Communication plan for information outwards about an WikiGap event

One thing that is of great importance for everybody engaged in WikiGap to know about is that there is a big need for a clear and simple communication around the events. Below you’ll find a list over things that needs to be communicated before and after an event. Depending on how the responsibility looks like between the ones that are involved you can decide which one of you organizers that will do what.

4-6 weeks before the event

The organizers should:

  • Report the event at Meta.
  • Announce the event in different social media channels and make an invitation to the event. It could be good to create a “a last date” to sign up for the event and ask the ones that will participate which language version they will edit in.
  • Ask for help from volunteers with different tasks before and during the event. Try to be as clear as possible concerning the mission.

3 weeks before the event

The organizers should:

  • Prepare and create a program at the dashboard and tell the project manager of WikiGap when it’s done.
  • Make more posts about WikiGap and it’s purpose in social media channels.
  • Remind people to sign up for the event.

2 weeks before the event

The organizers should:

  • Leave contact information for the ones that are in charge of the event to the international coordinator of the campaign.
  • Make more posts about WikiGap and it’s purpose in social media. Hopefully you now know how the program for the event looks like and you can inform the ones interested about this.
  • Remind people to sign up for the event.

1 week before the event

The organizers should:

  • Prepare the information material that will be needed during the event. You have to think about what the participants need to be able to do a successful job and to have a positive experience of editing Wikipedia.
  • The participants need to know more about what to expect from the event. You need, for example, to inform them about digital possibilities, refreshments and references.

During the week after the event

The organizers should:

  • Make an summary of the result from the event and announce it in social media.
  • Send out an email to the participants to thank them, announce the results from the event and ask them to make an evaluation of the event.
  • Ask the volunteers about an evaluation.
