Part 1 Understanding your work[edit]

1. Briefly describe how your proposed activities and strategies were implemented.

It was implemented through partnerships and collaborations with institutions like embassies, universities, government agencies and media outlets. We sought help from them and discussed on the preparations as they already have the participants that we need to organise events like editathons and photowalks. They also provide the venue for the event. This is important to ensure that there are confirmed participants attending these events. It will be difficult for us to have an open event without any partnerships. We are afraid that there will be no or lack of participants joining the events.

2. Were there any strategies or approaches that you felt were effective in achieving your goals?

Our approach and strategy is to have partnerships for every single event that we conduct. With these partnerships, there will be participants provided by them to attend our events. Most of the planning will be executed by them.

3. Would you say that your project had any innovations? Are there things that you did very differently than you have seen them done by others?

We do trainings with hands-on activities directly rather than having a long teaching sessions for them to listen only. This would reduce the amount of time to teach them and make it more efficient in terms of time.

4. Please describe how different communities participated and/or were informed about your work.

Most communities that participated were approached through universities and consisted of mostly new participants or groups that were trained to aid new participants in Wikimedia projects. The communities were informed through social media or through private messaging.

Part 2: Your main learning[edit]

8. In your application, you outlined your learning priorities. What did you learn about these areas during this period?

We have learnt that it is best for us to distribute our work to other members of the communities. In order for us to expand, we need to give some responsibilities to other members so that we can make more events efficiently. Some volunteers are ready to be part of the organising team to organise events at their own place. Other than that, expanding the community by establishing subgroups within the affiliate is a good practice for them to be able to focus entirely on themselves. Since they know their community the best, they can organise events and activities to grow and sustain the community. For instance, we already have a wiki club called Kent Wiki Club. Now they are doing their own events and activities without relying heavily on us.

9. Did anything unexpected or surprising happen when implementing your activities?

There are new partnerships that happened in 2023. For instance, through our existing partner which is the Embassy of Sweden in Malaysia, we collaborated with the European Union Delegation in Malaysia for a huge 24-hour editathon fully funded by them. It was quite a successful event. However, the planning and partnership were quite poor due to lack of discussions and communications. We will try to have a better partnerships with them in the near future.

Generally, many issues arose during the participant account setup process due to mass IP range blocking. We have tried to circumvent this by making sure participants know the problem exists and having assistant trainers aid and give solutions as soon as possible, but the number of participants that experience issues tend to become very high depending on the size of participation. Internet connectivity has also been an issue due to many programs occurring in rural areas. Despite preparing a portable wifi router, the device has not been sufficient when a high number of participants were present, causing internet performance to lag or fail altogether. Additionally, we noticed that if we were able to identify participants that are fast learners, we could ask them to help other participants that were struggling.

10. How do you hope to use this learning? For instance, do you have any new priorities, ideas for activities, or goals for the future?

We hope through this learning we will able to improve ourselves in executing events. We want to ensure everything we do from planning of the event until feedback of the event are done with great efficiency. Out priority is still to invest more in underrepresented communities like the indigenous communities in Malaysia. We would like to document their language through Wiktionary and other projects so that the language will stay alive from extinction. Most of these languages are endangered and by having these languages in Wikimedia projects will ensure their survival in this digital era.

We hope to enhance outreach effectiveness through better communication, equipment preparation, program organization, and activity planning. New goals include giving participants as much options as they can in deciding what type of Wikimedia project they want to engage with and contribute to independently by showing more possibilities of their contributions. The biggest priority/goal we have in mind is participant retention through simplification of steps in their contributions so that they can focus on the content they want to contribute on.

11. If you were sitting with a friend to tell them one thing about your work during this fund, what would it be (think of inspiring or fascinating moments, tough challenges, interesting anecdotes, or anything that feels important to you)?

We have helped a lot of underrepresented communities in Malaysia in preserving their indigenous languages from extinction through Wikimedia projects like Wiktionary. We even went to rural areas that do not have their language represented online like the Mendriq people of Kelantan. Our outreach was even covered by news agency in Malaysia and it has reached out to many people about our work that we did. We even worked with many partners from universities and media. We hope that we expand this kind of outreach programme to other indigenous languages in other countries.

Our strategy has been to target partnerships with embassies and learning institutions and bridge the connection between them through significant events related to an embassy’s specific country. The learning institutions would provide participants, while the embassies would provide venues and certificates for programs. Additionally, we also target government bodies that are related to each program that we plan on conducting, so that further recognition of our work can be realized.

Having our thoughts and opinions heard by the Wikimedia Foundation and the Wikimedia movement will make us feel a sense of belonging. Having active conversations and sharing sessions with other community members will be great. Getting feedback from other community members as well will be beneficial for us. Sharing our achievements and progress to everyone also makes us feel belonged in the community.
