Hi Jelican9 and Mehman97! Thanks for submitting your application and for planning your event. We are reviewing your application within the Wikimania COT Grant Team, and we have a few questions we wanted to ask:

  • Could you provide a more detailed breakdown of expenses for the $2000 that's supposed to be spent on Wikimania meetups and watch parties during the days of the event? How much of that will be used for renting a venue vs. meals vs. other expenses?
  • What is your approach to translation? Which language(s) will you translate to? How will you choose which sessions to translate? Will you only use synchronous interpretation for local event participants, or will you pre-record translations to publish them afterwards?
  • Will conference swag go only to in-person participants, or are you planning to send it to online participants as well?
  • Which specific Zoom plan do you plan to purchase to use for the online meetup?

Hello Aced, thank you for your questions. I will try to answer your questions.
  1. $2,000.00 will be spent just to rent the venue for the event, along with all equipment and meals during those days. Baku, where we plan to hold the in-person part of this event - expensive city, we calculated that this will be enough for about three days.
  2. We will translate the sessions that the audience will be interested in, we will definitely resolve this issue after the program of the event is announced. As for languages, translations into Russian and Turkish will be available. We will use synchronous interpretation for online and in-person event participants, using Zoom.
  3. Swags will be received by all participants of the event, both online and in-person.
  4. In order to be able to have the extension of language interpretations and streaming on the platform, we chose the Business Plan, where this opportunity is provided.

  • On the first question – do you have a more detailed breakdown? How much will the rent cost, how much will equipment cost, how much will meals cost? (It's okay to give approximate estimates rather than exact numbers).
  • On translation – please note that translation into Russian will be provided for all sessions by organizers, along with other UN languages. Translation into Turkish will be covered by organizers for some sessions. We can still cover translation services as part of your grant, but please take that into account (you might do translations for sessions not covered by organizers in Turkish and/or choose another language if that would help accessibility for your community members).   2. I want to clarify here that in addition to listening to Wikimania, we will also have internal discussions, so it's necessary to have a translation into Russian, for which we added this amount.
