This proposal is interesting to me. I would like to ask some questions and provide feedback.

  1. What differentiates the WikiDiplomasi 2.0 project from its first iteration? Have there been any concrete lessons learned or evaluations implemented from the previous project?
  2. What method will be used in the content gap analysis to ensure that the selected topics are indeed underrepresented or significantly lacking?
  3. Has there been any mapping of English articles that are suitable for translation, or topic mapping based on the curricula of the partner universities?
  4. How strong is the commitment of the partner universities (Universitas Sriwijaya, UB, UPNVJ, and Unram)? Are there any MoUs, official letters of support, or other concrete forms of collaboration in place?
  5. How will synergy with local Wikimedia communities be operationalized, particularly regarding facilitators, logistics, and post-event follow-up?
  6. Is there a plan to sustain participant engagement after the training and edit-a-thons? What mechanisms are in place to encourage ongoing contributions?
  7. What is the strategy to avoid tokenistic involvement (i.e., participants being present but not contributing meaningfully)?
  8. How will article quality be maintained, especially by new participants? Will there be a team of mentors or reviewers?
  9. Is this project designed to be replicable by other universities beyond the four targeted locations? Will there be any guidebooks or training models that can be passed on?

Hello @Oloyobuen thank you for your questions and feedback. I will answer them below:
  1. What differentiates the WikiDiplomasi 2.0 project from its first iteration? Have there been any concrete lessons learned or evaluations implemented from the previous project? - The main difference is that half of the universities and Wikimedia communities that we partner with in WikiDiplomasi 2.0 located in Sumatera and West Nusa Tenggara, so as not to make the project Java-centric as the first one. Thus, we contribute to democratize knowledge and socialize Wikipedia platform to people in Java and outside Java. We also have several lessons learned that we documented on our previous project report: 1) related to implementation, we need to hold a briefing with all partners to ensure alignment and better coordination; 2) related to training, we would employ measures to ensure the participants will stay until the end and produce at least 1 new article, we would also utilize program & event dashboard better to track participants' contributions.
  2. What method will be used in the content gap analysis to ensure that the selected topics are indeed underrepresented or significantly lacking? - We use IR handbooks to search for topics and keywords, then search the keywords on English and Indonesian Wikipedia and check if the articles were already created or not and if the articles need significant editing or not.
  3. Has there been any mapping of English articles that are suitable for translation, or topic mapping based on the curricula of the partner universities? - We will use https://petscan.wmcloud.org/ to search for Wikipedia articles; the topics are determined together with partner universities to ensure alignment with their curricula and research focus.
  4. How strong is the commitment of the partner universities (Universitas Sriwijaya, UB, UPNVJ, and Unram)? Are there any MoUs, official letters of support, or other concrete forms of collaboration in place? - Since we are from UB, the collaboration with the department is not difficult. We also have MoU with Unram and since our team build networking with IR departments of Universitas Sriwijaya and UPNVJ, a smooth partnership is expected.
  5. How will synergy with local Wikimedia communities be operationalized, particularly regarding facilitators, logistics, and post-event follow-up? - We have verbal agreement with Wikimedia Communities in three regions/cities that will help us to conduct the activities. The communities will select two local volunteers who act as Wikipedia trainers, help with logistics and post-event follow up.
  6. Is there a plan to sustain participant engagement after the training and edit-a-thons? What mechanisms are in place to encourage ongoing contributions? - We collaborate with local Wikimedia Communities to share the event and create WhatsApp groups for communication. Then, during the event, they can introduce their communities to the participants and encourage them to follow their activities on social media. After the event, we share relevant information and activities to encourage continuous contributions.
  7. What is the strategy to avoid tokenistic involvement (i.e., participants being present but not contributing meaningfully)? - We ask all participants to bring their own laptops/tablets, then during the training sessions we supervise them to ensure they can edit and create new article. As an encouragement and appreciation, we also prepare gifts and certificates for the three best editors at each event.
  8. How will article quality be maintained, especially by new participants? Will there be a team of mentors or reviewers? - We have internal trainers from our team and local volunteers from Wikimedia communities who will supervise and help the participants in editing articles. We also review some of the articles by the end of the session to give feedbacks.
  9. Is this project designed to be replicable by other universities beyond the four targeted locations? Will there be any guidebooks or training models that can be passed on? - Yes, we think our project can be replicated by any university. We plan to hold an online workshop/edit-a-thon for any interested universities/communities. We also utilized modules and guidebooks from Wikimedia Indonesia and shared presentation slides (CC BY 4.0) for WikiDiplomasi workshop and training.

