IRC session log.

[15:58:48] <Abhay> Howdy
[16:02:21] <Ravidreams> Hi Abhay, Netha
[16:02:56] <Ravidreams> Kalyan may not be able to attend today due to personal reasons. Anirudh is not available on Sundays. But, he has assured to check the scoring matrix and provide his inputs
[16:03:07] <Ravidreams> So, let's wait for Ashwin
[16:04:07] <Abhay> ok
[16:06:26] <Netha> Okay
[16:11:31] <Ravidreams> While we wait for others to join, netha and abhay, could you please give your comments on the scoring matrix?
[16:11:43] <Ravidreams> Any change needed in criteria / weightage?
[16:13:40] <Abhay> I don't see anything material
[16:13:45] <ViswaPrabha> Just came home after a hectic day.
[16:13:52] <Ravidreams> Hi Viswa
[16:14:11] <Abhay> I don't see anything material (that I'd change)*
[16:14:37] <Abhay> Hi Viswa, Netha and Ravi :)
[16:14:56] <ViswaPrabha> Hi everyone :)
[16:17:42] <Ravidreams> Hi, let's set the agenda for today: 1. Confirmation of the scoring matrix / criteria by each juror
[16:17:52] <Ravidreams> 2. Filling of scores by each juror
[16:18:07] <Ravidreams> 3. Agreeing on timelines for a decision
[16:18:22] <Ravidreams> For those who could not attend it today, we will request the same by email
[16:19:03] <Ravidreams> I also request the jury to discuss any question with the bidders. A Q&A can be arranged through Hangout / IRC next week same time
[16:19:09] <Ravidreams> and then we can finalize the decision
[16:20:01] <Ravidreams> I am requesting this Q&A because based on insights from Wikimania organizers not every detail (both plus and minus) can be visible in a bid
[16:20:05] <Abhay> works for me
[16:21:11] <Ravidreams> Thanks, Abhay. As you reported technical issues with the scoring sheet, could you please mail your scores to viswa with a copy for all jury members?
[16:21:23] <Abhay> will do
[16:21:29] <Ravidreams> Thanks
[16:21:32] <Ravidreams> Netha, are you there?
[16:22:02] <Abhay> I have those ready now, if that works better
[16:22:31] <Ravidreams> Please send it by mail as other jury members haven't confirmed the scoring matrix yet
[16:22:40] <Ravidreams> so any revision in final score may cause confusion
[16:22:46] <Ravidreams> if it is recorded here
[16:23:07] <ViswaPrabha> Abhay, you should right away trying to input those simple figures
[16:23:13] <Ravidreams> also, the jury should decide if it wants to announce a consolidated score or let evert juror's mark be public
[16:23:37] <ViswaPrabha> It's really easy. And anyway, for once, we need to get into the water to learn how to swim :)
[16:24:14] <Abhay> I'd prefer a consolidated score
[16:24:30] <Abhay> but will defer to a majority decision
[16:24:36] <ViswaPrabha> All you need to do is to pick your cell in the blue lines and add your score on a 1to 10 scale
[16:24:56] <ViswaPrabha> A consolidated score is much better.
[16:25:19] <Netha> I will finish the scoring tonight
[16:25:20] <Abhay> right Viswa, I can do that once I download, just not online
[16:26:05] <Ravidreams> Thanks, Netha. Can you also confirm the scoring matrix criteria and weightage
[16:27:35] <Netha> I am comfortable with the scoring matrix. Not quite sure yet about the weight age, because I haven't used a tool involving weightage so far.
[16:29:16] <ViswaPrabha> You can think about how important it is to factor each parameter. However, the weightage given here is a single number that we all reach by consensus.
[16:30:37] <ViswaPrabha> In fact, the weightage is independent per each score so you can reach the weightage part even later. Only, whatever we put in there should be a consolidated single factor agreed by all of us.
[16:31:27] <ViswaPrabha> Yes, Netha is now doing it right.
[16:31:45] <Netha> Yes, I understand that some parameters require more attention, and hence more weightage.
[16:32:37] <ViswaPrabha> Yes. we can discuss about this now or later, without affecting individual criteria scores themselves.
[16:33:27] <ViswaPrabha> Will someone give the URL to help Kalyan to read the chat log till now? Thanks
[16:34:08] <Ravidreams> Kalyan, please check http://bots.wmflabs.org/~wm-bot/logs/%23wikiconferenceindia/20160103.txt
[16:34:09] <Netha> I am not sure if we need to get to such level of sophistication. But now that Viswa has done a great job in creating a very elaborate scoring sheet already, I support keeping it as such
[16:34:51] <Ravidreams> kalyan: Thanks for joining us
[16:35:06] <ViswaPrabha> Yes, it's a reusable template for all such future works.
