Thank you for sending us your receipts, but we still need some additional information to accept this report.

Would you please calculate the total funds spent in HKD and USD here so that anyone reading may understand what you spent in relation to the amount requested / sent.

We also noticed that you included a few items not budgeted for in your original request, including:

  • A total of 4 notebooks (3 were budgeted for)
  • Adobe CS5 Design Premium Student and Teacher Edition x 2 HKD$2360'
  • Parallel Desktop HKD$301'
  • 4 Notebook Lock
  • 2 Protector for iPod
  • 4 Belkin Surge Protector

Would you please offer a detailed explanation here of how these additional items are related to the goals presented in your grant submission? It's not normally acceptable to use grant funds for a purpose other than that described in your submission.

Also, please let us know who has possession of this equipment right now. Is it being used by volunteers active in chapter work?

Wolliff - thanks for your question. Although the grant is titled "Mac Computer", the purpose of the grant is of course to purchase equipment which will allow WMHK volunteers to produce high-quality media, and give WMHK a professional image in public events. Having received a reduced amount of grant (US$5000 < US$6486) and obtained quotations for equipment prices, and with increasing public expectation for cross-platform compatibility from "techie" organizations such as WMHK, we figured that we can achieve more impact with the limited grant money by purchasing 2 MacBook Pros and 2 PCs instead. This is the only change between the budgeted items and the actual items purchased, and is made in accordance with the goals laid out in the grant submission.
The remaining changes are mere re-itemization of the budgeted items. Adobe CS5 Design, Parallel Desktop, notebook locks, and surge protectors are all software and hardware items that are required for the purchased computers to fulfil the goals of the project. The only item that may cause some confusion was the iPod protector: two iPods were given free gifts with the purchase of the other Mac equipment, so protectors were purchased for them as well.
All the purchased equipment are currently in the posessions of active members of WMHK:
  • MacBooks: Alexander Cheung (director - all directors are volunteers), Kris Cheng (Wikimania contract staff)
  • Fujitsu: Vincent Tsui (director)
  • Samsung: Ivy Wong (director)
  • iPods: Tango Chan (director), Angus Lai (ex-director)

Thanks for this explanation. Since the iPods are purely for entertainment, I'd suggest the most appropriate use for them would be as a prize to be given away in a mission-aligned activity, such as a writing contest. Asaf - thanks for the suggestion. The equipment has already been in use for over two years for both chapter business and personal uses, so it isn't exactly appropriate to give them out in a competition anymore. We will consider organising a competition the next time we get something like an iPod for free with the purchase of team equipment. Deryck C. 07:32, 27 December 2012 (UTC)[reply]
