In October 2013 Wikimedia Eesti hired its first 2 employees: board assistant and project writer. This page enlists their job functions as they were described in their contracts. These positions were restructured into positions of full-time executive director and part-time assistant in July 2014.

Board assistant[edit]

General information[edit]

Board assistant is a part-time (50%, i.e. 20 working hours a week) employee with the main task to support a good functioning of the chapter board by assistance in administration, communication and organizational duties, i.e. dealing with quotidian matters which do not require direct involvement of board members.

Qualification criteria[edit]

Education
  • Board assistant must have at least secondary education.
  • Special training is not required, but it may be helpful in completion of the tasks.
Work experience
  • Prior work experience is not a prerequisite, but it serves for the benefit of effective operation.
Language skills
  • Board assistant must be fluent in Estonian.
  • Board assistant must have good knowledge of English.
  • Other language skills are not necessary, but may serve for the benefit of effective operation.
Computer skills
  • Board assistant must be skillful in handling text-editing software.
  • Board assistant must be well acquainted with virtual correspondence environments.
  • Board assistant must have good knowledge about blog and Facebook administration.
Personality traits
  • Board assistant must be able to communicate and express oneself at ease.
  • Board assistant must be apt for teamwork.
  • Board assistant must have advanced skills of time management, s/he has to be conscientious, responsible and precise.
  • Board assistant should be resilient and inclined to develop.
Special skills
  • The job of the board assistant does not expect any special skills.

The functions of the board assistant[edit]

  • Protocoling Board meetings of Wikimedia Eesti (held once a week).
  • Protocoling General Assemblies of Wikimedia Eesti (held twice a year).
  • Disclose aforementioned protocols in foreseen manner.
  • Composing and publishing of the newsletter for Chapter members (MTÜ Teataja).
  • Organizing the exchange of documentation between the Chapter and national register.
  • Ordering translation of documents, if necessary.
  • Administer correspondence of Wikimedia Eesti.
  • Administer blog and Facebook pages of Wikimedia Eesti.
  • Arrrange meetings with partners.
  • Arrange events of the community.
  • Arrange public appearances (if not a direct task of the project manager).
  • Arrange exhibitions (if not a direct task of the project manager).
  • Arrange trips of chapter (board) members and staff.
  • Register source documents of expenses and transmit them to the bookkeeper.
  • Order memorabilia of Wikimedia Eesti and Wikipedia.
  • Arrange publishing of booklets and other imprinted works of Wikimedia Eesti (if not a direct task of the project manager).
  • Monitoring and registration of media coverage about Wikipedia and the activities of Wikimedia Eesti.
  • Organize media coverage of the activities of Wikimedia Eesti.
  • Motivate and support members of the community in their actions.

Project writer[edit]

General information[edit]

Project writer is a part-time (75%, i.e. 30 working hours a week) employee with the main task to support a good functioning of the chapter by searching and securing financial sources for its activities and operation. Project writer also coordinates the execution of projects and is responsible for correct reporting.

Qualification criteria[edit]

Education
  • Project writer must have at least secondary education.
  • Special training is not required, but it may be helpful in completion of the tasks.
Work experience
  • Prior work experience is not a prerequisite, but it serves for the benefit of effective operation.
Language skills
  • Project writer must be fluent in Estonian.
  • Project writer must have very good knowledge of English.
  • Other language skills are not necessary, but may serve for the benefit of effective operation.
Computer skills
  • Project writer must be skillful in handling text- and table-editing software.
  • Project writer must be well acquainted with virtual correspondence environments.
  • Project writer must be able to handle editing related to Wikimedia meta.

  • Project writer must have good analytic skills, good knowledge about the principles of budgeting and reporting.
  • Project writer must be able to communicate and express oneself at ease.
  • Project writer must be apt for teamwork.

Special skills
  • The job of the project writer does not expect any special skills.

  • Writing grant applications to Wikimedia Foundation.
  • Writing grant reports to Wikimedia Foundation.
  • Writing applications for operating grants.
  • Writing reports for operating grants.
  • Writing other grant applications or supporting other/voluntary project managers in doing this.
  • Writing reports for other grant applications or supporting other/voluntary project managers in doing this.
  • Searching for sponsors and donors.
  • Writing reports for major sponsors and donors.
  • Supporting execution of projects by organizing teamwork and administering project plan and activities, budget and expenses.
  • Writing annual report of the chapter.
