Purpose of the report[edit]

This form is for organizations receiving Annual Plan Grants to report on their results to date. For progress reports, the time period for this report will the first 6 months of each grant (e.g. 1 January - 30 June of the current year). For impact reports, the time period for this report will be the full 12 months of this grant, including the period already reported on in the progress report (e.g. 1 January - 31 December of the current year). This form includes four sections, addressing global metrics, program stories, financial information, and compliance. Please contact APG/FDC staff if you have questions about this form, or concerns submitting it by the deadline. After submitting the form, organizations will also meet with APG staff to discuss their progress.

Global metrics overview - all programs[edit]

We are trying to understand the overall outcomes of the work being funded across our grantees' programs. Please use the table below to let us know how your programs contributed to the Global Metrics. We understand not all Global Metrics will be relevant for all programs, so feel free to put "0" where necessary. For each program include the following table and

  1. Next to each required metric, list the outcome achieved for all of your programs included in your proposal.
  2. Where necessary, explain the context behind your outcome.
  3. In addition to the Global Metrics as measures of success for your programs, there is another table format in which you may report on any OTHER relevant measures of your programs success

Telling your program stories - all programs[edit]

Please tell the story of each of your programs included in your proposal. This is your chance to tell your story by using any additional metrics (beyond global metrics) that are relevant to your context, beyond the global metrics above. You should be reporting against the targets you set at the beginning of the year throughout the year. We have provided a template here below for you to report against your targets, but you are welcome to include this information in another way. Also, if you decided not to do a program that was included in your proposal or added a program not in the proposal, please explain this change. More resources for storytelling are at the end of this form. Here are some ways to tell your story.

  • We encourage you to share your successes and failures and what you are learning. Please also share why are these successes, failures, or learnings are important in your context. Reference learning patterns or other documentation.
  • Make clear connections between your offline activities and online results, as applicable. For example, explain how your education program activities is leading to quality content on Wikipedia.
  • We encourage you to tell your story in different ways by using videos, sound files, images (photos and infographics, e.g.), compelling quotes, and by linking directly to work you produce. You may highlight outcomes, learning, or metrics this way.
  • We encourage you to continue using dashboards, progress bars, and scorecards that you have used to illustrate your progress in the past, and to report consistently over time.

Since we financially contributed to 2 meetups, we are showing the statistics of them in the above mentioned table. We were also involved in the planning of many other meetups & edit-a-thons. These were mainly self organized & Wikimedia India was involved only assisted in the planning including the financial aspects.

Financial summary[edit]

The FDC requires information about how your entity received and spent money over the past year. The FDC distributes general funds, so your entity is not required to use funds exactly as outlined in the proposal. While line-item expenses will not be examined, the FDC and movement wants to understand why the entity spent money in the way it did. If variance in budgeted vs. actual is greater than 20%, please provide explanation in more detail. This helps the FDC understand the rationale behind any significant changes. Note that any changes from the Grant proposal, among other things, must be consistent with the WMF mission, must be for charitable purposes as defined in the grant agreement, must be reported to WMF, and must otherwise comply with the grant agreement. The WMF mission is "to empower and engage people around the world to collect and develop educational content under a free license or in the public domain, and to disseminate it effectively and globally."

Revenues for this quarter[edit]

No major revenue was received in this quarter. The only revenue which was received was from membership which amounted to around INR 7,200. Out of this Donation was INR 1,000 & Membership fees for WMIN was INR 6,200.

Progress toward this year's goals/objectives[edit]

Program 1[edit]

Awareness Creation
What are the objectives of this program?
  • Create greater awareness of other Wikimedia projects as evidenced by upward trends in user statistics
  • To provide a platform wherein the community can approach the chapter for any kind of support they need. This may include planning and organizing workshops, meetups, events & editathons.
Activities conducted

Bidar Outreach & edit-athon

QR codes put up to display Wikipedia pages about Bidar and Bidar fort

User:Omshivaprakash with the support of Wikimedia India was successfully able to establish contacts and build interest in Wikipedia editing and QRcode project in a small city called Bidar in Karnataka, India. He was able to find many enthusiastic & Wikipedia supporters from Bidar to build pages around Monuments in the city such as Bidar Fort which is a UNESCO world heritage site.

With the support of Wikimedia India, he was able to organize 2 day event which included a workshop on editing on Kannada & English Wikipedia. With the help and support of the local Rotary club,he was also able to approach the district administration. The district authorities also attended the program organized by Omshivprakash. Some of the goals of the Outreach included

  • Launch of QRPedia code in Bidar
  • Seeking Support of district administration for future projects
  • Media coverage which would be a useful tool for the outreach
  • Attracting larger audience to edit wikipedia and thereby start in a new Wikipedia community in Bidar

As s strategy for tourism, a huge placard of board was displayed in the centre of the city showcasing the Wikipedia page of Bida and Bidar fort

Kottayam Wikipedia Outreach & Awareness Workshop

A Wikipedia Workshop took place in Kottayam, Kerala. Since almost 15 active community members from Malayalam Wikipedia approached Wikimedia India to support the Outreach Workshop,a Grant Request put up by them was funded. The goal of the meetup was to increase the awareness & reach of Malayalam Wikipedia and increase the participation of students on editing Malayalam Wikipedia. Post the meetup,a photo walk was also organized to upload images of historical monuments of Kottayam on creative commons.


