Grants talk:Project/Rapid/Semester Funding for Meetups in Rain Semester 2017/2018 Session, Wikimedia Fan Club, University of Ilorin

From Meta, a Wikimedia project coordination wiki

Hello Danidamiobi thank you for submitting another grant request for Wikimedia Fan Club, University of Ilorin. I understand that your other grant report is due on June 27th but it would be good to see the results of that grant before approving another one. Would you be able to summarize what you've done thus far here or submit the report for the other grant as I believe it completed on 5/27/18. We would also need the expense documentation so we can reallocate funds if there are any remaining funds. Please let me know. Best regards, WJifar (WMF) (talk) 22:40, 6 June 2018 (UTC)[reply]

Good morning Woubzena, thanks for your response. I can highlight the progresses we have made on the launching grant.

Venue and change of date: The University Property Management Department from which we had procured the university auditorium's basement at no cost had made us reschedule the event from Thursday, June 7, 2018 to Saturday, June 9, 2018 because an unforeseen staff screening would be holding there that day. Luckily for us, we have had more than 130 people who had registered for the event via Google Forms, so we were able to contact them easily and make changes known on our WikiMeetup page, Facebook and Instagram.

Expenses: I got $1,159.64 instead of $1,216.64. So being short of $57. Being my first grant, I short shortsightedly used Oanda as recommended by Meta so as not to do the wrong thing. Meanwhile in reality, the exchange of $1,159 resulted to us having N354650 at N306/$.[1]

Our expenses so far are,

Item Cost (N)
Merchandise Shirts (30pcs with prints) 90000
Transportation of shirts from Lagos 1500
Data (so far for pre event publicity on social media, maintenance of Google forms) 9000
Cake 18000
Roll up banner 30000
Posters and fliers (we will be printing more) 28350
Interstate travel for Coordinators 40000
Hotel for Coordinators 60000
Coordinators' feeding 30000
Contingencies so far (transport, bank charges, phone calls, printing of letters, stationery) 5580
Total N312430(We are still spending the grants for the event) -

Good evening Woubzena, thanks for your support. The launching of Wikimedia Fan Club was a huge success on Saturday, 9, June 2018. The expenses being highlighted here have been moved to a more appropriate reports page: Grants:Project/Rapid/Launching of Wikimedia Fan Club, University of Ilorin./Report‎. Thanks once again.

Good evening Woubzena

Thank you so much. I have shared this news with the club we are so excited.

Pls, I will love to ask for a change to the start and end of the project since we are already in the middle of the initially proposed period through which the project will run. Can we change the date range from July 7, 2018 to December 31, 2018?

Request for extension[edit]

Dear Grants Officer,

I humbly use this medium to request for an extension date to update my report on https://meta.wikimedia.org/wiki/Grants:Project/Rapid/Semester_Funding_for_Meetups_in_Rain_Semester_2017/2018_Session,_Wikimedia_Fan_Club,_University_of_Ilorin/Report

The report was due for January 1, 2019 and I need an extension date to update my by November 5, 2019.

Our school's calendar did not condone most of the activities we had planned so the time frame extended to three semesters rather than one as planned. I also had an Herculean task gathering receipts and I have learned that it is a core part of grants and any vendor we deal with should be able to provide one.

I appreciate your consideration.
