Incomplete report[edit]

Hello, Susanna. This report is still incomplete. After the report is complete, we will continue reviewing it and offer further comments and questions. Feel free to ask for clarification regarding any of the requests made here. Regards, Wolliff (talk) 21:51, 14 November 2012 (UTC)[reply]

Missing sections[edit]

Please complete the following sections:

  1. Lessons learned: Please respond to the question "What lessons were learned that may help others succeed in similar projects?" You may use this question to provide information that may be helpful to others organizing similar projects or that may inform the way you or your community plans to organize events in the future. You may also wish to report on something unexpected that occurred during the course of or as a result of this project. It seems that some of the information provided in your "Activities" section may be more appropriately placed here under "Lessons learned". In this case, you might use the "Activities" section to provide a detailed description of the event itself. Thanks, Wolliff (talk) 21:51, 14 November 2012 (UTC)[reply]

Although our conference was well organized and successful (even we couldn't imagine), but there are some thoughts how to organize it better.

The conference starts since you make decision about the conference.
Start writing report simultaneously with organizing of the conference.
Take into account, that it is very important to attract more people in organization process. First time it was difficult, because of some people had doubted about success.
It is better to devide responsibilities at the start.
It would be better to define few partial scholarship for active editors of Armenian Wikipedia outside of Armenia.
Now most participants and non participants editors are thinking about second Armenian Wikiconference but in Vanadzor: to attract more people outside of Yerevan.
The main thing to continue regular meetups, to have the same vision, way of development of Armenian (or other language) Wiki projects. After the conference we formed the core of which feels responsibility and seeks the way of increasing of quality and quantity of the content of Wiki projects. Now more people are participating in organization of the workshops.
In my opinion the groups or chapters need to keep the minimum of spare money, to feel free in organizing outreach activities.
  1. Impact: Please explain clearly how this project has had an impact on the Wikimedia movement goals in response to the question "What impact did the project have on WMF mission goals of Increased Reach, Increased Quality, Increased Credibility, Increased and Diversified Participation?" For example, if you increased the number of active editors on Armenian Wikipedia or laid some groundwork for establishing an Armenian chapter, how might those results benefit the movement? Thanks, Wolliff (talk) 21:51, 14 November 2012 (UTC)[reply]
  • The conference facilitated the relation with various type of organizations to make workshops, to disseminate ideology of Wikipedia and other Wiki projects.

After the conference we succeeded weekly collaboration project. You may see the result of this project in articles Denmark, Australia, United Kingdom and Moon. Now we have group of editors which make edits every day. Along new participants there are people with various interest: historians, It specialists, writer, art critic, former astronomer,... After workshop in Yerevan State University we have more students contributors. Discussions became more creative. During the conference we got new partner: Shirak Technologies and more close became collaborations with Instigate Foundation. Now we agreed with KASA Foundation to organize a chain of workshops in Gyumry. We have organized meeting related to establishment of Armenian chapter. We agreed about the goals and content of bylaw. Also we agreed the bylaw with public register. Now we are waiting for decision from Affiliation Committee.

Thank you for the responses, Susanna. Would you please add this information directly to the grant report? Thank you. Wolliff (talk) 20:46, 19 November 2012 (UTC)[reply]
Thanks for adding this information directly to the report! We'll recommence with reviewing it and be back to you with comments shortly. Cheers, Wolliff (talk) 00:29, 28 November 2012 (UTC)[reply]

Request for reallocation[edit]

We have noted that you have requested reallocation of an unspecified amount of funds to print Welcome2WP in Armenian.

  1. First, please specify the exact amount you wish to reallocate and let us know exactly how you would spend the funds.
By our calculation, the amount remaining would be USD 2097 since according to this report you have spent USD 5193 out of USD 7290 funded. Please confirm that this is the amount you are requesting and add that information directly to the report in the section "Reporting and documentation of expenditures".
You are right, around 2097. I need to go to the bank, in order to know the precise amount.
  1. Please specify exactly how you would be using the funds if this request is approved. Would you be spending the entire amount on printing, and if so, how many copies of the brochure would you be printing?
    Thanks, Wolliff (talk) 21:51, 14 November 2012 (UTC)[reply]
  2. Next, we are a bit confused by this request since we believe we have seen copies of the Welcome2WP brochure in Armenian. Has this brochure really not yet been printed? Thanks, Wolliff (talk) 21:51, 14 November 2012 (UTC)[reply]
  • Welcome 2WP brochure in Armenian we have printed 400 copies on money of Beeline. We are going to print the next volumes of Bookshelf project. We have been in exibition Digitec 2012 in Yerevan, 50 copies that I had in one minute expired.