What worked and what did not?
  • Bidar Outreach & Editathon
  • This Outreach shows that with the use of little financial assistance, a high impact outreach can be conducted.
  • Local municipality support was vital for making this a success.
  • This Editathon could have been a huge boost to the Kannada community, but due to little enthusiasm from other Kannada community members, it was not possible to get other Kannada community memebers.
  • Kottayam Wikipedia Meetup
  • This Meetup brought many Malayalam Wikipedians together which acted a morale booster for the fledgling community.
  • The Workshop which took place was not attended by the target audience of Teachers & only students attended the workshop organized by the community members.
  • The Meetup was planned & executed in a hurry due to which some of the goals were not accomplished. Wikimedia India will encourage future Microgrant applicants to apply more early for maximizing impact of the event.

Capacity Building
What are the objectives of this program?
  • To increase participation in Wikimedia projects and improve quality of content.
Activities conducted

Infrastructure Scholarship

We had mentioned Infrastructure Scholarship as our major program from in our Q2 report. We intend to make this our main program for this quarter too.We rolled out Infrastructure Scholarship Program in a phased manner so as not to overpublicize and disappoint the community as we had only a limited budget. A scholarship for Telugu Wikipedia community member for procuring a laptop was awarded . Another application was received by a very active English editor who was from an economically weak background. After seeing good endorsements,we decided to for him. We also gave another scholarship to [User:Info-Farmer]. He is a sysop on many Wikimedia projects & really required the laptop for outreach activities as explained in his Application

Wikimania Mexico 2015 Scholarships & Wikimania Travel Helpdesk

As mentioned in our previous quarter report, we had awarded 2 scholarships for 2 Indain contributors. Wikimedia India also created a helpdesk & community group online for the Indian attendees of Wikimania 2015 in Mexico. This helpdesk which was integrated into our Wikimedia India website which is easily accessible to the Indian Community. Main features of this help desk included..


Wiki Loves Food

What are the objectives of this program?

To organize the worlds first public photo competition on Wikimedia Commons for use on Wikipedia and other projects of Wikimedia

Activities conducted

Wiki Loves Food (WLF) is a public photo competition on Wikimedia Commons for use on Wikipedia and other project websites of the Wikimedia Foundation. Wikimedia India Chapter is running this contest. The aim of this project was to improve the quality of pictures of different cuisines of the Indian sub-continental region and to celebrate Indian Cuisine's diversity and beauty.

The contest aimed to educate people about and promote donating images to Commons on a national scale.

We conducted the competition in 2 phases.

  • Phase 1 - This was a pilot to understand the dynamics of Commons community before the contest is launched for the wider Wikimedia India community. 50 participants will be enrolled for this in a first come first register basis. We will also invite 2 nominations per language community besides these 50 participants. We were successfully able to get 700+ Images in this phase.
  • Phase 2 - After learning the community dynamics in phase 1 & coupled with the learnings, we opened the competition to the public. The competition was ran for 45 days & we got almost 9000 images.


  • Wikipedia in Education

In June 2015, SKP Engineering College located at Thiruvannamalai, Tamilnadu and Wikimedia India signed a Memorandum of Understanding to run a Wikipedia in Tech Education Program.

The project aims at supporting Wikipedia in different Indian languages by focusing on engaging Engineering college students in MediaWiki and Indic language computing related technology development work. Lack of freely available computing tools for Indian languages is one of the challenges for the growth of Wikimedia projects in Indian languages. To address this specific issue, Wikimedia India will facilitate the setup of a Language Computing Lab at SKP Group of Institutions. Wikimedia India will also work to provide adequate learning opportunities for students and faculties in the technologies they work under this partnership.

This will be an ongoing and self-running project with new set of students joining the program every year. Based on this pilot, the program can be scaled and extended to other institutions across the country. The new batch starts in July 2015.


What worked and what did not?
  • Wikimania Mexico 2015 Helpdesk
  • This was the first time that a committee was created by previous scholarship reciepents to help & assist the community member who were planning to apply for the WMF scholarship.
  • This was hugely appreciated by the community.
  • As it is a yearly tradition, all the Indian attendees registered themselves as attendees on our Wikimania 2015 website page.This list helped us to coordinate travel logistics and other plans specific to Wikimedians from the sub-continent.
  • Wiki Loves Food
  • With the support of 20 volunteers from different language communities, this competition was truly a Pan India competition contributes & organized jointly by all the Indic language community members.
  • Pan Indian community members were truly excited to be part of a national team & that greatly encouraged the members to continue this the following years
  • Phase 1 did not accomplish our actual goals for participation from all the language community members & many Indic language communities were not able nominate a member.
  • Due to the massive number of entries, there was a delay in the publishing of results

Program 3[edit]

Community Buidling
What are the objectives of this program?
  • To facilitate closeness of the Wikipedian network and bring community members together to share best practices and find like minded people with whom they can build collaborative projects.
  • To kickstart the process of Planning & organizing of a national conference
Activities conducted

WikiLove for Active Wikimedians As mentioned in our previous quarter report, we had sent WMIN T shirts to active contributors to motivate them to contribute more. This was implemented successfully by WMIN & T-shirts were sent to these active Wikimedians who have done more than 1000 mainspace edits in any Wikimedia project. All thee applicants who had requested the T-shirts have received them.

