Thank you so much for this movement strategy discussions grant application for the Igbo community! I am excited to see that you want to have a deeper conversation around the prioritization. Generally, your proposal makes a lot of sense:

  • The overall plan for the events makes a lot of sense and has useful layer of preparation (i.e. survey) and includes 2 events, which is helpful for deeper conversation.
  • I like the clear plan for community outreach as well as set up for documentation.
  • It is great to see planned translation efforts to support community engagement.

I do have some specifying questions, though, to have a bit more clarity around your proposal:

  • What is the general agenda of the events? How will you split the conversations between 2 events?
  • We see that you are planning for facilitation for the discussion. Who will be responsible for facilitating the meetings? What is the time estimate for the whole facilitation work (on which calculation is based)?
  • Could you provide breakdown for your calculation for online tools (i.e. Zoom and social media promotion)?
  • I would like to understand better the data subsidies. How many people would it cover and what is the amount of data provided?

  • What is the general agenda of the events? How will you split the conversations between 2 events?

Answer:

Agenda (1st Event)

  1. Greetings and introduction
  2. The strategy process: Overview
  3. The recommendation and priorities explained and what next.
  4. Discussions around chosen priorities(The priorities will be chosen from a survey before the event, and the discussion will be structured to help answer the questions in the reporting template)
  5. Other questions and answers

Agenda (2nd Event)

This event will hold after the documentation of discussions in the first meeting. The goal of the meeting will be for the community to review the documentation to ensure that the notes captured everything discussed. Also, it is another opportunity to ask questions and debriefing of the process before submitting the Movement Strategy Prioritization documentation.

  • Who will be responsible for facilitating the meetings? What is the time estimate for the whole facilitation work (on which calculation is based)?

Answer:

I, Uzoma will be facilitating the meetings.

I am estimating that the working hour for facilitator preparation, meeting facilitation time, and debriefing of two events is 10hours. Below is the breakdown.

    • Preparation= 4hours for two events
    • Meeting facilitation time= 6hours for two events
  • Could you provide a breakdown for your calculation for online tools (i.e. Zoom and social media promotion)?


Answer:

Zoom subscription= $17

Digital flyer= $83

  • I would like to understand better the data subsidies. How many people would it cover, and what is the amount of data provided?

Answer:

Because data is not cheap in our location or context, we would like to provide data subsidy for the total number of participants that will participate in the process (45 participants).

To participate, in the two events, each person would need approximately 5G amount of data which differs in cost based on the participants' provider. On average, it will cost $8 for 5G.

Thank you for such a swift and comprehensive reply!

  • The proposed agenda makes sense as well as facilitation breakdown and cost.
  • Digital flyer feels a bit costly, but I can see how it is helpful in promotion of your event in your context, so that feels fine.
  • I do understand the high rate of data costs in your context and the initiative to provide it for the participants. It is safe to have the funds available for all the participants to receive the data support and 9$ per data package is high, but within reasonable limits.

You have indeed answered all of my questions, but unfortunately I forgot one in my last query - could you also provide breakdown of the coordination costs? As it constitutes nearly a third of the whole grant costs, I would like to understand this line item better to ensure we are using our grant funds well.

Thank you KVaidla (WMF) for another question on the breakdown of the proposed coordination expense.

Dear KVaidla (WMF), really I did not use any specific calculation for this, I just estimated a $500 for the coordination process, and working hour of 10hours for the team of 4 people. I guess you are more experienced in the calculations, or maybe the foundation already has a template for this. If so, you can advise if this is too much and cut it down. Dear Uzoma, thank you so much for so swift reply - truly appreciated! This is exactly the information I wanted to know. 4 people working 10 hours, totaling around 40 hours of work. If we calculate the similar data needs that we have for the participants, it would be 9$x4=36$ for the coordination data and then 464$ for the team coordination, which means that an average hourly rate would be 11.6$ for coordination team. This is above average for Nigeria, but is not completely unheard of. Engagement of African communities, including Igbo community in the movement strategy conversations is important for us and I hope it will serve as a platform for future collaboration, so I am happy to approve the grant based on the information provided.
