Hope you are well. Thank you for applying for India rapid project. Before reaching a final decision, we have below clarifying questions:
- Are you familiar with the events dashboard? How are you planning to keep a track of editors and their contribution?
- As there is a component of Wikipedia and Wikisource workshop, who’ll be the expert trainer on these workshops? Are you planning to collaborate with other Wiki support groups?
- What exactly counts as “attendance” vs “conversion/return editors,” and how will you record unique people so there’s no double-counting across stalls/days?
- How are you planning for post event engagement? What would be your strategy to retain the new editors?
- We would encourage you to seek collaboration with expert wikimedians and user groups for cross learning and resource support. Kindly identify and share details of the support group or individual.

- Dear @PDas (WMF),
- Thank you for your email and for the opportunity to provide further details on our project proposal. My apologies for the delayed response; it was caused by a regional internet shutdown in Ladakh from September 26th to 30th.
- 1. Events Dashboard Familiarity: Yes, I am familiar with the Events Dashboard. I have logged into the dashboard with my Wikipedia account and have completed the tutorial available at here. After reviewing all its features, we are confident in using the dashboard to effectively track the edits and contributions of all participants throughout the project.
- 2. Expert Trainers and Collaboration: We are fortunate to have active and experienced Wikimedians within our community who will serve as trainers. For the Wikisource workshop, we will have @Pecha-Tsewang and @Pecha-Choedup, both of whom attended the Wikisource training workshop in Patiala. For the Wikipedia training, senior contributors such as @Pecha-Gade, @Kaldan007, and @Manjushrimitra, who have a clear understanding of Wikipedia editing and policies, will guide the participants. Furthermore, we have reached out to the Punjabi Wikimedian Community and @Nitesh (OKI) from Open Knowledge Initiatives (OKI) for collaboration, and they have gladly accepted our request to support the project.
- 3.Participant Metrics: "Attendance" will be recorded as the number of unique individuals who register for and participate in our event activities (workshops, edit-a-thons, stalls). "Conversion/return editors" will be measured as those registered participants who continue to edit on Wikipedia or Wikisource for at least two months after the event. To avoid double-counting across different days or activities, we will record unique participant details at a central registration point and will cross-check usernames on the dashboard to ensure one individual is counted only once.
- 4. Post-Event Engagement and Retention Strategy: To retain new editors, we have developed a two-part strategy. For short-term engagement, the top three contributors from each workshop will be awarded a prize, which will be determined by calculating their total edits two months after the workshop concludes. This is designed to encourage sustained activity immediately following the event. For our long-term strategy, we will host monthly Tibetan Wikimedian meet-ups to present different editing challenges and keep new users engaged in community-driven projects.
- 5. Collaboration with Expert Wikimedians: Thank you for the recommendation to seek collaboration. As mentioned, we have secured the support of the Punjabi Wikimedian Community and @Nitesh (OKI). @Nitesh (OKI), whose work at OKI focuses on supporting language communities in India, has been helping us since the beginning of the project application and planning phases and has expressed her continued support. Additionally, Jacqueline from the Wikimedia Foundation has been very supportive and was a key person in helping us during the application phase.

Your Project Application is Approved

I appreciate your detailed response to the questions. We have completed review of your application and the answers you have shared. I am pleased to inform you that your project request has been approved for the amount of ₹4,24,000 + ₹8,000 (CA fees for getting the Utilisation Certificate) = ₹4,32,000. Since, you have not accounted for CA fees the same has been added to the budget. Kindly update the budget sheet to reflect the same.
Please make sure to document all of your achievements and learning in the final report for review and others to learn from. Wishing you all the best for the project. Best of luck!

Reallocation of Prize money

I'd like to propose a reallocation of funds from our editathon budget and request your approval. We found that tracking individual winners across multiple separate editathons was logistically difficult, and distributing the 24,000 INR earmarked as prize money is no longer feasible. I'd like to request cancellation of the pending transfer with Balarc for this amount. Instead, I propose combining this 24,000 INR with the 11,995 INR underspent from the budget — totaling 35,995 INR — and redirecting the entire amount toward Amazon gift vouchers for our eight core volunteers. These volunteers contributed significantly through travel, preparation, and on-ground logistical support across the workshops, and this reallocation would allow us to properly recognize their efforts and keep them motivated for future events. - Thanks for sharing the rationale and I understand sometimes complexities arrise in the plan. I approve the reallocation of the remaining 24,000 INR originally budgeted for editathon prizes, along with the 11,995 INR underspend, toward Amazon gift vouchers as a honorarium/token of appreciation for the eight core volunteers.
