Part 1: Project and impact

The WikiMuda program was successfully implemented through a series of participatory and educational activities involving high school students, teachers, and first-year university students across three locations in Indonesia: Malang, Madura (Pamekasan), and Lawang. The activities were conducted in collaboration with SMAN 7 Malang, SMAN 1 Pamekasan, and SMAN 1 Lawang. In addition to the originally planned school-based activities, the team introduced an additional program called WikiMuda Adventures, which engaged first-year students at Universitas Brawijaya who had recently completed their secondary education. This adaptive approach allowed the project to expand its reach and sustain youth engagement beyond the high school context.

The program began with an initial assessment to identify underrepresented local topics related to geography, culture, history, and public spaces on Indonesian-language Wikimedia projects. This was followed by offline training sessions that introduced participants to the fundamentals of Wikipedia editing, writing neutral and well-sourced articles, and uploading original photographs to Wikimedia Commons. Each training session was designed to combine short theoretical explanations with hands-on practice, enabling participants to immediately apply their learning during guided edit-a-thons and documentation activities.

Through these activities, WikiMuda successfully delivered four programs, engaging a total of 127 editors, all of whom completed the full training process. The project resulted in 182 articles edited, 92 new articles created, approximately 59,800 words added, and 341 references incorporated into Wikipedia articles. In addition, participants uploaded 538 files to Wikimedia Commons. The contributed content demonstrated strong public reach, with an estimated 69,200 article views based on a 30-day average.

Several approaches proved particularly effective in achieving these results. The school- and campus-based engagement model provided a structured and supportive environment for youth participation, while the blended approach of training and immediate practice helped first-time contributors quickly gain confidence and skills. Continuous mentorship from experienced Wikimedia contributors played a key role in maintaining content quality and participant motivation. Furthermore, the flexibility to adjust implementation locations and introduce WikiMuda Adventures enabled the team to respond to local constraints, such as school permission limitations, without compromising the overall objectives or impact of the project.

You can recall these learning questions below: I hope to learn how to effectively bridge the gap between local knowledge and digital platforms, especially in Indonesian. I aim to gain a deeper understanding of how digital literacy can be used as a tool for cultural preservation and community empowerment. By collaborating with students and local communities, I hope to develop skills in knowledge sharing, community engagement, and participatory documentation. I also look forward to improving my abilities in writing and editing for digital platforms, curating culturally sensitive content, and ensuring that underrepresented local histories and tourism sites are accurately and respectfully documented. I want to learn how to contribute meaningfully to an open knowledge ecosystem while encouraging others especially youth to take part in preserving and promoting their local heritage in the digital age.

Through the implementation of the WikiMuda program, we gained several important learnings related to our initial learning questions. First, we learned that bridging local knowledge and digital platforms is most effective when participants are positioned not only as learners but as knowledge holders. High school students and first-year university students showed strong engagement when encouraged to document places, traditions, and public spaces that are part of their everyday lives. This approach helped reduce the intimidation often felt by new contributors and made the editing process more meaningful and relatable.

Second, the project demonstrated that digital literacy can function as a practical tool for cultural preservation and community empowerment when it is combined with participatory documentation. Participants became more confident in using reliable sources, writing in a neutral tone, and contributing original photographs, while also developing a stronger sense of ownership over local knowledge from their regions. Mentorship and guided practice were essential in ensuring that cultural content was documented accurately, respectfully, and in line with Wikimedia standards.

We also learned that structured mentorship and simple, hands-on training methods are critical for first-time contributors, particularly youth. Short theoretical explanations followed by immediate editing practice proved far more effective than purely lecture-based sessions. Additionally, flexibility in program design such as adjusting locations and introducing the WikiMuda Adventures program allowed us to respond to real-world constraints while maintaining participant motivation and continuity.

In the future, we plan to use these learnings to refine and scale the WikiMuda model by strengthening long-term mentoring mechanisms, building alumni contributor groups, and integrating Wikimedia training more deeply into school and university contexts. We also aim to place greater emphasis on follow-up activities and post-program contribution challenges to support sustained engagement. These insights will guide us in developing future initiatives that further empower youth to contribute to the open knowledge ecosystem and ensure that local histories, cultures, and tourism sites across Indonesia are more accurately and equitably represented online.

5. Did anything unexpected or surprising happen when implementing your activities? This can include both positive and negative situations. What did you learn from those experiences? (required)

During the implementation of the WikiMuda program, several unexpected situations emerged, both challenging and positive, which provided valuable learning experiences for the team.

One of the main challenges we encountered was the complexity of bureaucratic permission processes within the Indonesian education system. Most of the schools we collaborated with were reached through existing personal networks and close relationships, while the Madura (Pamekasan) implementation was made possible through support from the local Wikimedia community (Wikimedia Madura). This situation became particularly evident in Kediri, where we were unable to secure school permissions due to the absence of local contacts or internal advocates. As a result, all proposals submitted to schools in Kediri were declined, and we had to relocate the activity to Lawang, where collaboration was more feasible. From this experience, we learned the critical importance of local partnerships and trusted intermediaries when working with formal educational institutions.

Another challenges, we encountered a technical challenge related to the Wikimedia Outreach Dashboard during the implementation period. At one point, the dashboard experienced errors, which resulted in some participant activity data not being properly recorded or temporarily missing. To address this, the team conducted manual cross-checks using article histories, contribution logs, and Commons upload records to ensure that the overall outputs were still accurately reflected. This experience emphasized the importance of data backup, multiple tracking methods, and flexibility in monitoring tools, especially when working with large numbers of new contributors.

