Room monitors[edit]

  • Room monitors take care of rooms and sessions, making sure everything goes smoothly. Monitors will be assigned to sessions and effort will be made to assign volunteers to a session of their choosing.

Duties include: helping usher people into the room, so seats get filled and aisles are not crowded; determining when a room is full; making sure a speaker's required AV equipment is available and working; making sure tech/virtual conference personnel are present for transcription, recording, and trouble-shooting; making sure session speakers know where to go and are there on time. Desired qualities: punctuality, resourcefulness, reliability, interest in one or more sessions. Training provided: sign-up/assignment in July; on-site training provided the weekend before the conference, or at other times if necessary. Info desk staff[edit]

  • Information Desk staff will run the information desk in the main lobby of Pound (?) during the "open hours" of the conference, including Thursday afternoon. Shifts are two hours and may be shared with one other person.

Duties include: answering questions from attendees, press, volunteers, speakers or miscellaneous bystanders. Directing people to where they need to go; getting the word out when there are last minute changes. Make sure problems/emergencies get relayed to the right person/group of people. Keeping track of information resources for volunteers and organizers. Desired qualities: helpfulness, resourcefulness, ready smile, sense of humor, calmness in all circumstances, reliability. A great job for reference librarians. Training provided: sign-up in July; online meeting mid-July; on-site training provided the weekend before the conference or at other times if necessary; manual/infobook provided. Registration desk staff[edit]

  • Reg-desk staff will run the registration desk in Pound during the "open hours" of the conference, starting Thursday afternoon and with extended hours Friday. Shifts are two hours and may be shared with one other person.

Duties include: checking attendees and speakers in; providing information packets, badges and room keys; taking payments and giving directions; answering questions along with the info desk. Desired qualities: Reliability, trustworthiness, helpfulness, efficiency and ability to remain calm in the midst of chaos. Training provided: sign-up in July; on-site training provided the weekend before the conference, or at other times if necessary; manual/infobook provided. Benefits: don't like somebody? don't check them in! ha ha, just kidding. Gophers[edit]

  • Gophers make it possible for the show to go on. Gophers may be assigned to a number of jobs, including room monitoring, working with the speaker or volunteer room, or assigned to the lead organizing team. Gophers will relay messages, get supplies, help take care of last-minute changes, and generally do what needs to be done.

Desired qualities: Reliability, creativity, ability to remain calm in the midst of chaos. Familiarity with Harvard/Cambridge a bonus. Training provided: sign-up in July; on-site training the weekend before the conference and as necessary. Benefits: Carrying a walkie-talkie! Seeing how the whole conference functions and seeing lots of interesting sessions; staying active throughout the conference; winning everyone's undying gratitude, whether you're bringing them coffee or a working microphone.
