Venue and Production
£95,000 £20,000 Barbican Centre (Venue Hire) City of London corporation have pledged the Barbican at cost price. Venue includes security, insurance, medial personal, cleaning, disposable items (toilet paper, trash bags etc)
£125,000 £100,000 AV Basic is included in venue, service partners will also donate in kind, any extra can be used to improve. This category includes video production, editing time, production of video packages prior to the event, lighting and sound etc. As outlined on the AV page this cost could vary from £85,000 to £250,000 depending on the production value
£25,000 £25,000 Stage Design / Rental See attached image for photos of the Le Web stage design, the same production company has been engaged for WM14
£50,000 £50,000 Events Co-Ordinator We plan on engaging the London First event team to run the logistics of the event. A copy of the MOU can be sent upon request.
£60,000 £60,000 Event Insurance
£150,000 £150,000 Catering This includes, Food for the Hackathon (2 days of breakfast and lunch), Lunch for the three main conference days - only for participants on the community track - aprox 2000 people. Also Tea, Coffee and soft drinks for the breakout area's.
VIP, Guests & Travel
£30,000 £30,000 VIP Accommodation 20 rooms for 5 days at £300 a night - This will most likely be less based upon the requirements of VIPs
£15,000 £10,000 VIP Travel 15 return flights at £1000 each, currently negotiating with major airline to reduce costs.
Social Events
£15,000 £15,000 VIP Reception To be hosted at the House of Lords - Predominantly Food and Drink along with basic AV costs
£54,000 £32,000 Science Museum Social Event Including set dinner & drinks £12,000 for Venue Hire, £30,000 for Food/Drink, £2,000 Coaches.
£10,000 £10,000 Barbican Saturday Night Social Event Most of the cost included in venue hire, All talent has provisionally agreed to work for free, set designer on the team, this cost represents the production team/stage manager for the evening.
£50,000 £35,000 Tate Modern Social Event Includes Venue £20,000 and Food/Drink at £30,000. Currently negotiating for venue hire at cost.
Other
£20,000 £20,000 Giftbags Inclusive of sponsor products, publications e.g. Wired magazine (Provided free via London First), Conference Memorabilia (Stickers, t-shirts etc) for the Wikipedia track ~ 2000 people at £10 each.
£2500 £2500 Volunteer Swag Inclusive of sponsor products. Full Cost 50 Volunteers x £50.
£20,000 £0 Scholarships While the WMF will as per tradition contribute money to scholarships, the bid committee would also like to put aside funds to bring wikimedians to the UK.

£60,000 Wikipedia Track Registrations This maybe reduced depending on sponsorship. 2000 people at £30 each
£300,000 Public Track Registrations This maybe reduced depending on sponsorship. 6000 (2000 daily passess per day) at £50 each.
£500,000 Sponsorship We have chosen not to predefine the number of sponsorship available at each tier. Instead bespoke sponsorship agreements will be negotiated.

Notes

  • Tickets for the Wikipedia tracks will be pre-released several months in advance of the public tickets and before any substantial promotion of said tickets outside of traditional Wikipedia promotional channels, ensuring that Wikipedians get priority booking of tickets. These tickets will be released at a cheaper price than the public tickets
  • Sponsorship will be negotiated on a case by case basis. Full sponsorship packs can be found on the Wikimania London website www.wikimanialondon.org
  • We believe judging from the number of attendees at DC and the expected attendance at for Hong Kong + considering the ideal geographical placement of London that attracting approximately 2000 wikipedias is a reasonable estimate
  • It should be noted that the public track will include several tickets tiers such as student rates (which would also be offered as part of partnerships with the major universities of the city. i.e Imperial College London, UCL, LSE, City, Goldsmiths etc.)
