Thank you for your application. Here are the additional questions/ observations and comments from the review team (ESEAP Regional Funds Committee; Wikimedia Indonesia; ESEAP Programme Officer).

Is the proposal clear in terms of the change it wants to make? Does the proposal indicate value/impact potential? Is the proposal viable?
  • Interesting attempt, can be believed to be feasible, and can be expected to produce reasonable benefits
  • Based on your timeline, it feels like you will encourage participants to do photowalk asynchronously and then join the workshop to create content. Why not do a workshop after each photowalk session? Having only one workshop means the content creation will be limited by the time
Does the applicant have the experience (technical / organizing) capacity to implement this project? Does the applicant or team have experience on target Wikimedia projects?
  • Yes
  • Not sure. Editing experience - yes. Experience in participating and running similar events and workshop - I can't tell from the application.
Does this proposal have support from Wikimedia community members?  Has there been sufficient engagement of community members through the endorsement and feedback process?
  • According to the applicant's statement, it is still in the process of soliciting opinions.
  • Do you have documentation from initial consultation and feedback gathered from the community? If yes, could you share it?
Does the proposed budget adequately reflect the investment needed to achieve the proposed goals?
  • With a budget of less than $1,100, $600 is spent on personnel costs, which is unreasonable. Usually, in such a small-scale project, although it is reasonable to give personnel costs to a reasonable extent, it does not mean that such a high proportion of personnel costs should be given.
  • Could you explain why you need hotel for staff?
Does the applicant show clarity in what they hope to learn from their work given the change they are hoping to achieve?

  • Based on your metrics, our understanding is that 50 wikipedia articles will be contributed by 15-18 workshop participants within a 2 hour period. Would that be correct? Do you have samples of wikipedia articles that will be created?

First of all, I would like to express my thanks for all the comments and recommendations in our project proposal, especially to Jacqueline and all reviewer team.
Yes it's similar to a photowalk activiy, but I'm really sorry for using the 'hunting photo' term in this proposal. I'm just realized that this term is not widely used in English daily conversation, so I'm very sure we have different perception towards this proposal before.
Like we said earlier in private notes for the reviewer team on our proposal application. Since it is our first experience, we are having a hard time and difficulty to search for guideline and reference, the only one guide that we used to design this proposal is based on other people's proposal project around us like WikiCitaRasa and Integrasi Leksem menggunakan Wikidata dan Wikisource.
So we don't know about the unreasonable price rule, we don't aware about what the ideal budgetting should look like (the ideal ratio percentage of personnel costs and total budget), but we cooperative to set back the budgetting again to be more appropriate and follow the reasonable principle.
After doing online meeting with our local Wikimedia Community (Komunitas Wikimedia Medan), we considering to and will change the mechanism, we will doing workshop after each photowalk. So the total of the photowalk activity is 4 times, along with 4 workshop in the same day, as well as additional in target participant from 15 (outside 3 staffs) to 30 participants (including 3 staff). And also will be one self-independent workshop for closing event. The details are:
1. A day for Photowalk and workshop (upload file to Wikimedia Commons and contribute in Wikipedia and Wikidata) in Medan, most likely around 15 Aug - 21 Aug 2025
2. A day for Photowalk and workshop (upload file to Wikimedia Commons and contribute in Wikipedia and Wikidata) in Lubuk Pakam and Deli Serdang Regency, most likely around 22 Aug - 28 Aug 2025
3. A day for Photowalk and workshop (upload file to Wikimedia Commons and contribute in Wikipedia and Wikidata) in Binjai, most likely around 29 Aug - 11 Sept 2025
4. A day for Photowalk and workshop (upload file to Wikimedia Commons and contribute in Wikipedia) in Stabat, most likely around 12 Sept - 25 Sept 2025
5. Closing workshop in Medan (introduction to Wikimedia projects, presentation to the tutorial in Wikipedia, upload file to Wikimedia Commons and contribute in Wikipedia), most likely in 4 October 2025

Bibazi is the enthusiastic and dilligent newcomer in Wikimedia Movement. We need him and his spatial knowledge around Stabat and Langkat Regency, because he is the local of this area.
About the budgetting, after some discussions and consultation privately with previous rapid fund WMF grantee, there will be cut in personnel costs to be more reasonable and match with the ideal ratio cost personnel:total budget. The rest of the fund will be prioritized in extra target participents, extra workshop and photowalk.
And also, after some considerations within the internal team, the hotel budget will be removed, because we targetting closer location target (but still in the area of map we provide before) so we don't need to stay overnight outside our own residence in Medan City.
