Part 1: Project and impact

During the implementation of the Wiki Kelana Budaya project, a series of structured activities were carried out with a focus on cultural documentation and content editing related to traditional performing arts in Java and Bali, Indonesia. The primary activities included documentation, Wikipedia editing, community training sessions (Wikilatih), an open editing competition, and a public webinar. These activities were designed to support the project’s core objectives of preserving and revitalizing cultural heritage through open digital platforms.

Documentation activities focused on the collection and management of visual materials related to cultural and performative traditions. A total of 206 image files were successfully uploaded to Wikimedia Commons under the categories “Wiki Kelana Budaya Yogyakarta,” “Wiki Kelana Budaya Bali,” and “Wiki Kelana Budaya Malang.” In parallel, Wikipedia editing activities were conducted through Wikilatih programs organized in Yogyakarta and Bali, engaging a diverse range of participants, including members of the general public, local art studio communities, and local Wikimedia communities. To further increase both the quantity and quality of content, the project organized an open editing competition titled Festival Mandala Kelana 2025, which was accessible to participants nationwide. As a subsequent stage of implementation, editing activities were also extended to Wikivoyage, focusing on enriching cultural tourism information related to destinations in Java and Bali. Overall, the project achieved 135 Wikipedia edits and initiated Wikivoyage contributions, with three edits completed during the reporting period.

In addition to the editing and documentation activities, the project also organized a webinar in the form of a talk show titled Cahaya Panggung, Rupa Raga: Preserving Nusantara Performative Traditions in a Digital Library. This webinar served as an educational and discussion-based forum that brought together artists, cultural practitioners, and speakers with strong academic and practical backgrounds in the arts. Through open dialogue and interactive discussion, participants gained insights into traditional performing arts, as well as the challenges and opportunities of documenting and preserving cultural heritage through digital libraries and open knowledge platforms.

Furthermore, the webinar included an agenda for announcing the winners of the Best Wikipedia Editor awards, recognizing first, second, and third place contributors from the Festival Mandala Kelana competition. The awards were granted based on several criteria, including content quality, consistency of contributions, and relevance to cultural and traditional topics. This recognition functioned as both appreciation for participant contributions and motivation for continued engagement in collaborative knowledge production.

The most effective approaches in achieving the project’s results were the emphasis on collaborative networks, effective communication, and community-based engagement. Close collaboration with local art studios and Wikimedia communities, supported by transparent and continuous communication, played a significant role in broadening participation and ensuring sustained involvement. Additionally, participant engagement was strengthened through incentive mechanisms, including referral-based incentives and contributor recognition, which encouraged active participation and peer-driven outreach. Collectively, these approaches enabled the project to meet its targets while fostering long-term community commitment to cultural preservation and digital literacy.

4. In your application, you outlined some learning questions. What did you learn from these learning questions when you implemented your project? How do you hope to use this learnings in the future? You can recall these learning questions below. (required)

You can recall these learning questions below: 1) How many individuals are likely to be interested in writing about Java and Bali heritage on Indonesian Wikipedia? We anticipate that approximately 30 individuals will actively contribute to writing about Javanese and Balinese cultural heritage on Indonesian Wikipedia, with 15 contributors engaged from each local Wikimedia community in Yogyakarta and Bali. These participants will be involved through WikiLatih Wikipedia edit-a-thon sessions, where they will receive hands-on guidance and mentorship to improve and expand articles, particularly those focused on traditional performing arts. Each individual is expected to edit a minimum of 2 Wikipedia articles, contributing significant enhancements to existing pages. This approach ensures that the collective output will reach at least 60 quality articles, while also fostering skill development and deeper engagement with culturally significant topics. All contributions will be monitored via an Outreach Dashboard to track individual progress and maintain content quality. In addition, the project will host a public editing competition titled 'Marathon Penyuntingan Seni Pertunjukan Jogja & Bali', which is expected to attract contributors from the wider Wikimedia Indonesia network. Through both the training sessions and the competition, the project aims to achieve a cumulative total of at least 40 participants and 40 newly created Wikipedia articles on Javanese and Balinese cultural heritage.We anticipate that approximately 30 individuals will actively contribute to writing about Javanese and Balinese cultural heritage on Indonesian Wikipedia, with 15 contributors engaged from each local Wikimedia community in Yogyakarta and Bali. By participating in the Wiki Kelana Budaya project, which focuses on the cultural heritage of Java and Bali, we aim to deepen our understanding of the rich, diverse traditions of traditional performing arts in regions such as Yogyakarta and Bali. This will be achieved through direct engagement with local Wikimedia communities, cultural practitioners, and the living cultural environments where these art forms continue to thrive. Furthermore, we aim to strengthen our technical and collaborative skills in various aspects of digital cultural documentation including photography, metadata tagging, and content structuring, ensuring contributions meet Wikimedia standards. We also seek to improve our capacity in article development across Wikimedia platforms, such as Wikipedia Indonesia, WikiCommons, and WikiVoyage Indonesia, through activities like WikiLatih Wikipedia and WikiVoyage edit-a-thons and content review. This project will also allow us to gain valuable experience in community engagement and knowledge mobilization, learning how to facilitate inclusive, respectful collaboration between knowledge holders, local communities, and online networks. Additionally, by organizing and participating in edit a thon sessions, webinars, and a editing competition, we will enhance our abilities in event coordination, communication, and impact evaluation. Overall, this experience will better equip us to support open access to cultural knowledge and contribute to the preservation, representation, and global dissemination of Indonesia’s intangible cultural heritage through sustainable digital strategies aligned with Wikimedia’s mission.

