Follow-up questions/ comments

[edit]

Hello @Ujigis,

Thank you for putting in a grant application.

As this is the first time applying for the rapid fund grant, would you be able to share more about:

1) Your experience and participation in the Wikimedia movement;

2) Your previous experience in accessing and managing a grant of similar budget, editing and movement organising experience etc.

3) What are the different wikimedian communities you are working in Japan? How are you interracting/ collaboraing with them (individuals/ recognised or unrecognised groups)?

4) How did you learn about the Wikimedia Foundation grants and what motivated you to put in an application?

5) You mentioned in your grant application that you would like to know more about tools to support event organisers. You'll be able to find more details here:

Rapid fund application/ guide/ report templates

Grants:Programs/Wikimedia Community Fund/Applications and Guides#Application Forms 2

The following tools may be of interest:

  • Programs & Events Dashboard (Guideline on how to use) Commonly used for editathons, campaigns, individual projects, etc. Provides an easy way to organize groups of editors who are working on common projects, and to keep track of what they are doing and what they've contributed. Good for new edit events, it has some limitations in terms of design and for more experienced editors.
  • Event Metrics (Guideline on how to use) Enables organizers of events like editathons and content drives to get metrics about those events to understand and demonstrate the scale and impact of their contributions. Wikimedia grantees can use the program to provide grant documentation. Event Metrics works with the following projects: Wikipedias, Wikivoyages, Wiktionaries, Commons, and Wikidata.
  • Wikimedia Hashtags tool: (Guideline on how to use) Built by volunteers. Most accurate tool for working with experienced editors involved in lots of different editing activities. Doesn’t support new articles/ images/ items or edits on Wikidata
  • Wiki Loves Competitions Tools: tracks Categories on Commons to produce various statistical data sets.

As we may require more time to review your application and schedule a 1-1 time to connect following your responses. We'll be moving your application to the next cycle (see timeline for more details) to give us more lead time to connect.

Thank you.

Follow-up questions and feedback from the ESEAP Funds Committee

[edit]

Hello @Ujigis,

A gentle reminder to respond to the earlier post.

An update: We have moved your application forward through the review process and are consolidating the feedback and questions from the application.

A) Clarity of proposal - change it wants to make; value and impact potential

1) Need to clarify how the historical information will be passed on by the elderly? Are they going to record oral content etc? Not sure if it is language barrier (some documents are also still in Japanese and google translate might not doing their job), but this proposal is not clear.

2) The proposal is clear in terms of its impact. There is educational potential. Potential regarding Wikipedia and viability for Wikipedia is mixed, unsure of ja.wiki standards, but the proposal contravenes en.wiki expectations.

3) Yes. The WikiTown initiative is a well known Japanese community led project. It is indeed shown impactful.

4) Yes, and the proposed implementation method is a traditional and time-tested approach

B) Applicant and project team's experience

5) I suggest learning exchange from other WikiTown past organizers or participants to further improve the project

6) Applicants have some experience in the Wikimedia movement but not much. For example, the main applicant Ujigis has only accumulated about 1,200 edits.

C) Community Engagement

7) Suggestion: invite any more feedbacks or supports from Japanese Wikimedian.

D) Budget

8) The link to the following two documents were not showing up on meta. I am including them here: Budget: [1]https://docs.google.com/spreadsheets/d/1wkGiCMvK0Lxm6kcM5uRiuNFJI0DNtWIt/edit?usp=sharing&ouid=113250753325927899714&rtpof=true&sd=true

Proposed schedule: [2]https://docs.google.com/spreadsheets/d/1vdUijn0Y5IqbU6fWe4M4pqyXl6JhroWr/edit?usp=sharing&ouid=113250753325927899714&rtpof=true&sd=true

E) Learnings - Does the applicant show clarity in what they hope to learn from their work given the change they are hoping to achieve?

9) There is clarity in intention, but it does not match the proposed metrics at all

F) Feedback/ additional questions or comments

10) The target of content contributions are too low, especially with only 2 articles on Wikipedia

11) Are there other mediums that could be used for this? Is there a local university or research/cultural institution that would be interested in helping shape and refine this proposal?

12) You may use resources available here: https://meta.wikimedia.org/wiki/Wikivibrance

13) a. What does applicant mean when they say: ask the participant to learn themself? How will they learn? In the library only? b. Will there be workshops? c. Will there be a training for trainers? d. The budget included accomodation costings for one person, for who? and travel from where to where?

14) Of the 6 events in the proposal, will the venues be the same? If so, how do you plan to differentiate each event to make them more attractive?

Thank you for working with us and looking forward to hearing from you.

