From Meta, a Wikimedia project coordination wiki

Comments from WMF[edit]

Thank you for this thorough grant report and for submitting it on time! The team has completed an impressive number of projects and events considering your small core group. Congratulations on reaching many of your goals and exceeding your proposed metrics. Please see our questions and comments below. We look forward to your response.

  1. 11th Anniversary: What was the challenge in recognizing the best contributor during the event? As you noted, it would be great to use WikiMetrics to see if the folks who participated in the edit-a-thon continue to edit.
  2. Outreach: You reached an impressive number of people through the outreach events. What type of follow-up has been (or will be) conducted?
  3. Wiki Women Initiative: It looks like one edit-a-thon was compeleted on April 25, 2013 (although the budget says there were no edit-a-thons). Has there been any follow-up or mentorship with the participants?
  4. Six account limit: In Prakash's blog post he notes that one challenge with the girls edit-a-thon was the six account limit for registering new users. Please see this Learning Pattern for how to avoid this problem in the future. More resources for conducting effective edit-a-thons can be found here.
  5. Wikipedia Education Program: What is the retention of editors for the 12-week program? If you have the usernames you can run the analysis on WikiMetrics. Will you be continuing the education partnerships? If yes, are you working to integrate WEP into the curriculum earlier on?
  6. Media budget: What was the 5,000 NPR used for - the "Gender in Wikipedia" video? Do you plan on completing this video?
  7. Reallocation request: Please provide a request for reallocating the remaining USD 4,076.89. Here are guidelines for requesting to use remaining funds.

We acknowledge there is a need for more administrative resources to support volunteer work. We are willing to consider part-time (2-4hrs/week) paid support for administrative activities. Do you think that would meet the team's needs? If yes, do you think you can find someone who is willing to work on such a part-time basis? Considering the User Group is not a legal organization, is it complicated to employ/contract someone? Please let us know your thoughts and we can continue this conversation. Thanks, Alex Wang (WMF) (talk) 22:34, 21 May 2014 (UTC)[reply]

Answers to the questions[edit]

  1. 11th Anniversary: What was the challenge in recognizing the best contributor during the event? As you noted, it would be great to use WikiMetrics to see if the folks who participated in the edit-a-thon continue to edit.
    • We have formed a team of three and had identified the best contributors. We had manually outlined the contribution because we were unaware about the WikiMetrics.
    • Please let us know if you have any trouble learning to use WikiMetrics. We are happy to provide extra training or support. Alex Wang (WMF) (talk) 21:45, 4 June 2014 (UTC)[reply]
  2. Outreach: You reached an impressive number of people through the outreach events. What type of follow-up has been (or will be) conducted?
    • We accept that we are not being able to give sufficient time to follow-up the communities we reached once. We will have programs to follow-up the outreached people to engage and bring to contribution. Well in last year's Software Freedom Day (SFD) we had setup a entire day Edit-a-thon for these outreach participants. Some of them participated in this Edit-a-thon. Apart from them, we need to develop an engagement model with the outreach participant on regular basis. Experiences from other Wikimeidians would be great support.
    • We will follow-up with suggestions regarding outreach. Alex Wang (WMF) (talk) 21:45, 4 June 2014 (UTC)[reply]
  3. Wiki Women Initiative: It looks like one edit-a-thon was completed on April 25, 2013 (although the budget says there were no edit-a-thons). Has there been any follow-up or mentor-ship with the participants?
  4. Six account limit: In Prakash's blog post he notes that one challenge with the girls edit-a-thon was the six account limit for registering new users. Please see this Learning Pattern for how to avoid this problem in the future. More resources for conducting effective edit-a-thons can be found here.
    • This six accounts limit is still a problem. When bureaucrat is not available in such programs. Hempal has requested for Account creator right now, hopefully we will have a couple of account creators in the community to solve the problem. At other times, we used many mobile devices and hotspot to create account only to resolve this issue.
    • We are trying to complete the video and planning to have many effective videos to help the new editors.
  7. Reallocation request: Please provide a request for reallocating the remaining USD 4,076.89. Here are guidelines for requesting to use remaining funds.
    • We are discussing in our local community to request reallocation.

Immediately, Nepali Wikipedia is entering to Teenage by next week. We are celebrating 12th Anniversary of Nepali Wikipedia on 3rd of June. We request to allocate NRs. 50,000.00 to celebrate the annual event. We will shortly request it in the re allocation request too. Thanks. --Ganesh Paudel (talk) 11:58, 28 May 2014 (UTC)[reply]

Reallocation Request for unused grant amount[edit]

We want to use the unused funds by re-allocating in the following topics.--Ganesh Paudel (talk) 10:32, 1 June 2014 (UTC)[reply]

Re-allocation Details[edit]

As discussed in the grant page's talkpage we have already requested to have change in the topic to some materials useful for outreach. We have printed some materials so far i.e. Browser, Cheatsheet, Bookmarks etc. We want to continue with the printing of the materials that will help us in future.