3) In what ways do you expect your understanding of Java and Bali heritage to grow through this project? Through this project, we expect our understanding of Javanese and Balinese heritage, particularly in the realm of traditional performing arts, to grow both in depth and scope. By engaging directly with cultural sites, local Wikimedia communities, and performing arts practitioners, we will gain firsthand insights into the practices, meanings, rituals, and social functions of various art forms. Structured activities, including field trips, WikiLatih Wikipedia and Wikimedia Commons sessions, and a cultural webinar will expose us to diverse perspectives on how heritage is preserved, practiced, and interpreted within its local context. These experiences will also help us reflect critically on issues of cultural sensitivity, representation, and accessibility in the context of digital documentation. Moreover, the process of contributing content to Wikipedia Indonesia, Wikimedia Commons, and WikiVoyage Indonesia will deepen our ability to ethically and accurately share local heritage with a global audience. Participation in the "Marathon Penyuntingan Seni Pertunjukan Jogja & Bali" will further reinforce this understanding by encouraging us to translate our knowledge into sustained contributions that enrich the documentation of Indonesia’s intangible cultural heritage across Wikimedia platforms.

4) What personal or professional development do you hope to achieve by working on Wiki Kelana Budaya? By working on the Wiki Kelana Budaya project, we aim to achieve meaningful personal and professional development through our engagement with Indonesia’s intangible cultural heritage, particularly the traditional performing arts of Java and Bali. On a personal level, this project offers an opportunity to cultivate a deeper appreciation for the diversity and complexity of local cultural expressions and to reaffirm our commitment to their preservation. Professionally, we seek to strengthen our competencies in content production within open-access knowledge platforms such as Wikipedia Indonesia, WikiCommons, and WikiVoyage Indonesia. Furthermore, collaborating with local communities, cultural practitioners, and fellow Wikimedians will enable us to refine essential skills in intercultural communication, teamwork, and project coordination, that are highly transferable to future careers in education, cultural heritage, and digital media. Participating in structured activities such as edit a thon, fieldtrip, webinars, and an editing competition will also enhance our abilities in research, digital literacy, and public outreach. Ultimately, this experience will help us grow as culturally sensitive knowledge contributors who are able to bridge local heritage and global access through responsible, collaborative, and impactful digital practices.

First, regarding participant interest and engagement, we learned that interest in writing about Javanese and Balinese cultural heritage on Indonesian Wikipedia was not only present but in some cases exceeded our initial expectations. While structured support through WikiLatih sessions played an important role in building participants’ skills and confidence, we observed an even stronger effect during the Festival Mandala Kelana editing competition. Participants eagerly competed to produce the best articles on Javanese and Balinese performing arts, striving to create high-quality content and often editing or creating more than one article. This enthusiastic competition demonstrated that, alongside capacity-building activities, gamified or competitive approaches can significantly boost motivation, engagement, and the overall quality of contributions, encouraging participants to exceed minimum targets and take pride in their work.

