The representation of Javanese and Balinese cultural heritage, particularly in the domain of traditional performing arts, remains limited across open knowledge platforms such as Wikipedia Indonesia, Wikimedia Commons, and WikiVoyage Indonesia. Cultural expressions such as classical dance, wayang (shadow puppetry), gamelan music, and ceremonial performances are under documented and not widely accessible to students, researchers, or the general public. This initiative aims to address these gaps by enhancing existing content through WikiLatih training sessions conducted in Yogyakarta and Bali, in collaboration with local Wikimedia communities. Furthermore, the creation of new articles will be facilitated through a public competition entitled 'Marathon Penyuntingan Seni Pertunjukan Jogja & Bali', which invites broader civic engagement. Complementary to the textual contributions, the project will also involve the documentation and upload of high-quality visual materials related to traditional performing arts onto WikiCommons, thereby supporting the preservation and dissemination of Indonesia’s intangible cultural heritage.

To achieve these objectives, our approaches are as follows: (1) enhancing both the quality and quantity of content related to Javanese and Balinese traditional performing arts on Wikipedia Indonesia, Wikimedia Commons, and WikiVoyage Indonesia; (2) increasing the usage and visibility of this content by engaging the local Wikimedia communities in Yogyakarta and Bali through targeted WikiLatih training sessions; and (3) fostering a sustainable network of skilled contributors through community-based initiatives, including an open competition entitled 'Marathon Penyuntingan Seni Pertunjukan Jogja & Bali', aimed at encouraging broader public participation in documenting Indonesia’s intangible cultural heritage. These strategies are designed to ensure not only the expansion of freely accessible cultural knowledge but also the long-term capacity building of contributors committed to preserving and promoting traditional performing arts

In alignment with our goals and objectives, the following actions will be undertaken:

1.Conducting a content gap analysis to identify underrepresented or missing topics related to Javanese and Balinese traditional performing arts across Wikipedia Indonesia, Wikimedia Commons, and WikiVoyage Indonesia. This process will also involve engaging local Wikimedia communities to assess their specific interests and content priorities.

2. Organizing preparatory meetings and training-of-trainers sessions in both Yogyakarta and Bali. These will include in-person sessions for trainer capacity-building as well as online meetups with local Wikimedia communities, designed to equip them for subsequent Wikipedia, Wikimedia Commons, and WikiVoyage training and edit-a-thon activities.

3. Conducting field trips in Yogyakarta and Bali to directly document traditional performing arts through photography and observation. These visits will serve to enrich Wikimedia Commons with original, high-quality media assets that authentically represent the cultural practices of both regions.

4. Facilitating WikiLatih Wikipedia training and edit-a-thons in both cities in collaboration with local Wikimedia communities. Following each workshop, offline edit-a-thon sessions will be held to improve and expand articles. The project targets the editing of 160 articles on Wikipedia Indonesia, the contribution of 50 photos to Wikimedia Commons, and the creation of 3 types of articles on WikiVoyage Indonesia. All editing activities will be tracked via a shared Google Sheet and an outreach dashboard. Editors who complete assigned tasks will receive incentives, and awards will be given to the top three contributors in each session. An evaluation survey will be administered after each session via Google Forms.

5. Hosting webinar themed 'Bincang Budaya: Seni Pertunjukan Jawa & Bali' which will feature expert speakers from both Yogyakarta and Bali. This virtual discussion will aim to raise awareness and deepen public understanding of traditional performing arts, with a target audience of 40 participants.

6. Conducting WikiLatih WikiCommons session in Malang for internal members of KlubWiki UB to upload documentation outputs from the Yogyakarta and Bali field trips. Prior to this session, a WikiCommons training will also be conducted for both organizing team, featuring a trainer from the Wikimedia Indonesia to ensure all organizers involved are equipped with the necessary skills in uploading, licensing, and metadata tagging. This WikiLatih session, which will involve 10 KlubWiki UB members, will be held during an internal meetup (kopdar) and is intended to ensure the proper integration of collected media into Wikimedia Commons.

