Hi Swapnil.Karambelkar. Thank you for this grant request and your (and the team's) efforts to organize the writing contest! It's a great way to motivate and engage the Hindi Wikipedia community and we are excited to support it. We have a couple of questions/comments below before we can move forward with approval:

  1. Have you considered using the Fountain Tool to track contributions? Organizers of Wikipedia Asian Month have found it really useful.
  2. You have a good range of prizes, including consolation prizes as well as e-certificates for all participants. We do not feel it is the best use of grant funds to also cover the t-shirts and diaries. Please remove from the budget and adjust the shipping budget as needed.

Hi, @AWang (WMF): : While planning the event, it was felt by the community that prizes should be such which work as publicity/promotion material also. Pens, T-Shirts and Diaries were shortlisted for the same among various alternatives. Further, it was observed that procuring small quantities won't be economical as cost per piece will be higher.
Hindi Wikimedians User Group has been formed only few months ago and we are still on a learning curve regarding what to do and how to move ahead. We have been thinking along these lines of having such small promtional articles which can be utilised in varoious outreach activities, online contests etc.
Therefore, we decided to apply for higher quantities so that we can purchase the material at a lower cost per piece. The material will be under custody of User Group and will be utilised in future activities. The same will be properly accounted for. You may advise us how would you like the same to be reported, or, please advise If we should raise a separate grant proposal for the same. Hi, @AWang (WMF): : This is regarding the suggestions put forward by you, I would like to brief
  1. Suggestion to use Fountain Tool to track contributions is indeed great and here is the Fountain tool link for the contest
  2. Yes, we do have provision for good amount of prizes for the competition but community strongly feels that Hindi Wikipedia is lagging far behind among the general masses as far as publicity/awareness is concerned ,for that a few T-shirts, diaries, stickers etc could prove to be highly beneficial both for motivating as well as publicising whenever a Wikipedian meets non-wiki person like officials, Teachers, youth, bloggers,non-wiki writers etc.still if you fell, we can adjust/cut short the Tshirts/diaries requested in the grant.:Swapnil.Karambelkar (talk) 07:37, 27 September 2017 (UTC)[reply]
Hi Anamdas and Swapnil.Karambelkar. Thanks for your responses. We understand the user group would like to hold some merchandise for future events and can cover the 50 t-shirts. We would encourage you not to use them for the writing contest since you already have prizes and certificates, but to hold on to them for other activities. Depending on the groups needs and activities planned, we can consider other merchandise requests in the future. Once you've updated the budget, removing the diaries, we can approve.