Thank you for your question.
I will answer it below.
Thank you.
This is my first time applying for a Rapid Fund grant, so could you please tell me more about the following points?
1) Your experience and participation in the Wikimedia movement.
answer
As a pioneering organization of Wikipedia Town in Japan, we have been holding Wikipedia Town events in cooperation with local residents since July 2014.
https://ujigis.wordpress.com/2014/08/
2) Previous experience in obtaining and managing similar budget grants, editing, and organizing the movement.
answer
Code for Yamashiro was established in July 2014.
Until now, we have continued our activities as a voluntary effort, self-funded by the organizers and participants.
3) What kind of Wikimedian communities are there in Japan? How do you interact/collaborate with those communities (individuals, recognized or unrecognized groups)?
answer
I work with Wikimedian
https://ja.wikipedia.org/wiki/%E5%88%answer9%E7%94%answer8%E8%80%85:Miya.m
as a key member.
4) How did you find out about the Wikimedia Foundation grant? What motivated you to apply?
answer
I learned about the application case of Grants:Project/Rapid/answerraisyohei/Biography Edit-a-thon in Kanagawa, Japan 2021
https://meta.wikimedia.org/wiki/Grants:Project/Rapid/answerraisyohei/Biography_Edit-a-thon_in_Kanagawa,_Japan_2021
Grants:Project/Rapid/Soseki's Cat/wikigap by edit Tango
https://meta.wikimedia.org/wiki/Grants:Project/Rapid/%E6%BC%B1%E7%9F%B3%E3%81%answerE%E7%8C%answerB/wikigap_by_edit_Tango
with whom I am working on Wikipedia Town in Japan, and I applied because there are limitations to what I can do with my own funds.
5) In your grant application, you mentioned that you would like to know more about tools to support event organizers. For more information, see below.
answer
Understood
A) Clarity of proposal - what change you want to achieve, what value and potential impact you have
1) It is necessary to clarify how the elderly communicate historical information. Will they record what is communicated orally? I don't know if it's a language barrier (some documents are still in Japanese and Google Translate may not work), but this proposal is not clear.
answer
Specific methods of the proposal.
step1. Local elderly people will ask local children to communicate local history and culture information orally. (Communication between people in the community will be activated.)
step2. The children, together with their parents, will check the contents of the local history and culture information that they have communicated orally in the local library's local materials.
step3. The children, together with their parents, will write on Wikipedia based on the confirmed local materials, clearly citing the source of the local materials.
step4. As a result, local children themselves will create and post information about their town on Wikipedia, a well-known medium, stimulating children's interest and motivation in the local area and fostering attachment to their town.
B) Experience of the applicant and project team
5) We encourage you to learn from and interact with other past WikiTown organizers and participants to further improve the project.
answer
Understood
6) The applicant has some experience with Wikimedia activities, but not much. For example, the main applicant, Ujigis, has accumulated only about 1,200 edits.
answer
Ujigis plays the role of organizer, so he does not have many edits.
The role of Wikipedia trainer is played by Miya.m, who has many edits.
F) Feedback/additional questions or comments
10) The content contribution goal is too low. In particular, there are only two Wikipedia articles.
answer
The goal for content contributions per Wikipedia Town is two Wikipedia articles. We are applying to hold six Wikipedia Towns, so the goal for content contributions is to create 12 Wikipedia articles in total. We will make amendments if necessary.
11) Are there any other mediums that can be used for this? Are there any local universities or research/cultural institutions that would be interested in helping to materialize and improve this proposal?
answer
Yes. We have collaborations with Ritsumeikan University (Kyoto, Japan) and Fukui Prefectural University (Hukui, Japan).
13) a. What does the applicant mean when he says "We ask participants to study on their own"? How will they study? Only in the library?
answer
It is to confirm the content of the local history and culture information that we have heard orally with local materials at the public library.
We will confirm mainly at the public library, using local materials at the public library.
b. Are there workshops?
answer
Wikipedia Town in Japan is held in a workshop format.
c. Are there training programs for trainers?
answer
Currently, we are training trainers as part of Wikipedia Town activities.
We will consider training programs for trainers in the future.
d. Does the budget include accommodation for one person?
Who is the accommodation for?
Also, what is the transportation cost from where to where?
answer
Includes accommodation for two people: organizer and trainer.
We have included the transportation cost from the Kansai region of Japan to Wikipedia Town locations across the country.
14) Are the proposed six events held at the same venue?
If so, how will you differentiate each event to make it more attractive?
answer
The venues for the six events are separate.
We will increase Wikipedia articles in different areas of the Chubu region of Japan. Ujigis (talk) 06:11, 26 September 2024 (UTC)Reply
