Part 1: Project and impact

In the Wiki Wastra Project, we focus on documenting Batik Tiga Negeri in Lasem, Rembang in a comprehensive manner. This documentation covers various aspects, including Batik Tiga Negeri motifs, the batik-making process, batik production houses, tools and materials used in the production process, as well as the surrounding cultural context that influenced the emergence and development of this batik tradition. In addition, we also documented supporting elements such as visits to historical sites related to Batik Tiga Negeri in Lasem and explorations of local culinary traditions that form part of the broader cultural landscape of the area.

The results of this documentation were then uploaded to the open media platform Wikimedia Commons so that they can be freely accessed by the wider public. Furthermore, we organized a workshop in collaboration with the History Study Program at Universitas Negeri Yogyakarta. During this workshop, participants were trained to learn about, understand, and contribute to various Wikimedia projects. Participants were guided to write articles related to the heritage of Batik Tiga Negeri Lasem on Wikipedia, both in the Indonesian-language edition and the Javanese-language edition. In addition, we introduced how Wikimedia Commons works, including explanations about free licensing such as Creative Commons and the importance of open knowledge sharing. Participants were also introduced to Wikivoyage as a platform for sharing travel-related knowledge, particularly about the travel route that we followed during the project, from Yogyakarta to Lasem in Rembang.

The most effective approach in supporting the achievement of these outcomes was a collaborative and hands-on learning approach. Collaboration with academic institutions enabled us to engage participants who have an interest in history and culture, making the workshop content more relevant and contextual. In addition, the training method combined presentations with direct practice, such as uploading media to Wikimedia Commons and writing articles on Wikipedia. This approach proved effective in helping participants quickly understand how to contribute to Wikimedia projects. As a result, the program not only produced openly accessible documentation but also encouraged the emergence of new contributors who can continue documenting and sharing knowledge about the cultural heritage of Batik Tiga Negeri Lasem.

Additional outcomes from this initiative include the establishment of partnerships with various stakeholders connected to the Batik Tiga Negeri ecosystem in Lasem. These partnerships involved representatives from Museum Nyah Lasem, Museum Batik Tiga Negeri, Batik Tiga Negeri producers (such as Maranatha Batik, Batik Pusaka Beruang, Batik Rumah Merah, etc), as well as academics from the History Study Program at Universitas Negeri Yogyakarta. Through the workshop collaboration, the participants successfully produced tangible contributions in the form of 52 new articles or improvements to existing articles on the Indonesian-language edition of Wikipedia and 53 new articles or edits on the Javanese-language edition of Wikipedia related to the heritage and cultural context of Batik Tiga Negeri Lasem.

Through the learning questions outlined in our project application, we gained several important insights during the implementation of the project. One of the main lessons we learned is that documenting cultural heritage such as Batik Lasem, particularly Batik Tiga Negeri, requires not only technical documentation skills but also strong collaboration with local communities, batik artisans, and cultural institutions that hold valuable knowledge and experience regarding the tradition.

We hope this project can serve as an initial step to broaden public knowledge about Batik Lasem and Batik Tiga Negeri, especially regarding its motifs, history, and cultural significance. By documenting and sharing information through open platforms such as Wikimedia Commons and Wikipedia, we aim to help more people recognize and appreciate the richness of Indonesian textile heritage. Additionally, we hope that the public, particularly younger generations and local communities, will be encouraged to contribute by writing or editing Wikipedia articles, both in Indonesian and Javanese.

To support this goal, we organized editing workshops in collaboration with the History Study Program at Universitas Negeri Yogyakarta. These workshops served as learning spaces where participants could gain practical experience in contributing to Wikimedia projects. Participants learned not only article editing techniques but also the importance of open knowledge practices and free licensing systems such as Creative Commons to ensure responsible and open dissemination of cultural knowledge.

During the project implementation, we faced several challenges. One of the main challenges was ensuring that the documentation accurately reflected the historical and cultural context of Batik Tiga Negeri while meeting the standards required for Wikimedia projects. Another challenge was encouraging new contributors, particularly those who had never edited Wikipedia before, to feel confident in sharing their knowledge online. Through hands-on training and collaborative approaches, participants gradually gained understanding of the editing process and were able to actively contribute.

As a result of these activities, the workshop participants successfully produced tangible outcomes: 52 new or edited articles on the Indonesian-language Wikipedia and 53 new or edited articles on the Javanese-language Wikipedia related to Batik Tiga Negeri Lasem and its cultural context. In addition, our field documentation generated 311 media files that were uploaded to Wikimedia Commons and categorized under WikiWastra, making them openly accessible to the public.

