Questions and comments from Wikimania COT Grant Team[edit]

Hi Josefine and John! Thanks for submitting your application, it's exciting to see the Swedish community once again take an active role in supporting Wikimania. We are reviewing your application within the Wikimania COT Grant Team, and we have a couple of comments and questions we wanted to address:

  • Could you provide a more detailed breakdown of expenses for the $2300 that's supposed to be spent on Wikimania meetups and watch parties during the days of the event? How much of that will be used for renting a venue vs. meals vs. other expenses?
  • On video production support – are you planning to purchase the equipment for video production? Unfortunately, within the Wikimania budget we would not be able to support such major hardware purchases (per the list of eligible expenses, only small personal hardware is eligible to be purchased, such as earphones for community members). We suggest you consider renting the equipment you need & adjusting your application accordingly.

Thank you for your questions.
A breakdown of expenses for the events is as follows:
  • $800 venue
  • $700 travels for participants traveling to Stockholm
  • $700 food and beverages
  • $100 program equipment such as workshop material, and unexpected costs
Indeed, our plan is to purchase the equipment for pre-recorded as well as live hybrid events according to the point “Video production support for pre-recorded Wikimania sessions (such as equipment or space)”. This is a major aspect of our plans, as our members have come to expect both high quality of pre-recorded sessions as well as the possibility of partaking from all over the continent, and we lack that kind of equipment today. We find it is not economically sustainable to rent equipment as the cost for this would be equivalent to the sum of buying it all (the equipment for rent is professional to an extent we do not need, often comes with staff and requires costs for administration). Could you please clarify what kind of equipment you mean in the video production sentence? Our plan was to buy appropriate camera equipment, a video mixer and a sound mixer for good quality video and audio. None of it is for personal use but it is to be used by the association for participation in Wikimania and future Wikimedia movement events.

Oh, and an addition. If you could give us a heads up regarding the physical events at your earliest possible convenience, it would be greatly appreciated.
