Hello Chiemezie Atama and Equity Watch Initiative team, thanks for submitting this Rapid Fund application. I have reviewed it and have some initial questions and requests:

  • What's your past experience in organizing similar events?
  • Could you please correct the usernames of all experienced editors? We need to make sure that you have experienced Wikimedians in the team in order to move forward with this grant request.
  • How do you plan to track the participants' contributions? Please consider using the Outreach Dashboard to track the contributions of the participants. You can also use the Training section of the Outreach Dashboard to learn more about how to plan and carry out edit-a-thons.
  • Given that you are planning to run a series of events, how will you follow up with the participants aside from creating a WhatsApp group, so that they continue to make contributions to Wikimedia projects?
  • Will you prepare any list of suggested articles/items for the events? Could you please provide the list of articles you intend to work with?
  • In the impact section, could you please specify the number of events you plan to run? Could you also add the types of events?

I also have some questions and requests around the budget:

  • 1: Hiring of training hall - this expense is higher from what we usually fund. I recommend using the same library hall with the discounted price for the workshops. Will that be possible?
  • 5: Banner - please create 1 banner maximum and reuse it for other events.
  • 8: Internet Radio - we will not fund purchase of equipment. I think this is to purchase an internet router and I understand its need. Therefore, please rent a router instead of purchasing it.
  • 11: Publicity - if you will use your campus radio station, can't you make the announcement for free given that these are non profit activities?
  • 12: Incentive - given that you also plan to give certificates to all participants and prizes to top participants, we will not fund this expense. Please remove it from the budget.
  • 23: Branded T-shirt - for the same reason described above, we will not fund T-shirts for all participants. Please offer t-shirts only to facilitators.
  • 16: Lunch and 17: Tea break - because you also plan to offer water and light refreshments, we will not fund both of these expenses. Please offer lunch or tea breaks during the activities and remove one of the expenses from your budget.
  • There are a few lines in the detailed budget that are miscalculated. I found miscalculated amounts in expenses 1, 10, 16, 17, 21, 23. Please review your detailed budget and update the total requested amount.

My Responses
1. What's your past experience in organizing similar events?
I have learnt to organize similar event by working closely with Dr. Ngozi Osadebe a facilitator of Nnamdi Azikiwe library Edit-a-thon and Surplus people in the University's research Group Let's make a Edit-a-thon Inclusive. I have gone through the online Wikipedia training libraries with her. Moreover Ngozi Osadebe is a member of Equity Watch Initiative and would be involved in organizing this event.
2. Could you please correct the usernames of all experienced editors? We need to make sure that you have experienced Wikimedians in the team in order to move forward with this grant request.

We plan using the outreach dashboard to track the contributions of participants. Our plan was to create the dash board as soon as our proposal is approved. However, our attention was drawn to the fact that we should create the outreach dashboard and we are currently working on creating it.
4. Given that you are planning to run a series of events, how will you follow up with the participants aside from creating a WhatsApp group, so that they continue to make contributions to Wikimedia projects?
Apart from meeting via WhatsApp platform, we have planned one-in-person meet-up with participants. We also plan to engage participants through other Equity Watch Initiative online platforms including Facebook, Instagram, and Twitter. Moreover, majority of the participants are also our post graduate student and junior colleagues in the office and we interface with them in classes, seminars, workshops and conferences. We shall continue to use these forums to constantly encourage them to edit Wikipedia.
5.Will you prepare any list of suggested articles/items for the events? Could you please provide the list of articles you intend to work with?
Yes, we have a list of suggested items focusing on Gender Gap that we would want to work on. These article are found under the following heading.
a. Gender gap in school enrolments
b. Gender gap in STEM education.
c. Gender gap in University education
e. Gender gap ICT use
f. Gender gap in Science education.
We will also edit biographies of women in Nigeria such as Florence Ita-giwa, Chimamnda Ngozi Adichie, Agbani Darego to mention but a few.

WE have planned 5 events, two edit-a-thon, two trainings and one meet up event.
Budget
1. Hiring of training hall - this expense is higher from what we usually fund. I recommend using the same library hall with the discounted price for the workshops. Will that be possible?
Yes we can use the library at a discounted rate of #50,000 per day. However, we reasoned that occupying the library space for four consecutive days may be inconveniencing. But for your concern, we will adjust the budget accordingly.
5: Banner - please create 1 banner maximum and reuse it for other events.
For the banner, our plan was to use one inside the training hall, one outside the training venue to direct participants and also for publicity. The third one was planned to be used at the University gate main for publicity. These 3 banners were planned to be used for both edit-a-thon, training and meet-up. However, considering your objection, we are appealing to be allowed to make two banners. Most often if you have only one banner inside the hall, someone who may not be family with the venue will be asking questions and only those that are inside will know that you are hosting an event. Having two banners would help a lot.
8: Internet Radio - we will not fund purchase of equipment. I think this is to purchase an internet router and I understand its need. Therefore, please rent a router instead of purchasing it.
We requested for for the purchase of MTN Internet Radio to boost internet connection. However given your concern, we have removed it. I have also spoken with Dr Ngozi Osadebe about it and she has promised to make available the one of the Surplus people in the University Research group for our use.

The radio house in the University is privately owned, hence we must pay to be able to use it.
12: Incentive - given that you also plan to give certificates to all participants and prizes to top participants, we will not fund this expense. Please remove it from the budget.
Given your concern here, we would prefer that rather than given few individuals prices while leaving other participants, we would prefer to drop the prices and give incentive to all the participants to motivate and encourage them. We are thinking that giving prices to only few, might be counter productive. However, if you feel strongly that we should remove it, kindly let us know.

Agreed, It has been reduced to 12 and these would be given to the following people; the Vice Chancellor, University Librarian, Four Facilitators, Two technical officers, Key E-WIN officers (Executive Director, Program officer, Communication officer and Finance officer).

The lunch and the tea break was planned for the training and editing while light refreshment was planned for the meet-up that will come days or week(s) after the training and edit-a-thon. However, we have removed the tea break. We will use only lunch for training and edit-a-thon.
