Thank you for submitting your report and documentation of expenses in a timely manner. Before the report was submitted I heard good feedback from WMF staff and community members who attended the event saying that it was well organized and that the quality of sessions and participants was very high. We understand that it was frustrating to find a lightweight and fast way to fund the scholarships for this event, and we appreciate that the lead organizers for the grant Wittylama, Mrjohncummings, and SRientjes were willing to adapt their plans and timelines to ensure that more Wikimedians had the opportunity to participate in this event. Your feedback throughout the application process was helpful for understanding the limitations of our grant programs and the challenges of finding fiscal sponsors who have the capacity to support these transactions. The unfortunate reality of managing grants for a registered non profit is that any movement of funds between our organization and individuals or other organizations does require documentation, formal grant agreements, and other measures to comply with financial regulations. Making grants to a group rather than payments to individuals allows us to keep the administrative cost of funding this kind of project within a reasonable range.

  • We are glad to hear that so many participants were actively engaged in sessions as presenters, and that there was equitable representation of genders in presentations.
  • It is good to hear that you added new people into the meeting this time, and that people were able to learn how to use tools to improve their work.
  • Your report makes it clear that the meeting has already been valuable to the participants and the communities they serve. We would like to hear from you in six months to find out if some of the new ideas discussed develop into projects, or if you have other observations about how this kind of meeting is valuable.
  • It sounds like you learned useful information from your survey. We are working on creating survey templates to offer other conference or event organizers. Would you be willing to share the text from your survey so that others might adapt your questions to fit their needs?

Once again, thank you for your hard work on this project, and your patience with these new grant processes. We would like to refine the application processes for conference and event grants to serve different types of projects.