[16:35:27] <Abhay> Hello Kalyan
[16:35:56] <ViswaPrabha> But you only neeed to put the subtotal aggregates in those blue rows (against your column for each bidder)
[16:36:35] <Netha> Yep, the spreadsheet will take care of the calculations :-)
[16:36:36] <ViswaPrabha> On the other sheet, the overall scores will be automatically tabulated.
[16:39:37] <ViswaPrabha> I will go through the calculations (for any errors) systematically, later tonight after your scoring. :) and ensure there are no oversights.
[16:39:59] <Abhay> To summarize our goals tonight -- 1. confirm spreadsheet/weightages 2. Scoreing by each juror 3. Decide on a decision date 4. Decide if we want bidders to be present same time next week.
[16:40:08] <Abhay> Did I miss anything?
[16:40:54] <Ravidreams> You are correct, abhay
[16:42:47] <ViswaPrabha> Let's put Today + 10 days as the final day of declaring the winner.
[16:43:56] <ViswaPrabha> You may even prepone a bidder interview so we can make it Today+7 for the final declaration.
[16:44:26] <ViswaPrabha> Once we settle on the bidder, let us agree we all work together and help whoever takes the onus of conducting the program.
[16:45:06] <ViswaPrabha> And we can also help them plan better with our insights and experiences.
[16:45:07] <ViswaPrabha> And we can also help them plan better with our insights and experiences.
[16:45:17] <ViswaPrabha> The earlier we do, the better.
[16:45:25] <Abhay> @Viswa, that goes without saying, but yes, officially, we do resolve to work together and help the organizer.
[16:45:36] <Abhay>	 :)
[16:46:21] <Ravidreams> Viswa, 10 days from today works as the bidders / jury can be available for the discussion next week end
[16:46:47] <Ravidreams> Jan 10, 9:30 PM IST - discussion with bidders
[16:46:54] <Ravidreams> Jan 13 - Results declaration
[16:47:16] <ViswaPrabha> All right from my side.
[16:47:18] <Ravidreams> Jan 6 - Finalize marks by all jury members
[16:47:46] <ViswaPrabha> And weightage.
[16:47:49] <Abhay> sounds good
[16:47:55] <Ravidreams> Does hangout work for everyone or a IRC better for discussion with bidders
[16:48:57] <ViswaPrabha> If you feel it difficult for the weightage, I will make one for tiny table to enter them for each individual. :) By tonight end.
[16:49:56] <ViswaPrabha> IRC can be documented. Hangout can be faster but can deviate subjects / network congested
[16:50:17] <Ravidreams> OK. let's do IRC then
[16:50:45] <Ravidreams> Viswa, can you explain the scoring. I see two new columns now. Is each cell scored against 10?
[16:52:20] <ViswaPrabha> You only need to input in the first sheet.
[16:53:07] <ViswaPrabha> The second sheet has a raw area where it just picks up the numbers. The second area calculates the weighted scores by multiplying each score with the weight.
[16:54:31] <Ravidreams> I am looking at the final scores sheet
[16:54:52] <Ravidreams> there are scores like 7, 6 etc.,
[16:54:59] <Ravidreams> are these against 10?
[16:56:07] <ViswaPrabha> Yes. (In the Yellow area)
[16:56:26] <Ravidreams> The score for perceived risk also needs a clarification. less risk means more marks
[16:56:39] <kalyan> noted the dates, will keep following the discussion. quitting for now.
[16:56:47] <ViswaPrabha> In the green area, it is scaled down to unit ( 1/10) and multiplied by weight factor
[16:57:04] <Ravidreams> OK Kalyan, we are almost near the end of this discussion
[16:57:16] <ViswaPrabha> Yes, less risks mean more marks
[16:57:19] <Ravidreams> Thanks for explaining, viswa
[16:57:46] <ViswaPrabha> All marks are 10 for the best outcome, 0 for the worst outcome
[16:58:04] <Ravidreams> Netha, abhay any inputs from you?
[16:59:37] <ViswaPrabha> Those weightage factors are just assumed by MYSELF as of now. But we can discuss on this and rearrange if needed. (Only criteria, sum of the factors should be 100% for each jury)
[17:00:07] <ViswaPrabha> And I will setup a small table just for this, tonight.
[17:00:52] <Abhay> I don't think I have anything to add to that. I believe I understand the matrix/weightage and am ok with it.
[17:01:12] <Abhay> I will email my scores in a couple of hours, since I still am not able to edit the sheet in-place.
[17:05:25] <Netha> I am fine this way, too
[17:05:39] <Ravidreams> OK then, shall we conclude today's meet?
[17:05:47] <Ravidreams> I will send a summary through mail
[17:05:53] <Ravidreams> with the dates we have suggested
[17:07:33] <Abhay> cool
[17:09:28] <Ravidreams> OK, see you all then
[17:09:35] <Ravidreams> good night / morning :)
[17:31:56] <Viswaprabha> Hi, anyone here?
[17:32:07] <Viswaprabha> I may have missed some portion
