Wikimedia Bangladesh is one of the oldest affiliates in the region that not only serves and supports the Wikimedia volunteers in the region continually, but also improving the degree of its works. We mostly do so by maintaining a functional digital presence which requires sound technical resources. The purpose of this grant is to ensure the continuity of these services by fulfilling our community’s administrative and technical needs. This is the key objective of this grant that directly relates to our branding and the sustainability of the community. Improving communicational and organizational capabilities to meet the rising needs and expectations of the volunteer community is another objective of the project. The acquired resources will help us to continue supporting the community members in Bangladesh to thrive their Wikimedia activities in both local and global level.

Under this grant, we plan to perform the following activities.
- Renew our web hosting
- Renew additional web services for our websites and domains to secure our digital assets, boost our online presence, and increase the availability of information
- Renew our Zoom subscription
- Purchase a scanner to digitize our official documents as well as for future organizational needs and potential community events with specific needs
- Organize at least one off-wiki meetup for the Executive Committee members.

We use our Zoom subscription to arrange online meetups and workshops which require several features that are available to paid customers only. We also use it to organize our monthly Executive Committee meetings and any other additional meetings we may need from time to time. The service is used not only to support Wikimedia Bangladesh activities but also activities of our regional communities and the other volunteers in the region as a whole. As an example, our Mymensigh Wikimedia Community held their online meetup last October through our Zoom platform (see here). We also plan to create a mechanism where other interested volunteers in the region can request access to this resource to arrange their Wikimedia activities.
About your last question, let me start by clarifying a miswording at my end. This is not a meetup but an Executive Committee meeting (EC meeting). We are required by our bylaws to hold at least 4 EC meetings (one for each quarter of the year). We’ve been holding these meetings mostly online which last around 1 to 2 hours.
We want to increase the outcome of these meetings by holding an in-person meeting to increase interaction and collaboration between our EC members. Several important issues need to be discussed in length which require our board members to sit together to discuss through multiple sessions. These topics include (but are not limited to):
- Strategic and legislative changes in the organization
- How to adapt to the legal challenges (issuance of the new Cyber Security Act, etc.) and the human rights situation in the region to ensure the safety of the volunteers
- Discussing current governance mechanism—what works and doesn’t and why, how to arrange governance talks in the community to ensure better governance
- Review our past activities and plan future activities
- Discussing partnership opportunities with other organizations and GLAM
We hope to achieve the following from the meeting:
- Workable approach to adapt to the changes in the future while ensuring continuous growth of the community and the chapter in a sustainable way
- Arranging well-planned and more organized programs and initiatives
- Establish good precedence for the future of the EC members

The targeted participants for our grant are Bangla-speaking Wikimedians from Bangla Wikipedia and other Bangla-language projects, registered members of Wikiemdia Bangladesh and other Bangla-speaking Wikimedians active in other projects. We hope to engage with them through online meetups to know their needs to create and develop engagement in their projects.

Most of the tasks that will be performed under this grant are among the most regular and routine tasks that we do organizationally. We need to maintain our web hosting and related services, so our websites, emails, and other technical resources remain functional. This is vital for our official communication channels, digital presence, and volunteer support within our community. We often offer our paid Zoom subscription to our community members when they want to create an online event (meeting, discussion, etc.) so they can seamlessly run their events and increase community engagement.
During the Wikimania in Singapore, several Wikimedians from Bangladesh and West Bengal, India met together in several discussions on how to increase our workflow and make our decision-making process faster. Being together in offline meeting, they were able to make good works on future planning on events and community engagement which would consume months in discussions via emails and scattered platforms. When most of our EC members were based in Dhaka, we used to have several offline Meetups in a year, and we accomplished most of our planning and decision-making tasks in those meetups. However, as currently several of our EC members reside outside of Dhaka (where we’re based), we couldn’t perform the tasks to the same degree as before. Therefore, we want to organize an offline EC meeting in Dhaka, so the members can sit together in the discussion and perform the tasks in hand. It’s also a common practice of the NGOs operating in Bangladesh.

With the help of a stronger technical and administrative infrastructure, we hope to achieve a better outcome from our board members and the people who work in organizing events and decision-making in our community. We hope to attract more on-wiki community members to get involved in offline activities and take key positions in organizing events. We also hope to learn more about how offline EC meetings contribute positively to our overall work performance as well as in increasing spirit.

The nature of this grant does not permit automatic tools to measure metrics. However, we document the list of our events and the number of participants in each event on our public wiki. We also keep the list of our registered members on the wiki. A solid technical resource and administrative backup makes changes to all future events and metrics. This makes changes that impact in the long run and even to other grants.