Looking ahead, we hope that the learnings from this project will be applied to further expand cultural documentation, strengthen partnerships with cultural institutions and batik producers, and organize more workshops to train new Wikimedia contributors. We also hope to continue this initiative through the development of Wiki Wastra 2.0, with the goal of extending Batik Tiga Negeri documentation to other cities with significant historical roles in its production, such as Surakarta and Pekalongan. Through this next phase, we aim to document Batik Tiga Negeri motifs in brown and blue, ensuring that the narratives of its journey, techniques, and diversity are more comprehensively recorded and preserved within the open knowledge ecosystem.

5. Did anything unexpected or surprising happen when implementing your activities? This can include both positive and negative situations. What did you learn from those experiences? (required)

One of the challenges we faced, and something we were not entirely accustomed to, was determining the tools to track user contributions, especially for new users editing articles. We realized that monitoring the activities of participants who were learning to edit Wikipedia requires the right strategies and tools to ensure their contributions are properly identified and guided.

In addition, during the documentation process, we encountered limitations from some batik artisans who restricted which motifs could be documented. However, this did not hinder the overall project, as there were still plenty of motifs available for documentation, both from the artisans themselves and from museum batik collections. This experience taught us the importance of flexibility and adaptability in cultural documentation projects, as well as the ability to work within certain limitations without compromising the quality of the documentation results.

A positive and unexpected aspect we discovered was that documenting Batik Tiga Negeri goes beyond just recording batik, fabrics, and motifs. It also requires synergy with the surrounding culture, historical development, local customs, culinary traditions, related communities, batik producers, and the artisans themselves. This holistic approach made the Wiki Wastra project particularly engaging and enriching, providing a deeper understanding of Batik Tiga Negeri and significantly enhancing knowledge in the field of batik studies.

6. What is your plan to share your project learnings and results with other community members? If you have already done it, describe how. (required)

Building on the experiences from this project, we aim to share our learnings and outcomes with both local and global communities. Locally, we plan to present our insights and key takeaways during our community’s regular monthly meetings. These sessions will serve as opportunities for reflection, feedback exchange, and inspiration, encouraging other members to engage in similar initiatives, particularly in documenting Batik Tiga Negeri, creating Wikipedia articles, and leveraging Wikimedia Commons for open knowledge sharing.

On a global scale, we are eager to share our experiences with Wikimedia volunteers worldwide. Should we have the opportunity to participate in regional or international conferences, we are prepared to present the lessons learned, including the challenges of tracking contributions from new users, restrictions on which batik motifs could be documented, and the enriching experience of connecting batik documentation with local culture, history, community practices, culinary traditions, producers, and the artisans themselves. We believe these experiences can act both as a case study and as inspiration for other Wikimedia communities involved in heritage documentation or language preservation.

Through these initiatives, we hope the Wiki Wastra project will strengthen the culture of collective knowledge sharing within the Wikimedia movement, while motivating more volunteers and the wider public to contribute. We also aim to continue documenting Batik Tiga Negeri in the next phase, Wiki Wastra 2.0, ensuring that the rich cultural heritage of Indonesia remains preserved and accessible for everyone.

During this project, we faced several challenges. One of them was using the Outreach Dashboard. Our team was not yet very familiar with this tool, so we relied more on XTools, Fountain, and other tools we were accustomed to, while recording data manually. Moving forward, we hope to learn and gain a better understanding of how to use the Outreach Dashboard effectively. The Wikimedia Foundation could consider providing simpler tutorials or short training sessions for small teams to make the dashboard easier and more efficient to use.

Regarding funding, the amount we received was less than what we had initially requested. This did not hinder the project, as we were able to adjust and continue successfully by reducing team size, managing accommodations, and simplifying certain aspects of the project. However, with funding more closely aligned to our needs, we believe the project could be carried out with greater flexibility, reach more related communities, expand the scope of documentation, and allow us to explore new ideas, ultimately achieving even better results.

Due to fluctuations in the exchange rate of the Indonesian Rupiah, the total grant we were supposed to receive was IDR 32,652,000.00. However, the actual amount deposited into our account was IDR 32,373,038.75, which was fully spent with total expenditures of IDR 32,420,986.00. Therefore, all the funds received have been used appropriately, and there is no remaining balance.

The approved grant differed significantly from the amount we initially requested, requiring us to reduce several budget items and make major cost-saving adjustments, including reducing the number of staff involved in the project. We respectfully request that in cases where grant adjustments are very substantial—such as reductions of more than half—the changes be communicated in advance rather than applied directly. This would allow the grant applicant team to convey the urgency and rationale for the originally requested amount.
