Grants talk:TPS/Enock4seth/BarCamp Takoradi 2015/Report

From Meta, a Wikimedia project coordination wiki

Hi @Enock4seth: Thank you for your report. As you can see in the reporting requirements of the TPS, we always ask the grantees to share their outcomes. It is written that "your outcome could be a learning pattern to teach others something you've learned, a link to something new that was co-created by you and your fellow participants at the event, or a blog post you wrote to share your experience with others after the event.” It would therefore be great if you could provide the links to the articles which were completed during your session?
Thank you and best wishes, --Muriel Staub (WMCH) (talk) 14:57, 3 February 2016 (UTC)[reply]

@Enock4seth: Just a reminder ... please reply and make the changes requested or provide an update on when you might be able to make the changes. -- Thank you, JTud (WMF), Grants Administrator (talk) 21:20, 25 February 2016 (UTC)[reply]
Hi @Enock4seth: This message is to inform you that the TPS committee will mark your report as "incomplete" if we have not received an update from your side until next Wednesday, April 13 (links to the articles, as requested above).
Please let us know if you need more time and want us to extend your deadline. We are happy to work with you to finish out your grant report. Best wishes, --Muriel Staub (WMCH) (talk) 17:50, 6 April 2016 (UTC)[reply]
@Jtud (WMF) and Muriel Staub (WMCH): Thanks for numerous reminders. Well noted. Best. Enock4seth (talk) 04:13, 7 April 2016 (UTC)[reply]
@Jtud (WMF) and Muriel Staub (WMCH): Sorry, am still not able to put together a blog post since what happened during the breakout session was purposely about me reaching to people about Wikimedia Foundation's projects and mission. Kindly let me know what am missing out. Best. Enock4seth (talk) 10:12, 12 April 2016 (UTC)[reply]
@Enock4seth: Please review the reporting requirements described in "How the program works". Your post-event report must provide a link to an outcome from your participation. An outcome does not include the materials you prepare to present at the event (though we’d like you to link to those, too), but something that is created during or after the event because of your participation, such as a learning pattern to teach others something you've learned at the event, a link to something new that was co-created by you and your fellow participants at the event, or a blog post you wrote to share your experience with others after the event. If a blog post does feel like a good fit for you, then perhaps a learning pattern would work. -- Best, JTud (WMF), Grants Administrator (talk) 17:02, 20 April 2016 (UTC)[reply]
Hi @Enock4seth:. Your TPS report was due on September 5, 2015. It is now April 26, 2016, making your report over seven months late. You are missing the outcome requirement described in "How the program works". Furthermore, your report content is very underdeveloped, lacking specific details about what you accomplished during the event. In order to complete your report and your grant, please do the following:
  • Fill your report in with a more detailed description of your participation and contributions
  • Add a link to an outcome.
  • Return the GHS 53.00 from the underspend on your grant.
If you have not completed these tasks by Wednesday, May 4, 2016, we will mark your grant incomplete. You will not be eligible for further grant funding through WMF programs until the reporting requirement for this grant is fulfilled. Please contact us right away if you have any additional questions or concerns about these requirements. Best regards, --Marti (WMF) (talk) 16:23, 26 April 2016 (UTC)[reply]
Hi @Mjohnson (WMF): thanks for your reply. Am very much aware my grand report is over due. Not sure what I can say more. What I did was what I described. Since is been long and I've not met the criteria for my report to be accepted, I wish to return total amount received to WMF (Which will be involving though. I wish to return it to Wikimedia Ghana User Group which will be much easier). Let me know whatever. --Enock4seth (talk) 16:53, 1 May 2016 (UTC)[reply]
Hi @Enock4seth:. If you prefer to speak with our Grants Administrator about closing out your grant by returning funds received, she will work with you to determine the best way to do so.
I also want to encourage you once more to try to finish your report. You could make improvements via these recommendations:
  • Provide information about any specific connections you made with participants at the event. Have you done any follow-up since the event via email, onwiki, in-person or other forms of interactions? Describe that, too, with specificity. Do you have plans for further follow-up? Tell us about those plans and be as specific as possible.
  • You mentioned that there was interest in creating some articles with coverage of entertainment including but not limited to notable musicians. Have any of the 5 users in your session created articles on this topic as a result of your participation in BarCamp Takoradi 2015? If so, provide links to their work in your report and in your blog post.
  • Improve your blog post by being more descriptive about what you taught your session participants. Write your blog post so that someone reading it who wasn't a part of your session could still learn from you: What does it mean to volunteer? What is the difference between Wikimedia and Wikipedia? What other ways can people contribute besides via Wikipedia? You should answer these questions thinking of the specific audience that you were addressing. You may have special insight into the audience you were reaching out to (i.e. "youths from the working class to students in tertiary institutions.") and so you may be able to answer these questions in a way that will be more meaningful to them than if someone else were to try to give their perspective.
  • Once you've improved your blog post to make it more specific and fleshed out, make a point of sharing it further. For example, you might tweet your blog post (https://twitter.com/BarCampTakoradi) and then include the link to your tweet in your report.
Let us know if you are interested in trying to finish your report. Or, if you still wish to simply return the funds, let us know and we'll be in touch.
Best regards, --Marti (WMF) (talk) 19:17, 2 May 2016 (UTC)[reply]
Hello @Enock4seth: the TPS program is designed for funds to be handled by individual grantees only (no groups or organizations or fiscal sponsors) and no re-granting is allowed. For an underspend amount in this range, WMF will typically give permission for the grantee retain the unspent funds with the understanding/confirmation that funds will be used for other mission-aligned activities or be deducted from a future approved TPS submission, if you plan on submitting another request within the next 30 days. But those options are only available to grants/grantees that are in good standing, which you and your grant currently are not. As it stands, even if you return the unspent funds without completing your reporting requirements, you'll still be out of compliance and unable to receive future funding from WMF until this report is accepted. I understand that returning funds to WMF may be a lot of extra work for you and may even incur bank wire fees. I strongly suggest that you consider Marti's recommendations on how you might satisfy your reporting requirements. Otherwise, instructions for returning funds to WMF are detailed here. -- Regards, JTud (WMF), Grants Administrator (talk) 16:46, 3 May 2016 (UTC)[reply]
@Jtud (WMF): Thanks for advice. Doing just that now. Will be right back Enock4seth (talk) 11:39, 5 May 2016 (UTC).[reply]
@Jtud (WMF) and Mjohnson (WMF): Report updated with external blog post. Link here. Best. --20:40, 5 May 2016 (UTC)[reply]