7.Launching a competition titled 'Marathon Penyuntingan Seni Pertunjukan di Pulau Jawa dan Bali' to encourage broader civic engagement in the documentation of Indonesia’s intangible cultural heritage. While the competition will be open to the public, it will specifically target members of the local Wikimedia communities in Indonesia. This initiative aims to strengthen local participation, deepen their involvement with Wikimedia projects, and enhance the representation of traditional performing arts content across platforms.

Xenovilius: Project Manager; he has been actively involved in the Wikimedia Foundation movement for this past one year, contributing to Wikipedia, WikiCommons, and WikiData. He will ensure the smooth implementation of the project focused on documenting and enriching cultural heritage content from Java and Bali. His responsibilities include conducting content gap analysis, preparing training materials and presentation guides, coordinating contributors, engaging with local communities, and overseeing the overall progress to align with Wikimedia’s vision of open and inclusive knowledge. Syaasantoso: Project Assistant – General Affairs; she has spread contributions to Wikipedia, WikiCommons, and WikiData for the past one year. She help to manage the project, conducting content gap analysis on themes related to Java and Bali Culture in Wikipedia, WikiCommons, and WikiVoyage, developing training modules, guidelines, and presentation materials. Amidaxaviera: Project Assistant – Secretary and Treasurer; she has been actively involved in the Wikimedia movement and KlubWiki Universitas Brawijaya since 2024. She is responsible for creating and drafting clear, accurate, and comprehensive proposals, as well as managing the project’s financial planning and administrative tasks. Last, Komengskuy: Project Assistant – External Affairs; she has been an active member of KlubWiki Universitas Brawijaya and contributor to Wikimedia platforms since September 2024. She has the responsibility for being the primary liaison, fostering communication with local communities, trainers, speakers, and handling participation registration form.

9. Who are the target participants and from which community? How will you engage participants before and during the activities? How will you follow up with participants after the activities? (required)

The target participants for this project primarily include members of the Wikimedia communities in Yogyakarta and Bali, as well as active members of Wikimedia Indonesia more broadly. Participant engagement will be tailored to each activity type :

1. Field trips will involve only the internal organizing team, consisting of 10 members of KlubWiki UB, an active student-led Wikimedia community based at Universitas Brawijaya. These participants are experienced in Wikimedia projects and will serve as core contributors for content generation. To ensure full preparedness, engagement prior to the activities will include a series of internal coordination meetings and Wikimedia Commons technical training sessions with certified trainers from Wikimedia Indonesia. During the field trips, participants will collaboratively carry out content collection activities through photography, interviews, and observation of traditional performing arts in Yogyakarta and Bali. They will be guided by pre-assigned documentation templates and quality control checklists to ensure consistency and accuracy. After the activities, a follow-up WikiLatih WikiCommons session will be conducted in Malang to facilitate the structured uploading and categorization of documentation materials. Participants will also be involved in post-event evaluations and progress tracking via shared dashboards.

2. WikiLatih Wikipedia edit a thon sessions will specifically target active members within each respective local Wikimedia community in Yogyakarta and Bali. These communities have shown consistent participation in Wikimedia activities and will be pivotal in ensuring local relevance and ownership of the content produced. Coordination will take place prior to the event in collaboration with Wikimedia community leads, including initial outreach and the distribution of WikiLatih Wikipedia jobdesc. To strengthen the quality and sustainability of the activities, two local volunteers from each local Wikimedia community in Yogyakarta and Bali will be recruited to serve as liaisons and assist with facilitation. During the sessions, participants will receive hands-on training on article creation, improvement, and citation best practices, with a specific focus on traditional performing arts. Members of the organizing team will also serve as trainers, guiding participants through the technical and editorial processes of contributing to Wikipedia Indonesia. After the sessions, follow-up actions will include post-event surveys via Google Forms to evaluate learning outcomes and gather feedback.. In addition, they will also be encouraged to participate in the upcoming “Marathon Penyuntingan Seni Pertunjukan di Pulau Jawa dan Bali”, which will serve as a platform for continued engagement and recognition of their contributions. Article edits from the WikiLatih sessions will be tracked via the Outreach Dashboard and counted toward the marathon outputs, reinforcing a sense of progress and continuity.