Another unexpected challenge occurred during the second day of the editing sessions with high school students. A significant number of students requested permission to be absent due to academic and personal commitments. This required the organizing team to continue mentoring and monitoring participants’ editing activities outside official working days and beyond scheduled sessions. While this increased the workload for organizers, it also highlighted the need for flexible engagement models when working with school-aged participants.

We also experienced an unexpected situation during the documentation and exploration session with SMAN 1 Lawang, where heavy rainfall and stormy weather significantly reduced the available time for field documentation. This forced the team to change the planned destination to a closer location. Fortunately, the alternative site turned out to be more suitable and resulted in higher-quality documentation. This experience reinforced the importance of adaptive planning and contingency strategies for field-based activities.

On the positive side, we were pleasantly surprised by the emotional and symbolic appreciation shown by students of SMAN 1 Lawang, who presented the team with commemorative gifts. The students shared that they perceived the WikiMuda activity as a form of appreciation and encouragement after previously experiencing disappointment from losing a scientific competition. This moment highlighted the broader, often intangible, impact of the program on student morale and motivation, beyond measurable content outputs.

Another significant and unexpected development was the emergence of a new opportunity aligned with the project timeline. As many Grade 12 students transitioned into higher education, the team initiated an additional program called WikiMuda Adventures, targeting first-year university students at Universitas Brawijaya. The program received strong support from lecturers, and participant interest exceeded expectations. While this enthusiasm was highly encouraging, it also required the team to carefully manage time, resources, and budget to ensure the additional activities remained aligned with the original project scope.

Overall, these experiences taught us the importance of flexibility, strong local networks, adaptive planning, and realistic time management. They also reinforced the value of responsiveness to emerging opportunities while maintaining accountability to project goals and resources. These lessons will directly inform the design and risk management of future Wikimedia outreach initiatives.

6. What is your plan to share your project learnings and results with other community members? If you have already done it, describe how. (required)

We share and plan to continue sharing the learnings and results of the WikiMuda program with the Wikimedia community and the wider public through multiple channels, combining public storytelling, community knowledge exchange, and formal documentation.

First, we actively share stories, visual documentation, and project highlights through WikiKlub Universitas Brawijaya’s social media channels, particularly Instagram and TikTok. Several posts related to WikiMuda have already been published, and we will continue uploading content gradually over the coming months. This phased approach is intended to ensure that the project remains visible over time and does not lose public attention, while also reaching younger audiences through platforms they commonly use.

Second, we have shared our experiences and reflections with the Wikimedia Indonesia Education Team. During these discussions, the team expressed interest in the WikiMuda implementation and requested further knowledge sharing, as they are currently developing a similar program targeting youth and schools. This exchange has enabled mutual learning, particularly regarding educational approaches, youth engagement, and navigating school-level bureaucratic processes.

Third, we are currently working on publishing a project story on the Diff Blog to document the impact, challenges, and lessons learned from WikiMuda in an open and accessible format for the global Wikimedia community, especially within the ESEAP region.

In addition, we are bringing WikiMuda as a case study and presentation topic to broader community forums. We are in the process of applying to present WikiMuda at WikiNusantara 2026 and the ESEAP Conference 2026, both of which are currently in the selection stage. If accepted, these platforms will provide valuable opportunities to share practical insights, results, and the youth engagement model developed through WikiMuda with a regional and international audience.

Through these combined efforts, we aim to ensure that the learnings from WikiMuda go beyond reporting requirements and actively contribute to strengthening community capacity, inspiring similar initiatives, and advancing effective youth engagement practices within the Wikimedia open knowledge ecosystem.

During the implementation of the WikiMuda program, we encountered several challenges that affected planning, execution, and monitoring, particularly in the context of working with youth and formal educational institutions.

One of the main difficulties was navigating bureaucratic permission processes within the Indonesian education system. Securing approval from schools often required internal advocates or trusted local contacts. In locations where such relationships were unavailable, proposals were declined, which led to changes in implementation sites. In the future, we hope to overcome this challenge by building longer-term partnerships with schools, teachers, and local education stakeholders, engaging them earlier in the planning phase, and collaborating more closely with local Wikimedia communities who have established regional networks.

Another challenge was participant availability and scheduling, especially among high school students. Academic responsibilities and personal commitments caused some participants to miss scheduled editing sessions, requiring organizers to provide extended mentoring outside planned working hours. To address this in future programs, we plan to design more flexible participation models, including shorter sessions, clearer post-event contribution tasks, and asynchronous follow-up activities that better align with students’ schedules.

We also faced operational challenges related to time and resource management, particularly after introducing the additional WikiMuda Adventures program for first-year university students. While the strong interest and support were highly positive, managing increased participation within the original budget and timeline required careful prioritization. Going forward, we aim to clearly define scalability limits and contingency plans when expanding program scope.

In terms of monitoring and evaluation, we encountered technical issues with the Wikimedia Outreach Dashboard, where system errors led to incomplete or missing contribution data at certain points. Although we mitigated this by manually cross-checking article histories and upload logs, this added to the team’s workload. In the future, we plan to use multiple tracking methods and more frequent data backups to reduce reliance on a single tool.

Based on these experiences, we have several recommendations for the Foundation. First, additional guidance or templates for engaging formal education institutions, particularly in regions with complex bureaucratic processes, would be highly beneficial. Second, capacity-building support on monitoring and evaluation tools, including guidance on handling data inconsistencies, would help organizers manage reporting more efficiently. Lastly, flexible funding mechanisms or advisory support for adaptive program extensions, when justified by strong community interest, would enable organizers to respond to emerging opportunities while maintaining accountability.

Overall, these challenges provided valuable learning experiences that will strengthen our future planning, partnerships, and risk management, and we believe that continued collaboration with the Foundation and the wider community will further enhance the impact of youth-focused Wikimedia initiatives.
