Part 1: Understanding your work[edit]

1. Did your event have any impact that you did not expect, positive or negative?

Our event had two major impacts: one that we expected or that at least we were looking for, which was global recognition among other Wikimedia communities as the leaders of an initiative people celebrated as necessary; the other was mostly unexpected yet highly significant for our chapter, and it was several local collaborations that emerged around the advocacy event and thanks to Wikimedians and digital rights advocates we hosted in Chile. We highlight here an important event we hosted with the Ministry of Cultures around open culture and digital cultural heritage that involved the participation of two Wikimedians: Evelin Heidel and Patricia Díaz Charquero from Wikimedistas de Uruguay.

2. What do you think will be the long term impact of this conference?

We consider this meeting pivotal in establishing the foundation for the Wikimedia Advocacy network, as it facilitated the identification of key stakeholders, objectives, and timelines necessary to achieve mutual goals.

3. Would you say that your work improved participants’ ability to apply new skills and knowledge?

No

3a. If yes, please describe how and why you think this was successful. Please describe why you think this is the case.

From the informal participants' evaluations of the event, we believe the majority of them gained new insights into advocacy, whether acquiring specific skills (like identifying stakeholders, or how to explain the Wikimedia model) or experiences applicable to their contexts. However, according to the post-event survey, the most valuable lessons identified by them include:

  • Learning about ongoing advocacy efforts and where they are located.
  • Realizing they, as open knowledge advocates, are not alone in encountering similar challenges.
  • Understanding that despite difficulties, our movement possesses the capacity to address challenges collectively.

4. Please use this space to upload media and other files that help tell your story and impact. You can also provide links to them.

5. To what extent do you agree with the following statements regarding the work carried out with the support of this Fund? You can choose “not applicable” if your work does not relate to these goals.

Our efforts during the Fund period have helped to...
A. Bring in participants from underrepresented groups
B. Create a more inclusive and connected culture in our community Strongly agree
C. Develop content about underrepresented topics/groups
D. Develop content from underrepresented perspectives Strongly agree
E. Encourage the retention of editors Not applicable to your fund
F. Encourage the retention of organizers Not applicable to your fund

6. Please share resources that would be useful to share with other Wikimedia organizations so that they can learn from, adapt or build upon your work. For instance, guides, training material, presentations, work processes, or any other material the team has created to document and transfer knowledge about your work and can be useful for others. Please share any specific resources that you are creating, adapting/contextualizing in ways that are unique to your context (i.e. training material).

7. Is there anything else you would like to share about how your efforts helped to bring in participants and/or build out content, particularly for underrepresented groups?

As organizers, we made a concerted effort to include participants from all regions of the global movement. Believing that a fruitful event requires an expert yet diverse group, we considered geographical diversity a main criterion when evaluating scholarship applications

Part 2: Your main learning[edit]

8. Were there any major challenges or things you found difficult that you would like to share? What would you do differently next time?

When planning the event, we consistently considered participants' diverse contexts, interests, and specific areas of focus. We were concerned about how these differences might influence the event's dynamics and deliberated on how to create a cohesive atmosphere for all attendees. However, during the conference, we observed not only a diversity of backgrounds but also different approaches to the event’s dynamic among participants: there were WMF movement professionals primarily engaged in strategic discussions and long-term planning, alongside volunteers who were more focused on tangible projects and actions, and who sometimes expressed frustration during some activities. Moving forward, we believe that our global initiatives must take into account these two distinct profiles within our movement to develop activities that resonate with different participant perspectives.

9. Was there any non-financial support that the Wikimedia Foundation could have provided that would have better supported you in achieving your goals?

While we value the autonomy and space that the Global Advocacy team gave us to take full ownership of coordinating the event, we believe more feedback from them during our regular meetings with the regional specialists would have been beneficial in organizing the program.

10. What would you recommend on a local and/or regional level as the best next step to leverage your success and momentum?

To create and animate regional working groups around the topics discussed during the event, as a way to keep discussing them but at a smaller/closer scale. We will also suggest those topics could have a space in the next regional/local events, using the personal connections created during the Santiago meeting.

11. Please add any 3 operational recommendations for future events organizers.

While it may require additional effort from the organizing team, we recommend that future organizers view their role not only as hosts of a specific event but as leaders or promoters of a broader conversation. This implies that our responsibilities extend beyond the event's conclusion, manifesting over time in actions such as:

  • Following up on commitments made during the event and offering assistance or guidance to those who made these commitments to ensure their fulfillment.
  • Sharing the main results of the event with the community, not only as a demonstration of accountability but also as a means to sustain the conversation and maintain interest.
  • Making concrete proposals to future organizers as a way to pass on ideas, learning patterns, and even unresolved topics to the next event.

Part 3: Metrics[edit]

12. Open Metrics reporting

In your application, you defined some open metrics and targets (goals). You will see a table like the one below with your metric in the title and the target you set in your proposal automatically filled in.

Open Metrics Summary
Open Metrics Description Target Results Comments Methodology
Participants Percentage of first-time participants in a Wikimedia global event. 25 22 We only had 22% of first-time participants in a Wikimedia global event; that means that we were 1 person down from our goal. Inscription form.
Participants The number of different Wikimedia communities participating in the event. 10 17 We had participants from 17 different Wikimedia Communities. Inscription form.
Alliances The number of new partnerships or concrete projects that result after the event. 3 3 We as a group are currently working on at least three projects as a result of the event:
  • Two collective sessions have been proposed for the next RightsCon 2025.
  • An advocacy workshop will be held at Wikimania; some WikiAdvocacy meeting participants offered to help in its coordination.
  • We are setting the basis for creating and consolidating the Advocacy network
Event results analysis.
Engagement Percentage of people willing to keep participating in the Wikimedia advocacy/public policy network. 60 50 We only had 50% of the participants willing to keep engaged in the Wikimedia advocacy/public policy network. Post-event evaluation survey.
Outcomes The number of specialized resources (documents, policy briefs, etc.) created during the meeting. 1 1 Wikimedia Chile is creating a full report of the main outcomes of the event, especially topics of interest and the movement’s needs, for future advocacy event organizers. Event results analysis.

13. Were there any metrics in your proposal that you could not collect or that you had to change?

As required in the fund agreement, please report any deviations from your fund proposal here. Note that, among other things, any changes must be consistent with our WMF mission, must be for charitable purposes as defined in the grant agreement, and must otherwise comply with the grant agreement.

19. If you have not already done so in your budget report, please provide information on changes in the budget in relation to your original proposal.

Our original proposal/request was 75,187 USD Yet, we just received 72,651 USD to execute the event. This was not a problem because: a) we received unexpected support from WMEU to finance a few travels from Europe representatives, b) the USD conversion to CLP changed and it ended up being beneficial to us.

20. Do you have any unspent funds from the Fund?

Yes

20a. Please list the amount and currency you did not use and explain why.

We have a total of 6,366 USD underspent because of the previous reasons.

20b. What are you planning to do with the underspent funds?

A. Propose to use the underspent funds within this Fund period with PO approval

20c. Please provide details of hope to spend these funds.

We would like to use the remaining funds to keep enhancing the Advocacy activities that our chapter does. For all the details about the proposal and its explanations, please see Tab 2 in the Financial Report document