3. The webinar, “Bincang Budaya: Seni Pertunjukan Yogyakarta dan Bali,” will be open to all active members of Wikimedia Indonesia, with the goal of reaching at least 40 participants from various regional communities. The target audience includes both experienced and emerging contributors on Wikimedia projects. Coordination will be conducted through direct communication with the designated point persons from each local Wikimedia community across Indonesia, supported by the dissemination of invitations via Wikimedia Indonesia’s official social media. These efforts aim to ensure broad outreach, balanced regional representation, and strong engagement. The event will feature expert speakers from Yogyakarta and Bali, including cultural practitioners or scholars, and will include interactive segments such as Q&A. Participants will be encouraged to reflect on local performing arts practices in their own regions and explore how to document and represent them on Wikimedia platforms. Following the webinar, participants will be invited to join the “Marathon Penyuntingan Seni Pertunjukan di Pulau Jawa dan Bali” competition, where they can apply insights from the session to contribute to Wikipedia Indonesia. A post-webinar feedback form will also be distributed to evaluate the session’s impact and to identify participants interested in further collaboration or mentoring.

4. Conducting a WikiLatih WikiCommons edit a thon session in Malang for internal members of KlubWiki UB to upload documentation outputs from the Yogyakarta and Bali field trips. The target participants are 10 active student members of KlubWiki UB. Prior to this session, a technical WikiCommons training will be conducted for the organizing team, featuring a certified trainer from Wikimedia Indonesia. This preparatory training is designed to ensure all organizers are equipped with the necessary skills in uploading, appropriate licensing, metadata tagging, and categorization in accordance with WikiCommons standards. During the WikiLatih session, participants will be guided through the structured uploading process using the documentation outputs they gathered in the field. The session will take place during an internal meetup (kopdar) and will also serve as a peer-to-peer learning platform, with organizers facilitating support and quality control to ensure media files meet Commons' contribution standards. A post-activity evaluation will be conducted to assess the effectiveness of the session, and continued mentorship will be provided through the KlubWiki UB internal communication channels.

5. The “Marathon Penyuntingan Seni Pertunjukan Jogja & Bali” editing competition will also be targeted at the broader Wikimedia Indonesia network, with special priority given to members of the Wikimedia Yogyakarta and Bali local communities. The competition aims to sustain momentum from prior activities and to provide an inclusive platform for both seasoned editors and newer contributors to create new Wikipedia articles on traditional performing arts, particularly those underrepresented or missing from current coverage. Prior to the competition, promotional outreach will be carried out via Wikimedia Indonesia’s community channels, social media platforms, and direct communication with local coordinators to ensure strong and diverse participation. Guidelines, article themes, and submission criteria will be distributed in advance to help participants prepare. As part of the overall project target of producing a minimum of 40 new or significantly improved Wikipedia articles, the competition will help ensure both quantity and quality through peer review and tracking via an Outreach Dashboard. After the competition, winners will be selected based on criteria such as article quality, quantity, sourcing, and impact. Top contributors will receive recognition through certificates, prize, and public acknowledgment on Wikimedia Indonesia’s platforms. More importantly, Participants will also be asked to fill out a post-competition feedback form to share their experiences, challenges, and suggestions for future improvement. These responses will be used to evaluate the effectiveness of the competition and inform the design of subsequent Wikimedia activities.