I had the opportunity to be part of the first version (WikiDiplomasi 1) of this project, and it was truly eye-opening to see how diplomacy-related content on Indonesian Wikipedia could grow through collaboration and shared commitment. Seeing this initiative now evolve into its 2.0 version is exciting—and I’m genuinely looking forward to the impact it will bring. I fully support this project and believe in its potential to enrich public access to knowledge, empower contributors, and foster stronger connections between academia, practitioners, and open knowledge communities. 1. This proposal is important because it directly addresses the lack of quality and accessible content related to diplomacy and international relations (IR) on Indonesian Wikipedia. By partnering with IR departments at 4th universities in Indonesia and local Wikimedia communities, we aim to bridge the gap between academic knowledge and public resources. This second iteration expands reach and impact by improving methodology, increasing training sessions, and refining content selection processes.

2. The proposal is particularly strong in its outreach and partnership strategies. It expands at 4th universities in Indonesia, namely Universitas Brawijaya (Malang), Universitas Pembangunan Nasional Veteran Jakarta (Jakarta), Universitas Sriwijaya (Palembang), and Universitas Mataram (Mataram). Community involvement is also well integrated through agreements with Wikimedia communities for training. These elements show thoughtful planning and alignment with past learnings.

3. Yes, this proposal is based on concrete learnings from WikiDiplomasi 1.0, where identified from the importance of combining conceptual knowledge with practical editing skills. Also learned to improve participant retention and article quality through supervision and feedback.

4. Yes. It fosters skills and leadership development by training students and academics to contribute high-value content in diplomacy. It addresses topic equity by targeting underrepresented IR subjects like digital and economic diplomacy. By engaging diverse regions and institutions and establishing follow-up mechanisms like community chats and awards, the project strengthens community retention and builds sustainable contributor networks.

5. Yes, the proposal is very coherent. The objectives to expand quality content on diplomacy and encourage academic contributions are directly supported by the activities with structured workshops, campus partnerships, content gap analysis, and sustained mentoring. The budget aligns well with these strategies and includes detailed allocations for travel, logistics, appreciation tokens, and documentation. The expected metrics are measurable and aligned with Wikimedia’s global standards, such as number of participants, new and improved articles, also multimedia uploaded. The proposal builds on a solid foundation of past success, making the targets realistic and achievable.

Thank you for putting in a grant application and for concluding a recent project (WikiDiplomasi)

I am following up on this rapid fund grant application - WikiDiplomasi 2.0

With regard to the rapid fund programme, there is a clause related to ineligibility for funding listed on the website. See also below.

  • You are a board member, leader (contacts submitted to AffCom), president, bank account signatory, executive director, or other paid staff or contractor of a Wikimedia affiliate/group/organisation with existing Wikimedia Foundation Fund awards (General Support Fund, Rapid Fund, Research Fund, Conference Fund, Movement Strategy Implementation Grants).
    • When there is no significant overlap between the volunteer role (especially board members), group activities, and individual grant, the Program Officer may make exceptions to this criterion.


While there could be exceptions to this criteria, we also noted that to be eligible for funding, the following clauses would be of interest:

  • Are an individual who does not have any other open Rapid Funds. Before applying for a new Rapid Fund you will need to submit the report for the open Rapid Fund. In some cases, the Program Officer may request to review the report before the applicant is able to submit a new grant request.
    • The total fund amount an individual can access per fiscal year (e.g. July 1, 2023 - June 30, 2024) is up to USD 10,000.
  • Are an organisation or group with less than 2 open grants at any given time.