  • Distribution of printed material about Wikipedia and other wiki projects in Nepal is a very new practice. We started with the outreach booklets received from WMF WEP. The materials really helped us to approach to the academia.
  • As second material we printed 2K paper stickers (without lamination) to distribute. The demand for Wikipedia sticker was high although the sticker could not satisfy the users due to its low quality. People want to use Wikipedia sticker pasted in their notebooks, tablets and other devices. We see there is high demand of this sticker but we have to produce a better quality sticker probably printed in plastic.
  • On the ground of the previously printed materials, we found that these materials are very useful materials for outreach. These materials will help us to reach to more people by using limited volunteers.
  • We also plan to distribute such materials via academic institutions and our acquaintance in small cities outside the capital city, involved in academies. We hope, we can mail them to our targeted people who are using Wikipedia as teaching tool.

Thank you for providing the expense details. How many people did you have at last year's event? The report says that 45 people participated in the edit-a-thon, but I assume there were more people at the celebration. Are you expecting a lot more people this year? Who is the target audience? Thanks, Alex Wang (WMF) (talk) 03:51, 3 June 2014 (UTC)[reply]

Reallocation request response[edit]

Regarding the reallocation request, we are fine with using remaining funds for the anniversary celebration and 2,000 stickers. The additional items should be part of your next grant application. If you plan on submitting a grant application within the next 21 days, you can hold on to the additional funds. Otherwise, please return the remaining funds to WMF according to these instructions. Reallocation request approval[edit]

Thank you for your clarifications over email. We approve the reallocation request in total. Once all the above activities are finished, we will need the following to close this report:

  1. Documentation of expenses for all the new activities covered in the reallocation. This means scanned receipts for WLE 2015, Datathon, Bishwa Sampadathon, WLM 2015, Wiki-a-thon 2015, and Wiki Women Editathon 2015. Since the last event will end November 30th, we expect to have all the receipts by December 31st.
  2. Updates on the discussion page about the results of these activities. You can provide links to the event pages. We will also need you to fill out the Global Metrics table added below. You can record the Global Metrics for these activities in summary (not each individual event). If there are metrics you do not know how to calculate, please look at the resources or email Kacie Harold at kharold"at"wikimedia.org.
  3. Once we have the above information by December 31, 2015, we can close the report.
  4. The remaining 51,177.50 NPR should be held by the user group if you plan to submit a new grant request by February 2016. If not, please return the unspent funds to WMF.

Any new activities need to be submitted through a new grant request. Please do not plan any new activities that need WMF funding before speaking with us and requesting the grant funds first. Again, we are really impressed and excited you have been able to do so much great activity during such a challenging time. We had assumed that with the earthquake the group was suspending activities for awhile. I hope that the activities have strengthened the community and volunteers have had fun editing despite the difficulties. Thank you! Cheers, Alex Wang (WMF) (talk) 16:57, 24 September 2015 (UTC)[reply]

Request for time extension[edit]

Hi Alex, due to some situational circumstances here in Nepal we apologies for not being able to submit the final report of aforementioned re-allocated budget. I hereby request you for the time extension to acquire the predetermined goals up-to 31st March, 2016. Thanks -Nabin K. Sapkota (talk) 03:21, 18 February 2016 (UTC)[reply]

Hi Nabin K. Sapkota. Thank you for the update. Your grant reallocation report is now due 31 March 2016. Alex Wang (WMF) (talk) 18:10, 18 February 2016 (UTC)[reply]
I have no objection if the WMF has endorsed. The question is the communication with the community. Communicating with the community and the grantee on the eleventh hour is causing further problem on smooth opertion of programs.--Ganesh Paudel (talk) 07:14, 15 March 2016 (UTC)[reply]

Global metrics[edit]

We are trying to understand the overall outcomes of the work being funded across our grantees. In addition to the measures of success for your specific program (in above section), please use the table below to let us know how your project contributed to the Global Metrics. We know that not all projects will have results for each type of metric, so feel free to put "0" where necessary.

  1. Next to each required metric, list the actual outcome achieved through this project.
  2. Where necessary, explain the context behind your outcome. For example, if you were funded for an edit-a-thon which resulted in 0 new images, your explanation might be "This project focused solely on participation and articles written/improved, the goal was not to collect images."

For more information and a sample, see Global Metrics.

Metric Achieved outcome Explanation
1. # of active editors involved
2. # of new editors
3. # of individuals involved
4a. # of new images/media added to Wikimedia articles/pages
4b. # of new images/media uploaded to Wikimedia Commons (Optional)
5. # of articles added or improved on Wikimedia projects
6. Absolute value of bytes added to or deleted from Wikimedia projects
Learning question
Did your work increase the motivation of contributors, and how do you know?

To add a bit more information, Wiki Loves Earth Nepal 2019 Rapid grant is fully funded by a portion of the reallocated unused PEG funds (listed under rows 5 & 6 in the table above) that had been deposited into the new UG NP bank account. -- JTud (WMF), Grants Administrator (talk) 21:53, 17 May 2019 (UTC)[reply]

June 2020 update[edit]

The remaining unused 100,472.55 NPR from this Wikipedia Expansion Program in Nepal PEG partially funded the grantee's new WLE 2020 Rapid grant. All reported unused PEG funds have now been spent on approved mission-aligned activities or used to fund other grants. Thank you! -- JTud (WMF), Grants Administrator (talk) 19:51, 15 June 2020 (UTC)[reply]