Report accepted[edit]

Dear Enock4seth,

Thank you for submitting the link to your blog post. The committee is accepting this report with the following feedback:

  • Thank you for including examples of your use of social networking. Have you tweeted your blog post for the BarCamp Takoradi participants to read?
  • It sounds like there has not been follow up editing as a result of your presentation. Generally, we find this to be the case following single-instance outreach efforts. As you consider strategies for conducting outreach going forward, you may want to consider a serial approach with follow-up training and support after the event either online or in-person.
  • We appreciate your feedback about the promise you see in Ghanaian classrooms for the Wikipedia Education Program. If you haven't already done so, you may want to reach out at some point to Tighe Flanagan, Senior Manager of WMF's Wikipedia Education Program to see if there is a role you could play in helping to facilitate connections on this front.

Thanks again for your contribution!

Best regards, --Marti (WMF) (talk) 17:00, 11 May 2016 (UTC)[reply]

@Enock4seth: regarding the 53 GHS remaining on your grant, please retain and use the funds for mission-aligned activities. -- Best wishes, JTud (WMF), Grants Administrator (talk) 17:38, 11 May 2016 (UTC)[reply]
@Mjohnson (WMF): Thanks for your review and patience. Post shared as required. Will take a look at the serial approach and also the Education Program. @Jtud (WMF): Well noted. Best Regards --Enock4seth (talk) 02:27, 13 May 2016 (UTC)[reply]
