Request for extension of deadline[edit]

Dear colleagues. As already discussed via mail, I would like to request an extension of the deadline of submission for this impact report to April 27. The reason for this request is to create enough time to prepare for/organise the upcoming WMF site visit to WMNL in March. Scope of grant[edit]

The aim of the grant was: ‘Wikimedia Nederland plans to support Wikimedia Ukraine by managing the portion of the grant funds allocated for its distribution to winning participants of Wikimedia Ukraine’s Wiki Loves Earth International 2017 Photo Contests.’ The total amount granted under the fiscal sponsorship was €7,762,23, by grant agreement dated 19 December 2016. Work was finalised May 2018.

Activities[edit]

Wikimedia Ukraine communicated the names and contact details of the prize winners to us on 13 December 2017. In addition to contact details, the list also gave the prize winners’ chosen way of receiving their prize. The preferred option for Wikimedia Ukraine and Wikimedia Nederland was to give the prize in the form of gift vouchers. The main exception was the first prize, which was a scholarship to take part in Wikimania in Cape Town. Most of the winners had listed retailers in their country of region, which provided the option to buy gift vouchers online. However, Wikimedia Nederland met obstacles to meeting these requests; these had to do with language (not all websites had an English/German/French language option which made it difficult to correctly complete the forms) and problems in the sites not accepting WMNL’s credit card or banking details. In the end, we had to resort to cash transfer in six cases. The total amount spent was € 7,603.14. This included € 7,350.00 in prizes, and € 253.14 in additional bank and creditcard costs. The surplus of € 159.09 will be reimbursed to WMF.

Lessons learned[edit]

For Wikimedia Nederland the work involved was more time-consuming than we had expected. We had not foreseen the effort required to obtain gift vouchers from many different online-retailers across the world, and the practical problems involved in making payments. This meant that we twice had to request an extension of the grant deadline. We would suggest in future to give prize winners just two options: a voucher from a major international retailer that operates worldwide (like Amazon) or a cash payment.
