Hi Ammarpad and Macdanpets, thank you for submitting your grant application and leading the WPWP campaign this year. After reviewing your grant proposal, we have some questions to learn more about the project and planned activities.

  • Given that the project engages a significant number of editors, including new contributors, what are your strategies of ensuring quality contributions?
  • Could you please provide more details about how you have calculated the requested budget and expenses?
  • Could you please confirm that you will create reusable and adjustable visuals so that other local organizers can adjust them easily and use them for their local activities? This will also partially ensure that you have consistent communication materials during the campaign across different communities.
  • Since the main part of the budget is for souvenirs and awards, I would like to learn more about the estimated number of awards and any award categories.
  • I would also like to learn more about your strategies of ensuring fair distribution of prizes across different participating communities.
  • What do the international organizing team hopes to learn with this year's WPWP? Do you have any specific goals for this year?
  • How would you manage or support local WPWP activities and events? Do you plan to have specific guidelines for local organizers this year?
  • How would you ensure that there are no overlapping events/grants from the same or similar communities? Do you plan to coordinate this?

Hello Davit, thanks for your questions. Please find our response below:

  • Given that the project engages a significant number of editors, including new contributors, what are your strategies of ensuring quality contributions?
Each year, we do evaluate the campaign to have a clear understanding of what improvements are needed, what worked well, what did not work well, and what needs to be done differently. Essentially, this helps us to improve our strategy and . For instance, the campaign's 2021 evaluation report shows that participants with less than one year editing experience or those who are completely new are less likely to comply with the campaign rules and are more likely to violate local editing policies. That report helped us to make some informed changes in how we organize this years campaign, and so we have revised the eligibility guidelines as part of that. One of these important changes is we are experimenting restricting participation to only experienced users, who have registered an account for at least a year before the current campaign round. We believe that would greatly help in ensuring better quality contributions in the campaign.
  • Could you please provide more details about how you have calculated the requested budget and expenses?
One of the most successful strategies that have worked for the campaign in the last 2 years is our effective use of social media platforms and the design of colorful promotional material. We want to continue the effort.
  • Social media management and graphics designs = $ 1,500
  • Souvenirs and plaque award for top contributors = USD 1,500
  • Souvenirs and plaque award shipping = USD 2,000
Budget breakdown
  • Stipends for a social media manager for 4 months (~USD 250 per month) = $1,000
  • Graphics design = $500
  • Plaque award, and certificate for top contributors = $800
  • Custom souvenir = $ 700 (We will get some T-shirt from the WMF)
  • Souvenirs and plaque award shipping = USD 2,000
The cost of souvenirs and plaque award shipping were calculated based on the cost of shipping last year with DHL. The minimum cost for shipping an item to a top contributor in India, for example, was approximately $225. It may be higher for other countries and also depending on the weight of the items. We would ship to at least 6 countries. This budget also includes local logistics for the production and contingency.
  • Could you please confirm that you will create reusable and adjustable visuals so that other local organizers can adjust them easily and use them for their local activities?
We confirm that. We would also release all the materials under CC0 license.

The estimated number of awards is six (6). The awards categories are documented on the campaign homepage.
  • I would also like to learn more about your strategies of ensuring fair distribution of prizes across different participating communities.
The international prize categories are for top contributors from different parts of the world, selected from across the participating communities. We have independent jury team that comprises members from diverse background. The jury team select the final winners based on outlined criteria, otherwise they do not participate in the campaign, and are not eligible to win prizes themselves. Moreover, Wiki Loves Africa have special prizes to promote contributions from Africa, WikiCred funded special prizes to promote contributions from the Arabic countries. This would continue this year.
  • What do the international organizing team hopes to learn with this year's WPWP? Do you have any specific goals for this year?
Based on feedback and evaluation reports of the previous campaigns, we have made many changes this year to improve the campaign. We have listed our general goals in the grant application, but more specifically this year we would like to focus on increasing the quality of the overall contribution by the participants. We have made some big organizational and logistics changes to that effect, including restricting participation to only experienced editors, and reducing prizes to only souvenirs and plaque awards. The consequence is there would be less contribution in terms of total number of contributions, but we believe that will be offset by the more quality contribution that we are expecting. At the end of the campaign, we hope to learn how our changes impact contributions this year overall and then study the evaluation report to what needs to be done differently next year to make the campaign better.
  • How would you manage or support local WPWP activities and events? Do you plan to have specific guidelines for local organizers this year?
Yes, we do have Organizers Guide to help local organizers, we also offer continuous support through our mailing list channel throughout the campaign period. Additionally, plans for supporting the local activities and events are documented in the grant request.
  • How would you ensure that there are no overlapping events/grants from the same or similar communities? Do you plan to coordinate this?
Local coordinations are restricted to Wikimedia affiliates (Chapters, User groups, Hubs, and thematic organizations). Individuals interested in organizing the campaign locally must first confirm from established Chapters, User groups, Hubs, and thematic organizations in their country that they would not be organizing the campaign. This way there would be no overlapping events/grants from the same or similar communities. We will also liaise with the coordinators from the affiliates and individual participants to merge campaigns taking place around same country where necessary.