WikiConference India Wikimedia India has been spearheading the effort for organizing a National conference which previously had happened in India in 2011. To organize such a conference after almost 4 years does require planning & team building as its baby steps. WMIN initiated this by organizing an IRC for Introducing about WCI to volunteers who joined after the 2011 conference. The First IRC took place on 8th August 2015. This IRC was attended in high number by many community members from different Indic communities.

Following this, & as planned in the IRC, announcements were made for Call for Volunteer support & Call for Nomination of Jury members for Host City Selection

What worked and what did not?
  • By Sending a T-shirt, the Wikimedians not only were excited for the swag, but were also encouraged to contribute more.
  • Most of the T-shirts were sent individually to the contributors, but also many were sent in bulk to one contributor who then distributed the T-shirt to the earmarked individual


Program 4[edit]

GLAM Initiative
What are the objectives of this program?
  • To increase participation in Wikimedia projects and improve quality of content.
Activities conducted

GLAM for Kolikata Little Magazine Library O Gabeshana Kendra

This project aims to synchronize the sharing of resources between the Kolikata Little Magazine Library O Gabeshana Kendra and the Wikimedia community. The privately owned library comprises approximately 70,000 experimental, radical, alternative and avant-garde periodicals and little magazines. There are numerous little magazines in the library from the pre independence era, including Bangadarshan and Tatwabodhini from their first publication in 1872.

Bengali Wikipedians Santanu Chandra & Bodhisattwa had applied for a Grant, for which we supported them & they were able to start their GLAM project successfully. They were able to successfully able to start their project & their current status can be seen Here

Kolkata Little Magazine Library O Gabeshona Kendro, Kolkata, India
What worked and what did not?
  • GLAM
  • The GLAM project was much appreciated by Indian Wikisource community.
  • This unique project on this library which has links to the Indian Independence instilled a sense of patriotism amongst the contributors which led to initial enthusiasm.
  • Logistics of the Scanner which we sent to him wasn't planned properly due to which there was a delay in delivery.
  • Best Practices from other GLAM projects need to be studied & implemented accordingly


Program 5[edit]

Operations
What are the objectives of this program?
  • Stabilize Internal Processes by Streamlining daily administrative work. By establishing systems and procedures related to grants, measurements, and reporting.

Hiring of Professional Bookkeeping services

Upto recently, our bookkeeping was done by Mr Sandeep Rao, whose services we had hired on part time & he used to do the bookkeeping on a quarterly basis. This practice was done by the previous Executive committee. We observed that this process was a very time consuming one & at times, there was a tendency for members to misplace bills, which used to at times cause hurdles when we used to do our yearly financial audit.

Recently, we have hired an external professional agency called Eshaa Corporate Services

They will be doing all our bookkeeping so that we don't face any hurdles while doing our yearly financial audit. Some of their best bookkeeping practices include

Eshaa is charging us an annual fee of INR 25,000 which is roughly equal to what was being charged by our earlier bookkeeper. We have an extra fee for the QuickBooks software which is just INR 5,000 per year.

What worked and what did not?
  • Hiring of Professional services has brought a massive positive impact on administrative work
  • QuickBooks has brought our accounting practices on a higher lever & increasing the transparency.
  • Though Eshaa is a corporate service, we do not have a high volume of transactions on a daily basis, which makes us underutilize them


Lessons learned[edit]

A key objective of the funding is to enable the movement as a whole to understand how to achieve shared goals better and faster. An important way of doing this is to identify lessons learned from entities who receive funds, and to share these lessons across the movement. The purpose of this section is to elicit some of these insights, which will be shared throughout the movement. Please answer the following questions in 1–2 paragraphs each.

What were your major accomplishments in the past quarter, and how did you help to achieve movement goals?

  • Successfully completing our FDC Grant and the renewed support from the community has helped us to achieve the movement goal. Key points like Regaining Community faith. GLAM project in Kolkata , Wikimania Help Desk and Wiki Loves Food have helped to enhance the content available on Wikimedia Projects. Our Infrastructure Scholarship and Wikimania 2015 coordination has helped to create enthusiasm in the community about the activities of Wikimedia India.

What were your major setbacks during this period (e.g., programs that were not successful)?

  • None.

What factors (organizational, environmental) enabled your success?

  • Continuing with the momentum which we have had for the last 2 quarters, community support has been one of the biggest factors for our success.

What unanticipated challenges did you encounter and how did this affect what you were able to accomplish?
