Follow-up questions on your grant application

Hope you are well. I am the programme officer supporting the review process for rapid projects in this cycle. Thank you for the care and thought you put into the application. Based on my initial read, I am sharing a follow-up question that we'll like to have more clarity on.


1) Could you share more about Project Parichaya (1.0) and the key learnings from there? If you have further online documentation of the activities, outputs and sharings that you have put together previously, please also do share it with us. It would also be useful to add them to your project page - Project Parichaya


2) Re your response to question 7, could you provide a shortlist of individuals (i.e. Identify and compile a list of Odia writers, singers, actors, and other contributors) who you plan to work with that meet the project's focus. 3) Re your response to question 8 in your grant application, could you share more about your team members? If they have a wiki user page or online presence, would you be able to share the relevant links? We would like to find out more about their wikimedia journey (if applicable), and if they might have any relevant experience in participating in a similar role and project. This is so that we are able to understand whether you have a team that would be able to support you through the project implementation period. Could you also provide the scope that each team member will work on and the deliverables that they will achieve in contributing to the project's success? This will support our understanding of how the project load is distributed within the team.


4) Re your response to question 20, could you provide samples of the wikipedia articles you will be creating? This is so that we can understand the type and quality of articles that you hope to create. Are the articles also translated from other languages?


5) In your proposed budget, you have requested for a camera. Could you provide the specific model that you look to purchase for your project? Please also note the following requirement below.

Budgeting for equipment purchase: We do not support private purchase or ownership of equipment. While equipment purchase can be considered for groups, organisations and affiliates, projects that require the purchase of specialised equipment will need to clearly demonstrate the need, requisite experience and how the equipment will be shared with other community members. An equipment log or list must be publicly available for community members and included in the application. Please note that there is a possibility that the project may be partially funded (with the exclusion of equipment purchase support). For one-off projects with no or limited activity track record, please consider renting the equipment.

Thank you for the follow up and Apologies for the bit of delay in my response.  I’m happy to share our experiences and insights from Project Parichaya (1.0).
Please find responses below to the questions you had.
1) Could you share more about Project Parichaya (1.0) and the key learnings from there?   • We created Project Parichaya after identifying that  Wikipedia lacks enough articles about Odisha's notable writers, and the ones with existing articles lack their signatures, pictures and videos, severing content depth. This initiative was our first dedicated push to strengthen the Odia content ecosystem within Wikimedia projects.
  • Project Parichaya 1.0 helped us address this gap. We identified notable Odia writers, visited literary events where they come, met them and took their signatures using equipment borrowed from Wikimedia community members. After uploading these media files to Commons, we could improve multiple articles: about writers, literary events and awards. Our work also inspired us to create new articles that did not exist previously. Currently there are 1000+ live articles & continuing, featuring the locally known public figures like actors, politicians, Odia language book authors, environmentalists, freedom fighters and artists etc.
  • Challenges & Learnings:
  1. We realized that the preservation and growth of Odia knowledge online depend heavily on empowering local contributors, supporters and knowledge enthusiasts. That had a positive impact on all the people who worked on the project as first timer project leaders.
  2. We understood the value of continuous documentation, each time we saw the media files from the projects being reused & presented by the local media houses, news channels, magazines, exhibition & conference posters, state govt. Of Odisha social media handles etc.  As an added simplification considering that factor, this template was created by User:Jnanaranjan sahu to simplify the automated page creation and file upload.
  3. Major hurdle was dealing with device issues while recording the voice notes and capturing the pictures of individuals, for which we had borrowed equipment from Wikimedia community members that time.

Re your question #2: As mentioned in the previous response, we continued working on creating & expanding articles of notable individuals under proper categories. I hope those lists will be helpful in giving an idea of the ongoing work.
We haven't managed to make it like the one you shared. But here is the link to all the files uploaded: in the phase-1 on Wikimedia Commons.
While we identify more such content gaps, our learning would help in the new project. Our strategy includes creating and improving articles with collected media. We also have dedicated community members that contribute exclusively literature and literary personality-related articles [ User:Raj K. Mohapatra (Puri) ]

Re your question #3:
The team includes two Wikipedia admins, including a tech mentor, and one Wikisource admin. All of us are long-term organizers of edit-a-thons, events and campaigns for 7-14 years.