During one of our regular meetup and edit-a-thon sessions at KlubWiki UB, we initiated a discussion on how to broaden the reach and accessibility of Wikipedia content. This idea was further developed based on our observation and preliminary research, which indicated that documentation of Javanese and Balinese cultural heritage, particularly in the area of traditional performing arts, is still scarce on platforms such as Wikipedia, Wikimedia Commons, and Wikivoyage. In response, KlubWiki UB formed a dedicated team to develop a project proposal and coordinate the planned activities. We conducted three structured planning sessions to refine our objectives and formalize the proposal. Simultaneously, we reached out to stakeholders from other regional cultural communities to contribute to the design and implementation of the project. Each individual is expected to edit a minimum of 2 Wikipedia articles, contributing significant enhancements to existing pages. This approach ensures that the collective output will reach at least 60 quality articles, while also fostering skill development and deeper engagement with culturally significant topics. All contributions will be monitored via an Outreach Dashboard to track individual progress and maintain content quality. By participating in the Wiki Kelana Budaya project, which focuses on the cultural heritage of Java and Bali, we aim to deepen our understanding of the rich, diverse traditions of traditional performing arts in regions such as Yogyakarta and Bali. This will be achieved through direct engagement with local Wikimedia communities, cultural practitioners, and the living cultural environments where these art forms continue to thrive. Furthermore, we aim to strengthen our technical and collaborative skills in various aspects of digital cultural documentation including photography, metadata tagging, and content structuring, ensuring contributions meet Wikimedia standards. We also seek to improve our capacity in article development across Wikimedia platforms, such as Wikipedia Indonesia, WikiCommons, and WikiVoyage Indonesia, through activities like WikiLatih Wikipedia and WikiVoyage edit-a-thons and content review. This project will also allow us to gain valuable experience in community engagement and knowledge mobilization, learning how to facilitate inclusive, respectful collaboration between knowledge holders, local communities, and online networks. Additionally, by organizing and participating in edit a thon sessions, webinars, and a editing competition, we will enhance our abilities in event coordination, communication, and impact evaluation. Overall, this experience will better equip us to support open access to cultural knowledge and contribute to the preservation, representation, and global dissemination of Indonesia’s intangible cultural heritage through sustainable digital strategies aligned with Wikimedia’s mission.

Through this project, we expect our understanding of Javanese and Balinese heritage, particularly in the realm of traditional performing arts, to grow both in depth and scope. By engaging directly with cultural sites, local Wikimedia communities, and performing arts practitioners, we will gain firsthand insights into the practices, meanings, rituals, and social functions of various art forms. Structured activities, including field trips, WikiLatih Wikipedia and Wikimedia Commons sessions, and a cultural webinar will expose us to diverse perspectives on how heritage is preserved, practiced, and interpreted within its local context. These experiences will also help us reflect critically on issues of cultural sensitivity, representation, and accessibility in the context of digital documentation. Moreover, the process of contributing content to Wikipedia Indonesia, Wikimedia Commons, and WikiVoyage Indonesia will deepen our ability to ethically and accurately share local heritage with a global audience. On a personal level, this project offers an opportunity to cultivate a deeper appreciation for the diversity and complexity of local cultural expressions and to reaffirm our commitment to their preservation. Professionally, we seek to strengthen our competencies in content production within open-access knowledge platforms such as Wikipedia Indonesia, WikiCommons, and WikiVoyage Indonesia. Furthermore, collaborating with local communities, cultural practitioners, and fellow Wikimedians will enable us to refine essential skills in intercultural communication, teamwork, and project coordination, that are highly transferable to future careers in education, cultural heritage, and digital media. Participating in structured activities such as edit a thon, fieldtrip, webinars, and an editing competition will also enhance our abilities in research, digital literacy, and public outreach. Community members are invited to share meaningful feedback on the proposal and include reasons why they endorse the proposal. Consider the following:

  • Stating why the proposal is important for the communities involved and why they think the strategies chosen will achieve the results that are expected.
  • Highlighting any aspects they think are particularly well developed: for instance, the strategies and activities proposed, the levels of community engagement, outreach to underrepresented groups, addressing knowledge gaps, partnerships, the overall budget and learning and evaluation section of the proposal, etc.
  • Highlighting if the proposal focuses on any interesting research, learning or innovation, etc. Also if it builds on learning from past proposals developed by the individual or organization, or other Wikimedia communities.
  • Analyzing if the proposal is going to contribute in any way to important developments around specific Wikimedia projects or Movement Strategy.
  • Analysing if the proposal is coherent in terms of the objectives, strategies, budget, and expected results (metrics).
