Wikimania 2022/Volunteer/Applicants

Application process and deadline[edit]

To apply, answer the application questions, below. The deadline is January 9, 2022.
You can email your answers to the community events team at communityeventswikimedia.org if you would prefer to keep your application private, or if you would prefer your application to be public, you can post it on this page. Applicant details from email and meta will be shared with the Wikimania events staff and Wikimania Steering Committee, who will review the candidates to ensure a good mix of experience and global diversity
Short-listed candidates will be invited to a 30-minute chat with previous COT members, members of the Steering Committee and Wikimedia Foundation Staff during the week of January 24, 2022, which will be a chance to understand the role and get questions answered as well as discuss what role you want to take with Wikimania
Members will be announced in late January.

NOTES on the application:

Please indicate if you'd like to be on the core team, or in a different role. There are two questions about time commitments: if you are on the core team if you can commit 60-90 minutes per week, increasing to 4-5 hours closer to the event. If you'd like to be in a different volunteer role, please let us know how much time you can commit.

Is there an aspect of conference planning you are especially interested in?: I especially want to help with social events as I feel this area of organising for an online conference is particularly tricky/an interesting challenge. It is also a very important part of any Wikimania experience.

In 100 words or less, let us know why you are interested in volunteering as a Wikimania 2022 organizer?: When I attended my first Wikimania which happened in 2021, I was amazed by the great organization skills on display in a virtual environment, I wished I could have been part of the preparations, this motivated me to apply as a volunteer for WikiIndaba 2021 and when my application was successful I helped in the preparation phase to the end of the conference, it was a great experience which I wish to build on to with Wikimania 2022.

What was your role?: In 2021, I was the events coordinator for wiki loves monuments in Uganda. I was also a trainer and facilitator for wikigap 2021 in Uganda where I traveled to northern Uganda to train students of Gulu university how to edit and contribute to Wikimedia projects. In 100 words or less, let us know why you are interested in volunteering as a Wikimania 2022 organizer?:I'm interested in helping Wikimedians share the ways in which the movement can be a force for good. We've made information more accessible than ever, but should address historical deficiencies such as the lack of women's biographies, hostility to newcomers, and Eurocentrism. Wikipedia has been valuable as a public service, covering the COVID-19 pandemic and climate change while fending off misinformation, but there is much more we can do, using our strengths, such as neutrality and verifiability. I saw great presentations about these things last year, and want to help it happen.
Is there an aspect of conference planning you are especially interested in?: I work well as a copyeditor and bug-fixer, so I'd be happy to make sure materials are presentable and all the organizational loose ends are addressed. For example, if you need someone to make sure basic details are collected and organized for, say, a list of presentations, I'd be happy to both maintain that data and reach out to people as necessary. I'm also a help agent at English Wikipedia's Teahouse, Help desk, and IRC help channel (I enjoy explaining basics to newcomers as well as acting as a detective to solve strange technical issues.), so I would be happy to help prospective presenters and attendees navigate our systems.

In 100 words or less, let us know why you are interested in volunteering as a Wikimania 2022 organizer?: Wikimania 2022 is the premier Wikimedia conference. Contributing to its success will absolutely enhance the Movement. As a Program Committee member in several Wikimedia conference, I am sure that I can bring my experience to further ameliorate how the main programme of the conference is structured and diversified. When comparing Wikimania 2021 to other conferences, particularly itWikiCon 2020, WikiIndaba 2021, and WikidataCon 2021, it is clear that there is room for more improvement for Wikimania.
Is there an aspect of conference planning you are especially interested in?: I am interested in ameliorating communication between ProgCom and proposal co-authors. Wikimania Program Committee mainly provides final decisions to co-authors without any explanation or motivation. This can spread concerns on the transparency of how Programs have been created. In WikiIndaba 2018 and 2021, I developed an author rebuttal initiative that provides reasons for the decisions and even discusses with co-authors if they have any query on their session proposals. This service went viral and was slightly behind the growth of WikiIndaba Conference during the last years. I will be honoured to reproduce this for Wikimania 2022. As well, I am also interested in enhancing the diversity of the sessions by ensuring further involvement of scientists and technology enthusiasts. This can be done by providing more customized outputs for this audience by posting the call for contributions on more specialized mailing lists and communication channels. can be also achieved by ameliorating the time distribution of these types of sessions and preventing them from occurring in conflicting times.

Do you have any previous event planning experience? I was a member of the organizing team for Wikiconvention 2021. I also played a part in organizing the MedinaPedia project few years ago. Apart from Wikimedia, I organize from time to time the schedules and the trips for the people who volunteer to fight against covid19 in France as a part of my job.
What was your role? I was in charge of the communication and outreach for the Wikiconvention 2021 conference. My job was to make sure that as much wikimedians as possible are well informed about every aspect of the organization of the conference (submission dates, conference’s program, scholarships, useful links and tools, etc.). I used the different social media to do so. During the conference, I was in charge of posting the different information and aession of the conference, I also animated some of the sessions. When the conference is done, I prepared a survey to assemble the participants reviews and thoughts about it, and prepare a note where participants suggestions are included in order to improve next year’s edition. For MedinaPedia project, I had a presentation where I explained how the first MedinaProject was, how it is to be a volunteer in wikimedia and how some of our work can be helpful to many people. I used my experience in order to optimize the workshops of the second edition of the project. I also reach out to many people in order to convince them to join the project. The planning part of my job consists of planning days of start and end of the volunteering missions, buying train or / and plane tickets, and making hotel reservations (alongside with the travel agency as a partner). Some other tasks might come depending on the needs.

In 100 words or less, let us know #why you are interested in volunteering as a Wikimania 2022 organizer? After nearly six years as a Wikimedian, I now feel that I have the needed experience and knowledge to make me a legitimate candidate to be part of the organizing team. I feel that the time is right to give back to the community. I am interested in connecting furthermore with other wikimedians and discussing projects and ideas. I also want to contribuate in making Wikimania conference even more accessible to as many wikimedians as possible. Having a global conference isn't easy, the goal is to make it truly an inclusive one where everyone find his/her place.
Is there an aspect of conference planning you are especially interested in? Since I am fluent in three languages, I can help in translation. I can also help when it comes to coordinating between different chapters, users groups. I already participated in conferences in Africa, Europe, and Middle East. So I had the chance to build strong connections. I can also help with scholarships and / or communication, and social events. I can make myself flexible depending on the needs.
What is your availability like? I can make myself available up to 10 hours a week. I can do more if there's a need, especially when the conference is approaching.
