Expression of interest: Tokyo (alternate in Osaka), Japan

Abstract/description

In a few sentences tell us about your submissions. What made you and your community want to host the next ESEAP Strategy Summit?

We spoke with past COT members and learned that hosting a Summit can be opportunities, not only to collaborate with ESEAP Hub and other ESEAP communities in contributing to the progress of the regional discussions, but also for the local community to further build and grow connections in unique ways as a host of a Wikimedia regional conference. We would like to submit this express interest for both reasons.

(in Japanese)過去の主催チームメンバーとの対話を通じて、サミットの開催はESEAPハブや他のESEAPコミュニティと連携し地域における対話の進展に貢献する機会であるだけでなく、ウィキメディア地域会議のホストという役割のもと、独自の形で地元コミュニティ内のながりを更に構築し、広げられる機会にもなり得ることが分かりました。この両方の理由から、今回意向を表明いたします。

Requirements

Interested community groups do not need to have a venue selected, contracts drafted or sponsors lined up. This is why we are starting the process early. Please provide solid information about the points below to help our decision making. We will be taking into account various factors about potential sites and hosts especially the cost, location sustainability, accessibility, security, regional rotation of ESEAP Conferene/Strategy Summit, and the capacity of the organizing team.

Venue + lodging

Venue in Tokyo
- Some tech company in Tokyo, such as Internet Initiative Japan Inc. Head Office(info). Examples of venues provided is LibreOffice Asia Conference([1]).

Lodging is many hotels around the venue. And it is safe to move from venue and hotels.

Travel + visas

To travel to Tokyo, you can use flights arriving at Haneda Airport or Narita Airport.

Facilities + services

The Venue has good enough services to hosting conference woth around 100 perticipents and staffs.
No meals will be served at the venue, but vegetarian and halal catering services can be arranged.

Safety + security

Japan is regarded as a safe country ranking in the top 10 in multiple indexes.

Alternate locations

Alternate location is Osaka
- some teck company in Osaka, such as Sakura Internet Head Office(info).
- It is easy to access to Kansai Airport.
- Other environments can be provided with the same quality as in Tokyo

Hybrid format and remote participation

n/a (ESEAP Summit is an in-person only conference)

Time

The ESEAP Summit is usually held in May, but the first week of May is a national holiday in Japan, making accommodation costs the most expensive of the year.
A cheaper date for the summit would be Friday through Sunday after May 10th.

Some active member of User Group(including me) is living in Kansai(around Osaka) area, but some menber who can support the tasks is living in Kanto(around Tokyo) area.

We would like to invite non-affiliate people who have contributed to the development of Wikipedia/Wikimedia to this Summit as observers, such as Joichi Ito and Makoto Okamoto, who have given keynote sessions at past Wikimanias, and User:Tacot and User:Suisui, who are familiar with the early days of the Japanese Wikipedia.

In order to spread awareness of the Wikimedia movement throughout Japan, we need the cooperation of existing media. It will depend on the program, but we would like to see a system in place to allow media to film and interview for the parts that can be made public.

We would like to discuss and consider having pre-conference day to enhance the above mentioned opportunities.
