Volunteer Supporters Network Advisory Group Terms

  1. The Volunteer Supporters Network Advisory Group is part of the governance structure of the Hub pilot, and is designed to provide input into, and assist in monitoring the implementation process and development of the Hub Pilot.
  2. Membership of the Advisory Group is a voluntary role. Members are asked to commit to attending online meetings of the Group, and may also be asked to participate in occasional pieces of asynchronous work, such as commenting on documents.
  3. Members of the VSN Advisory Group are expected to contribute to promoting VSN within the Wikimedia movement and may represent VSN at events, activities, and other strategic efforts.
  4. All members would be expected to adhere to the Universal Code of Conduct and relevant safe space policies, such as the VSN safe space policy for video conferences. Any Advisory Group member found to be in breach of these policies would be asked to step down from the Group.
  5. In the first instance, Advisory Group membership would run until the end of the Hub pilot project at the end of November 2026. Any member may step back from the Group upon giving notice, at which point VSN management team, in consultation with the Advisory Group, would consider opening a call for a new member.
  6. The Advisory Group will meet every two months. Meetings will be pre-scheduled at a time convenient for everyone’s time zone, and will last approximately one hour. Meetings will be held in English, with interpretation available upon request.
  7. In the first instance, the membership of the Group will be drawn from those within the movement who are involved in supporting volunteers. In addition, representatives from aligned organisations or projects within the movement may also hold a seat on the Advisory Group, in order that the VSN takes into account both their perspective and needs regarding the project.
  8. Group membership will be decided by the Management team of the VSN in the first instance, following a call for applications.
  9. The Advisory Group shall consist of a minimum of 2 members and a maximum of 10 members, with the majority being drawn from those whose role in the movement is to support volunteers. Attention shall be given to the geographical and linguistic diversity of the members.
  10. Minutes of Advisory Group meetings will be made available on the VSN meta pages.
