and link to any public-facing documentation for affiliate governance, including affiliate leadership and membership with a breakdown of the demographics; how elections are conducted; how conflicts of interest are declared; and how decisions are made and communicated (2.2, 2.3, 3.1).
- Describe and link to any public-facing documentation for activities incorporating, promoting awareness about, or enforcing the Universal Code of Conduct in your affiliate's activities (3.3).
- Describe and link to any public-facing documentation for internal membership engagement, such as notes from your regular meetings and how you communicate to or involve your membership (4.1).
NIL.