In relation to the second learning question on skills and knowledge development, the project confirmed that direct engagement with local communities, cultural practitioners, and living cultural environments significantly deepened both technical and contextual understanding. Beyond improving skills in editing, photography, metadata tagging, and content structuring, we learned the importance of cultural sensitivity and ethical representation in digital documentation. This insight will guide our future work to place stronger emphasis on preparatory discussions around ethics, representation, and community perspectives before content production begins.

Addressing our third learning question, our understanding of Javanese and Balinese heritage expanded not only in scope but also in critical depth. Field-based activities, collaborative editing, and dialogue-based learning—such as the cultural webinar—revealed that documenting heritage is a social process that requires listening, negotiation, and reflection. We learned that combining offline engagement with online contribution platforms leads to more contextualized and meaningful content. As a result, we aim to continue integrating webinars, discussions, and community dialogues as a core component of future documentation initiatives, rather than treating editing as a purely technical activity.

Finally, reflecting on personal and professional development, the project strengthened our capacities in project coordination, community engagement, communication, and impact evaluation. We learned that recognition mechanisms—such as editor awards and contributor appreciation—were highly effective in motivating participants and fostering long-term engagement. In future work, we plan to continue and expand recognition-based incentives, while adapting evaluation methods to focus more on contribution quality and learning outcomes rather than numerical outputs alone.

Overall, these learnings will directly inform our future work by encouraging us to design more sustainable, community-centered, and mentorship-oriented Wikimedia projects. We will prioritize approaches that balance participation, quality, and ethical representation, while discontinuing strategies that rely solely on passive or self-directed engagement. Through these informed decisions, we aim to contribute more effectively to the preservation and dissemination of Indonesia’s intangible cultural heritage through open and collaborative digital platforms.

5. Did anything unexpected or surprising happen when implementing your activities? This can include both positive and negative situations. What did you learn from those experiences? (required)

Yes, an unexpected and positive development occurred during the implementation of the project. Although Malang was not included in the original proposal, several performing arts events were held in the city during the project period. This situation created an opportunity for the team to document local performing arts and contribute to their preservation by uploading the materials to Wikimedia Commons. Recognizing the relevance of these activities to the project’s core objectives, the team decided to expand the documentation scope to include Malang without altering the overall goals of the project.

From this experience, we learned the importance of maintaining flexibility and responsiveness during project implementation, particularly in cultural documentation work where opportunities may arise unexpectedly. The experience also highlighted the value of situational awareness and proactive decision-making in maximizing impact, as well as the need to balance adherence to the original plan with the ability to adapt to emerging opportunities that align with the project’s mission.

6. What is your plan to share your project learnings and results with other community members? If you have already done it, describe how. (required)

To share the learnings and results of the Wiki Kelana Budaya project with other community members, we plan to implement a combination of online and offline dissemination strategies. Project outcomes—including key learnings, documentation results, methodological insights, and links to contributed content on Wikipedia, Wikimedia Commons, and Wikivoyage—will be shared through public project pages, community mailing lists, and social media channels used by the Wikimedia community. In addition, we will produce a project magazine that serves as an accessible learning resource, documenting what the Wiki Kelana Budaya project is, how it was implemented, the challenges encountered, the achievements reached, and the lessons learned throughout the process. This magazine is intended to function as both a reflection tool and a practical reference for communities interested in cultural documentation initiatives. Beyond wider community outreach, we will actively disseminate the knowledge and skills gained from this project within our internal community, Klub Wiki Universitas Brawijaya. The project team will organize internal sharing sessions, discussion forums, and informal training workshops to transfer hands-on experience related to cultural documentation, community engagement strategies, and Wikimedia editing practices. Furthermore, the magazine will be used as a learning material during community activities, enabling members to engage directly with the project’s experiences and outcomes. Within Klub Wiki Universitas Brawijaya, we also plan to utilize major community moments such as Wiki Gathering 2025 and the Open Recruitment for new members as strategic opportunities to distribute the project magazine. Through these activities, the magazine will support the dissemination of project learnings and results to a broader audience, particularly new contributors, while fostering knowledge continuity and strengthening community capacity. If the project is continued with the same vision and mission in different cities, the learnings from Wiki Kelana Budaya will serve as a reference framework for replication. By equipping members of Klub Wiki Universitas Brawijaya with documented best practices, reusable learning materials, and lessons learned, we aim to ensure continuity, scalability, and long-term sustainability of similar cultural documentation projects in new locations, while maintaining alignment with Wikimedia values and community standards.