He is one of the two Odia Wikimedians User Group affiliate contact persons, Odia Wikipedia administrator, tool developer and photographer. He has been active on Wikimedia Projects 2011 till now. His global contributions can be seen here.
He had a key role in the project’s first phase itself along with User:Chinmayee Mishra, doing most of the on ground work like visiting the individuals in person, orienting them about wikimedia projects, why their data is important for us and how these will be used in the future, collecting their data, refining those and uploading to Wikimedia Commons with proper license and attributions. He will be extending the similar and additional support in phase 2.
  1. Sangram Keshari Senapati - User:Ssgapu22
Odia Wikisource project administrator, writer, publisher, photographer. Has been active on Wikimedia Projects 2014 till now and contributing to the #100wikidays challenge on Odia Wikipedia and Odia Wikisource. My global contributions can be seen here.
I have been playing a vital role in my home community in multiple ways, leading 30+  regional & global edit-a-thons ensuring the good quality of articles are being added to the project, contributing significantly to wikimedia commons using the LinguaLibre tool making Odia language the second highest voice recordings live on commons. In this project, I will be responsible for coordinating with the tasks related to preparing  
  1. Mrutyunjaya Kar - User:MKar
Odia Wikipedia project administrator, one of the promising contributors and trainers in the community. He has contributed to Odia Wikipedia, Odia Wikisource, Wikidata and Wikimedia commons from 2011 till now. He plays a major role in the overall improvements of Odia language contents on Wikiemedia projects and he will be working as the advisor for the Parichaya 2.0. His global contributions can be seen here.
  1. Chinmayee Mishra - User:Chinmayee Mishra
Odia Wikimedians User Group member, Volunteer Wikimedians since 2016 till now. Her global contributions can be seen here. She had actively contributed to the project phase 1 on ground work, documentation, reaching out to individuals and also helped prepare this proposal for phase 2.  She has been a valuable part of the home community and will be responsible for all kinds of data mapping, monitoring progress of the project, simplifying blockers if there will be any, keep track of expenses, invoices, relevant logistical aspects and on ground support along with Jnanaranjan Sahu.  
4) Re your response to question 20, could you provide samples of the wikipedia articles you will be creating? This is so that we can understand the type and quality of articles that you hope to create. Are the articles also translated from other languages?
Re your question #4: The article lists are dynamically created based on factors like persons in news, active social stakeholders, award winning authors, artists etc. For understanding the type and quality of articles you can always check the links provided under response of the question #1.  
Yes, articles are translated from Hindi and English Wikipedia when needed, accordingly wikidata items are also created & linked.

As the intent was already conveyed in the proposal, the purpose of this particular equipment / any good quality portable camera is needed for us for collecting better quality pictures and videos and which will be easier for us to carry on ground. The other equipment that will be used for the purpose and are less expensive (tripod, voice recorder mic, lights) we will be managing on our own. Also we will be using our own computers for refining, processing and uploading the files to Wikimedia Commons. As per the rough estimation (while applying for the grant) that we had in regards to renting a similar quality camera for a span of 12 weekends and other weekdays when needed depending upon the on ground feasibility, that amount is much higher than the price of a new product. That is why we had added that estimation to the grant application.  
  • The required product purchase is not at all intended to be under any private ownership and will be (re)used by the group members for Wikimedia projects.
  • A properly updated equipment log will be maintained with handler details and handling time period.

Update on Application Status

Thanks for submitting the rapid fund application. We appreciate the thought and effort put into developing the proposal.

After careful consideration and discussion, we decided not to move forward with the application in this round. We recommend exploring equipment rental options instead of outright purchases, especially for one-off projects, in line with the guidance provided on Meta. We’d also encourage you to revisit the budget allocation and keep the staff costing within 30-35% of the total project budget. The remaining 65-70% can be focused on programmatic or operational expenses that directly support the project’s goals and outcomes.

While the project has potential, we recommend revisiting the overall structure and plan to better articulate the goals, expected outcomes, and alignment with Wikimedia’s priorities. We also encourage you to reflect on the learnings from your pilot and integrate them into a revised proposal.
