Part 1 Understanding your work
[edit]1. Briefly describe how your proposed activities and strategies were implemented.
Our activities and strategies were implemented through collaborations and partnerships with other institutions in Malaysia. As the user group is still small, we decided to engage with other big institutions like embassies, associations and government institutions to organise events and attract more participants in joining the event. The activities were also implemented with the help of our members and volunteers within the user group. Without any partnership, it would be difficult to rely on the public to attend the events. For example, Wikipedia Asian Month workshop had very few participants physically due to no partnership. Having ample time before the activities for preparation is crucial and needed. Malay Wikipedia birthday could not be implemented due to lack of time for preparation since we received the bank account late. Other than that, the preparation for Wikipedia Asian Month was done in a short time causing the outcome to be lacking compared to events like WikiGap which was prepared with enough time.
2. Were there any strategies or approaches that you felt were effective in achieving your goals?
Having a partnership and collaboration is the driving force to have our goals achieved more. They helped us by advertising the events to their followers and helped the event to be widely seen by other people. With having a partner for each event, the user group will not have a hard time finding people to participate in events especially in new locations. For example, the Kadazandusun Wiktionary workshop attracted around 80 participants in editing Wiktionary. By having this this would also distribute work and lift off work some works from volunteers like finding meals and venues for participants and also finding participants itself to participate the events. Volunteers will only need to come to teach on how to edit with everything prepared by the partners. Also, working together with education institutes like universities will have us to have additional volunteers to help for preparation for the event. Usualky we discussed with the lecturer to collaborate to do events. Then, the lecturer will tell their students to organise the events. It makes our work easier and it could make them more interested and heavily involved with the Wikimedia movement.
3. Would you say that your project had any innovations? Are there things that you did very differently than you have seen them done by others?
Having a one whole day event is important when organising events. Long time is needed to train the new editors in the morning and editathon sessions in the afternoon. Having an event half day caused not much edits can be made by participants as they were too focused on learning how to edit presented by our staff causing them having less time for practice. Using the Outreach Dashboard is crucial and important too whenever organising any events. This can be done to track down live edits by participants during the event. Other than that, this can show the live edit counts by the whole participants in total. This will make them more motivated to edit so that they can achieve the event’s goal. We usually set a goal on how many articles or pages that we want to create or edit. With that, they could see their progress. This also make us easier to see the overall statistics for many events that we have made. It will be easier for reporting and can be used to share the outcome of the events to the public and also to the movement.
4. Please describe how different communities participated and/or were informed about your work.
They are informed through our partners who helped reach out to different communities to participate. Having a partner ensure the event to have participants instead of relying on the public in general. Other than that, they were informed through our social media post. Although it did not bring many people to participate unlike having a partner to find the participants. Engaging through fast chatting platform like Whatsapp and Discord seems effective enough to attract and monitor the editors’ progress on their edits. Discussions can be easily made and people can easily brainstorm ideas abd suggestions by using it. Using other platform like emails seem inefficient as not everyone use it and fast discussions cannot be made. Participation of communities also come through the partners we have. They will share our events to other people and their members. Monthly online meetups were also made to discuss on the progress of Wikimedia projects. This could also be a platform to get more new editors and to learn about it directly from experienced editors.

7. Is there anything else you would like to share about how your efforts helped to bring in participants and/or build out content, particularly for underrepresented groups?
We have partnered with the Perak State Education Department to organise a training for aboriginal language teachers in the state. They are from different parts of the state and they were quite motivated in being in the event as it has been a long time since they have gathered together. We were informed that they simply do not have that much budget by the government in organising such events. Hence, the user group helped them with providing meals for the events and having them explored more on how Wikimedia projects could be used in the classroom. Other than that, we have partnered with the Teachers Education Institute for future teachers who will teach a indigenous language. We were informed also that they were lack of funds by the ministry. Hence, having additional activities like Wiktionary training helped them to discover more the potential on using Wikimedia projects in the classroom.
Part 2: Your main learning
[edit]8. In your application, you outlined your learning priorities. What did you learn about these areas during this period?
We learnt to take not on what works and not when organising events. It has been evident that we need partners whenever we want to organise events to ensure we have participants confirmed attending it. We learnt that using the Outreach Dashboard is the best method to document results of events that we have organised. The dashboard also can be used during the event to track live edit activities done by participants than relying on the Recent changes page. This also caused the participants to be motivated in achieving goals for the event as they can see the number of edits increase until they reach the goal for the event.
9. Did anything unexpected or surprising happen when implementing your activities?
It was unexpected that three of our editors could not join the ESEAP Conference in Sydney due to immigration problem. It would really be helpful if they were able to attend as they are still new to the movement and having them there would make them be more highly motivated in being more active in the movement. One member was also invited to present in an international conference in Indonesia from invitation by one of our partners. From the trip, the member also learnt more from Wikimedia Indonesia. The user group also started a pilot student training programme with the Sandakan Education Office. This pilot training is to see the potential on having Wikipedia activities in schools. Through that programme, we also get in contact with the local Rainforest Discovery Centre here and they were interested in doing a Wikipedia training for their forest rangers in the future.
10. How do you hope to use this learning? For instance, do you have any new priorities, ideas for activities, or goals for the future?
We hope that we could improve ourself better in implementing activities and strategies in the future. We want to make sure each event will be efficient, effective and impactful. Our goal is to increase more partnerships and more new volunteers in the Wikimedia movement. We want to reach out to more local institutions here to cover with wider demographic since they already have their own people within their institutions. We also want to increase more volunteers to help organise activities for the user group. A training for them is needed to make sure they can independently do the activities without having the core members to be physically present there with them.
11. If you were sitting with a friend to tell them one thing about your work during this fund, what would it be (think of inspiring or fascinating moments, tough challenges, interesting anecdotes, or anything that feels important to you)?
I would tell how impactful the events were that we have organised. I would tell also on collaborations and partnerships that we have made through the fund like he embassy and government agencies. I have reached out with three embassies that year and even met with the staff there in the embassy. I would also tell them how I could go to many places in Malaysia and even abroad easily just because of Wikimedia activities. They were quite intrigued when they know that I went abroad before to Germany for Wikimedia Conference. They were interested to know more on how did I get there.

The organisaitonal capacity has grown through its members. We have more members to help in organising our events. We need more support in reaching out with potential new partners for events. All started out from reaching out them through emails. We reached out with government agencies and local institutions and through that we could connect with more people and more institutions. For example, we worked together with the Embassy of Sweden. From there, we were get in contact with local universities and other embassies.

To feel a sense of belonging in the movement is to be involved in organising the events. New participants might not feel heavily involved or have a sense of belonging yet to the community. Some of our new members suggested to have them involved in organising events so that they will be more motivated in the movement.

Volunteers are willing to invest their time more in the movement as they can see that the user group could support them in organising events for the community. More time are spent by volunteers to join events and even plan before the event.

We would like to do more sharing in the future through blogs in Wikimedia Diff. Having our stories and success shared with the global movement would be a boost for us to be more motivated in the movement.

The bank account was created late October due to very long process of applying the bank account due to Covid restrictions and with the members far away from each other. Many activities and events were not able to be carried out due to the late bank account.

We hope that the remaining funds could be use for the 2023 grant since there are so many unexpected collaborations and events that we do and needed with the grant just like what happened last year with many unexpected collaborations.
