The General Assembly of Wikimedia Europe is a yearly event for all affiliate members that will take place on 24-25 April (Friday-Saturday) 2026 in Prague, Czech Republic. Read more about the last year's General Assembly.

Important

What to bring

Your own name tag with your affiliation from any other event. We hate to produce yet another event ID we'll throw away, so if you kept one from any other event (wiki or not) - bring it with you. There will be some spare simple sticker name tags just in case.
Informed curiosity! It’s easier to have a discussion when we are all informed about the current state of things (see below: how to prepare), and when we have the curiosity to understand other people’s views and input. Let’s grow the conversations based on shared understanding.
Sweets or treats. There will be catering, but nothing beats the sweets you bring from your home country. We accept cheese too!

If you have the opportunity, try asking someone under 30 about their primary sources of online information, and what they think of Wikipedia.

Procedural guidelines

General Assembly on Friday, 24th April

Voting items - Members’ representatives will be voting on: 2025 report (narrative and financial), 2026 annual plan (activities and preliminary budget) and WMEU strategy. All drafts are available here. Please check for improved versions of:
- 2025 reports: Financial (additional information) and Narrative (small edits and design)
- Strategic documents with more feedback integrated (Strategic Approach, Public policy strategy, Context analysis, Collaborative Community Development)
Sign the attendance list upon arrival - Upon your arrival, make sure you are registered; it is important for assessing if the GA is valid and how many member organisations are represented in the room.
One member, one official representative, one vote - If you are appointed by your organisation to represent it at the General Assembly, you are entitled to vote on its behalf.
Voting in the room and remotely - Voting is happening during the General Assembly, on Friday, 24th April. There is no possibility to vote before a specific vote opens or after it’s closed. As a representative of your organisation, you will be voting personally, either in the room or remotely if you participate online.
How will the voting work? - You will receive a mandate that you will raise when voting on each item. It will come with a simple instruction to keep the voting on track. If you participate remotely, we will make sure that your vote is recorded with everyone else’s.
Oh no, I cannot join everyone in Prague - now what? Life happens, and if it prevents you from travelling, let us know a.s.a.p whether you’d like to participate remotely instead. We will share all necessary details with you. Alternatively, if a colleague of yours is joining, a decision-making body in your organisation can email us to officially designate them as a representative, provided they are not already voting on behalf of another member. This needs to happen on Thursday, the 23rd of April at the latest.

Side Event

Members are invited to participate in a Wikimedia Futures Lab follow-up workshop on 26th April (Sunday), 2026. The purpose of this side event is to deepen our understanding of global trends affecting the Wikimedia projects and to develop a range of hypotheses and experiments to drive new insights and action. In this full-day workshop, we aim to engage people who didn't attend the conference in Frankfurt and to hear back from participants about the experiments they are working on.

What is our focus this year?

Friday (day one) remains dedicated to our formal conversation. We will be voting on documents such as reports and plans. We will dedicate time to WMEU's strategy and upcoming board elections.

Our upcoming General Assembly will be different than the previous one, we are exploring different ways of structuring the sessions to encourage conversations and collaboration. This is why on Saturday, day two, we will focus on

conversations you prioritise and want to have with other members; no presentations
financial sustainability: we prepared guided exercises and activities that will help you work on defining funding needs in a way that helps you in future fundraising and develop ideas with the help of others
collaboration and knowledge exchange: enabling learning about and from each other

We built the agenda following the priorities and values we’ve defined during GA in Prague in 2025, focusing on

We are including your feedback from 2025: less dense programming, a clearer agenda and processes, more space for conversations, a more fitting & centrally located venue, and a later start time. All while keeping what you liked most!

Friendly Space Policy

Wikimedia Europe is dedicated to providing a harassment-free experience for everyone at all venues and events, such as conferences, virtual events, and related social events. This policy applies regardless of gender, sexual orientation, gender identity or expression, disability, physical appearance, age, race, ethnicity, political affiliation, national origin, or religion and is not limited to these characteristics.

We do not tolerate any form of harassment of General Assembly participants. Harassment includes but is not limited to offensive verbal comments related to gender, sexual orientation, gender identity or expression, disability, physical appearance, age, race, ethnicity, political affiliation, national origin, or religion. Harassment also includes sexual images in public spaces, deliberate intimidation, stalking, unwelcome following, harassing photography or recording, sustained disruption of talks or other events, inappropriate physical contact, and unwelcome sexual attention.

We are focused on providing a good socialising experience for people and will have time and space dedicated specifically towards that. However, during the General Assembly sessions, participants are requested to refrain from drinking alcohol and using other substances that may affect their behaviour towards others, whether in the venue or outside, if they plan to come back to the sessions after use. If that happens, you will be asked to leave the room or the venue until the effects of the substance subside.

Participants asked to stop any harassing behaviour are expected to comply immediately. Any participant violating these rules may be expelled from the event at the discretion of the organisers. If a participant engages in harassing behaviour, the organisers may take any action they deem appropriate, including issuing a warning or expelling the offender from the event. If you are being harassed, notice that someone else is being harassed, or have any other concerns, please contact any member of the Trust & Safety Team or Wikimedia Europe's board immediately.

Staff will be happy to assist those experiencing harassment in any way possible to ensure they feel safe for the duration of the conference.

Registration

The registration is now closed.

Travel and accommodation costs are covered by member organisations. To facilitate equitable participation, members with limited financial resources who face difficulties participating in person can reach out to Wikimedia Europe to discuss available support. In such cases, please send an email to vananh.damwikimedia-europeeu before making any bookings, and do so by the 6th of March at the latest (if you haven't yet).
