Part 1 Understanding your work

1. Briefly describe how your proposed activities and strategies were implemented.

The Chapter held a retreat in 2023, which resulted in the following key outcomes:

The Chapter conducted a SWOT analysis, identifying its strengths, weaknesses, opportunities, and threats.

A Theory of Change was developed, highlighting the need for specific objectives to leverage strengths while addressing weaknesses and threats. These objectives formed the foundation of the Chapter’s agreed-upon strategy. All projects and initiatives undertaken in the 2024 financial year were aligned with this strategy.

The implementation of all activities follows a structured process: a dedicated task team is assigned to manage and drive each project to completion. This team develops an implementation plan, with regular reviews conducted throughout the project lifecycle to address any deviations early and ensure corrective measures are taken. Additionally, post-project reviews are carried out to capture key lessons learned.

The Chapter also engaged with community-affiliated members from its database to understand how best to support them. Members identified projects they wished to undertake in the 2023 financial year. It is important to note that some of these projects were already part of multi-year initiatives.

2. Were there any strategies or approaches that you felt were effective in achieving your goals?

The creation of task teams helped to ensure projects were delivered in timelines and with the required outcomes. Additionally have a anchor for each area/project ensured alignment overall and that implementation was excellent

We also had language champions whom we supported to grow the small South African languages. As a results we saw a spike in the Sesotho Wikipedia. The Afrikaans Wikipedia already had a language champion and it was also showing growth.

3. Would you say that your project had any innovations? Are there things that you did very differently than you have seen them done by others?

For the hosting of the WikiIndaba Conference, we had a decentralized core organizing team comprising committee members from across the African continent who had previously hosted the conference. We also outsourced bookkeeping services to a professional consulting firm and auditing services to a professional audit firm, which has greatly helped in managing our finances. Additionally, the executive coordinator plays a crucial role in supporting administrative tasks and the overall operations of the chapter.

4. Please describe how different communities participated and/or were informed about your work.

We have engaged with our communities through the chapter’s mailing list and social media, particularly Facebook. Additionally, we have leveraged our partners e.g academic institutions, who have a database of our audiences (students), to enhance communication.

To strengthen regional collaboration, we have also established a Southern African (SADC) Wikimedia WhatsApp group, consisting of Wikimedia leaders from the SADC region. This platform enables coordination and mutual support as a unified bloc. Through this initiative, we provide leadership and guidance, drawing from our years of experience.

7. Is there anything else you would like to share about how your efforts helped to bring in participants and/or build out content, particularly for underrepresented groups?

Our Flagship project = SWiP was a excellent example of the introduction and retention of new participants. In the 1st phase over 300 editors were introduced to Wikipedia and in the indigenous languages. This activity has seen the improvement of edits (Both new and existing edits) for these indigenous languages.

The demand for this project and its impact in communities was so high that outside of the project Wikimedia South Africa received numerous adhoc workshop requests. In the 2nd phase scheduled to start in 2025 the chapter hopes to reach an additional 16 universities as well as to run a number of Adhoc workshops

Part 2: Your main learning

8. In your application, you outlined your learning priorities. What did you learn about these areas during this period?

Our primary focus in 2024 was to introduce wikipedia to new audiences, specifically the underrepresented languages. the biggest learning from this engagement is that africans are hungry to contribute to knowledge of their cultures online and that most are unaware that they can contribute as well as that so little content exists online in their mother tongue.

Another learning was that the communities around the African continent are missing out on opportunities for Collaboration and synergies

9. Did anything unexpected or surprising happen when implementing your activities?

A surprising outcome of the Flagship project - SWiP was the numerous requests for Adhoc workshops, one of these yielded around 160 new editors. This again is an opportunity to reach more editors and should not be overlooked

10. How do you hope to use this learning? For instance, do you have any new priorities, ideas for activities, or goals for the future?

For the SWiP project we have already engaged with the Foundation to request additional budget to pilot a few Adhoc Workshops, we see this as an addtional method for engagement.

For the Regional collaboration we believe that the chapter can utilize worldwide events in wiki space to collaborate with smaller communities to leverage on the knowledge and leadership in Wikimedia South Africa to mentor and guide the smaller communities in implementation.

11. If you were sitting with a friend to tell them one thing about your work during this fund, what would it be (think of inspiring or fascinating moments, tough challenges, interesting anecdotes, or anything that feels important to you)?

The one thing would be the wealth of knowledge in local languages and in local cultures that is available in peoples minds but not captured in writing or in books and the risk of this knowledge disappearing in a generation if the current generation does not act and champion their languages cause and capture this knowledge online.

A tough challenge we continue to look for solutions too is oral knowledge (Past done generation to generation). An Inspiring Moment would be seeing the impact a few people can have in terms of their languages availability - Isindibele graduation from Incubator to Language Wiki)

Collecting metrics for the Afrikaans language was challenging because the language champion did not consistently use the Wikimedia dashboard to plan events. However, he provided reports on the training sessions he conducted and shared metrics verbally during operations meetings, which we recorded in the minutes.

Although we now have one staff member - the executive coordinator, plus the 2 interns who support the Afrikaans language as well as the chapter's communications. We still need to fill the Executive Director's position. Filling the Executive Director position would be a strategic move to enhance the chapter’s influence across the continent, ensuring long-term sustainability and leadership in the free knowledge movement. A dedicated Executive Director could drive fundraising efforts, strengthen partnerships, and provide strategic direction while maintaining accountability to the board. With this role in place, Wikimedia ZA could expand its impact, improve operational efficiency, and position itself as a key player in shaping the Wikimedia movement in Africa.

In South Africa we have a lot of potential partners and those that we've been working with for years, and they have been essential to our operations, but their interests vary across different thematic areas. This diversity has brought us both a strength and a challenge. On one hand, it allowed us to work on multiple focus areas with dedicated support. On the other hand, it created gaps in funding or engagement for areas that aren’t as appealing to our partners.

21. What would it mean for your organization to feel a sense of belonging to the Wikimedia or free knowledge movement?

For Wikimedia South Africa , belonging to the Wikimedia and free knowledge movement means being part of a global effort to make knowledge freely accessible to all. Being part of a wider community provides us with invaluable connections, resources, and opportunities to collaborate with other like-minded organizations to advance free knowledge in South Africa and beyond.

22. How has your (for individual grantees) or your group/organization’s (for organizational grantees) sense of belonging to the Wikimedia or free knowledge movement changed over the fund period?

Representing the chapter in different conferences as well as hosting WikiIndaba 2024 contributed to Wikimedia ZA's chapter members and board members feel they are part of a bigger community of support.

Most of Wikimedia's ZA senior members have been editing Wikimedia for more than 10 years, and cannot abandon the years of work they've put in the platform. They are heavily invested.

ReCreate is a NGO advocating for Freedom of Panorama and the copyright amendment Bill in South Africa.