Please submit a new grant request to reallocate these funds[edit]

Thanks for that additional information Susanna. Since the amount leftover is rather large, we ask that you submit a new grant request for the printing of these outreach materials so that you may provide a budget and an explanation of how use of these funds will benefit the movement. For instructions on how to submit a new grant proposal, see the Grants:Index or feel free to write us at grants at wikimedia dot org. Thanks, Wolliff (talk) 20:45, 19 November 2012 (UTC)[reply]

A few additional questions[edit]

Hello, Susanna! We have a few additional questions about this report:

  1. How did you calculate that the number of active editors increased from 200 to 250? We are looking at this table [1] and we do not see these numbers reflected here.
  2. How many people attended the conference?
  3. You budgeted only around USD 700 for coffee, tea, and snacks, and yet paid almost USD 3000. How do you explain this difference?
  4. Please describe what you mean by "Undocumented expenses 33000AMD~82$". Even if you do not have receipts, please describe the expenses.
  5. Also, please let WMF know if you plan to return the unused funds or to submit a new request for funding as WMF has suggested above.

Thank you, Wolliff (talk) 19:15, 28 November 2012 (UTC)[reply]

Dear Wolliff, good evening! Maybe I can answer one of two of the questions as one of the Wikimedia Armenia team members. We generally look at List of Wikipedias for statistics of our project. According to this list, in August 2012 we had 172 active users, in September - 218, in October 201, and finally in November 245. Although we don't have prove that there is a slight growth only thanks to the Wiki Conference, our general impression is that there is much more activity in Armenian Wikipedia after this event. --vacio 17:17, 30 November 2012 (UTC)[reply]
Dear Wolliff,

thousand excuses for delaying answers, it happened because of my gmail account long time was partial broken. I have discovered that I didn't recieved replies on my mails. Thank you for your patience and understanding. In consequence I recieved your email only in this night.

  • 1. I looked through the page http://ru.wikipedia.org/wiki/Википедия:Список_Википедий. At that time the number was 250, now is 217. More inspiring is that now we have stable team around 18 editors who make contributions almost every day.
  • 2. The conference attended 250 people, but to the end this number decreased to 150-180.
  • 3. 3000 USD were paid for 3 times coffee break and one time lunch. For this our grant budget was 700 900 USD for 100 people, in Grant budget I made mistake instead of 3 time coffee break I wrote 2 time, besides we changed Venue from Yerevan State University to Armenia Mariott hotel (it was requirement of Beeline), which is the best hotel in Yerevan, and correspondingly the prices for coffee breaks and lunch. In my opinion Armenia Mariott was the best solution.
  • 4. Although my friends helped by transportation, but sometimes we used taxi, but this money still is in bank account.
  • 5. We have so many planned activities. In a few days I am going to share with you some ideas in order to know which one you prefer for grant.

Once more thank you. SusikMkr (talk) 09:09, 20 December 2012 (UTC)[reply]

Moving this report to Incomplete[edit]

We are still waiting for the answers to our questions above. Since we haven't received a response in 21 days, we will move this report to Incomplete now.

Also, we haven't received a request for reallocation according to the instructions above. If a request for reallocation is not received, the grantee is required to return these unused funds to WMF.

Regards, Wolliff (talk) 17:30, 19 December 2012 (UTC)[reply]

Report accepted[edit]

Regarding the misunderstanding over the number of active editors we believe it is because the definition used in the table you are quoting includes editors who have made one or more edit per month, while the definition WMF uses to define active editor is five or more edits per month.

We are happy to see that there was an increase in active editors. This report is accepted: thank you for your answers. Please contact us soon regarding your intent to submit a request to repurpose these remaining funds.

Cheers, Winifred Olliff (Grants Administrator) talk 22:40, 28 December 2012 (UTC)[reply]

Funds due[edit]

Hello, Susanna: We will need you to submit a new grant request for the remaining funds now, or return them to WMF. Regards, Winifred Olliff (Grants Administrator) talk 01:18, 2 February 2013 (UTC)[reply]

Hello, Susanna: we have not yet received a reply from you. We will not be able to move forward with your new grant submission until the amount due is resolved. By our accounts, the amount owed is US$2097. Regards, Winifred Olliff (Grants Administrator) talk 23:29, 20 June 2013 (UTC)[reply]
Hello, Winifred. Excuse for misunderstanding. Whole money is in the bank.

In Grant submission I noted that we left money from last conference. I checked it again, US$2097 still are in the bank. I thought that that this money will be subtracted from the requested money for new Grant. Frankly, I have no clue, what I have to do. SusikMkr (talk) 07:59, 21 June 2013 (UTC)[reply]

Hello Susanna: Thanks a lot for getting back to us. Please see my response here on the discussion page of the new request: Grants_talk:Susanna_Mkrtchyan/WikiConference_Yerevan_2013#Please_resolve_funds_due_from_previous_grant_submission. WMF will allow you to keep the funds at our instruction until a decision is made about the new request. Cheers, Winifred Olliff (Grants Administrator) talk 18:35, 21 June 2013 (UTC)[reply]
Grants:Susanna Mkrtchyan/WikiConference Yerevan 2013 has been approved, and the remaining US$2097 will be allocated to this new grant submission (deducted from the total grant amount at the time funds are sent). This grant is now complete. Cheers, Winifred Olliff (Grants Administrator) talk 00:49, 9 July 2013 (UTC)[reply]
Unfortunately, we did not deduct the remaining US$2097 from Grants:Susanna Mkrtchyan/WikiConference Yerevan 2013. The remaining funds will need to be returned following these guidelines: returning unused funds. Please let us know if you have any questions and apologies for the confusion.
